New Face at ACEware: Joseph Sotkovski
ACEware has some new talent:  Joseph Sotkovski who started on April 3rd. Mike took charge of training Joseph on all things Aceware. Despite being drowned in an overwhelming onslaught of knowledge, he is still around.  Once Joseph is brought up to speed, we'll be shuffling customers in his direction to re-balance everyone's caseload.

Joseph joins ACEware with a background in Information Technology. He has a Bachelor's Degree in Software Engineering and has worked at a local school district troubleshooting issues for teachers and administrators. He also worked at the same call center as both Jason and Matthew, so he has experience helping people remotely.

Joseph is married to Ann and they have been together for 10 years. They have three children -  Aaron, who just turned 10; David, who turns 8 in July; and the baby, Elizabeth (Lily), who turns 2 in August. 

Outside of ACEware, Joseph loves reading and gaming.

He had this to say about the customers he is getting to know, "I look forward to working with everyone!"

Finding Deleted Payment Records with Pay Grabber
Pay Grabber allows you to view, edit, and/or print a list of payments matching your search criteria. It also does some stuff with deleted payments for those of you using VFP tables. Here lately, there was some confusion about whether using the, "include deleted payments," showed only deleted or included deleted payments in your search. To avoid the confusion, there are now both options in Student Manager 8.0.051.

Either option still shows you the, "What records would you like to undelete?" screen. This screen only shows the deleted payments if you choose the include option. This screen is also just a checkmark screen to quickly choose which records need kept.

So, with this new functionality you have even more chances to find those mistakes and fix them before they become permanent with the next pack.

Chuck discusses data management at CETI.
Chuck was busy last month attending conferences in Ohio and  Texas. He's seen a lot of faces, presented, and had some fun. This picture was shared by someone who enjoyed Chuck's presentation at CETI. If you didn't get the opportunity to see Chuck in April, be sure to  attend our  21st Annual ACEware Users' Conference.  He's presenting a pre-conference workshop (Student Manager Bootcamp, as well as several break-out sessions.

Tip of the Month: Void Pending Payments
When was the last time you checked your ACEweb Void Pending Payments INI setting? If it has been a while, you may want to review it.

A pending payment occurs when ACEweb has handed off the student to your payment gateway and ACEweb never receives a response. This could be due to the student closing her/his browser, or some failure in the communication line. With your Void Pending Payments INI, you can choose how ACEweb handles this situation:
 
0 - Registration records are active. Payment records are active with AW-PENDING entered in the Auth Num field.
1 - Registration records are active with AW-PENDING: entered in the Registration Note field. Payment records are voided with AW-PENDING entered in the Auth Num field.
2 - Registration records are cancelled with AW-PENDING: entered in the Registration Note field. Payment records are voided with AW-PENDING entered in the Auth Num field.
3 - Registration records are deleted in VFP and marked revoked in SQL Server with AW-PENDING: entered in the Registration Note field. Payment records are voided and deleted with AW-PENDING entered in the Auth Num field.

Option 3 allows students to go back in and reregister themselves without any intervention from you. With any of these options, you'll want to keep on top of things with the Pay Grabber or the Show AW-Pendings on Startup preference (enabled on the Pay tab in your preferences.)

In combination with the Void Pending Payments setting, you also have the Fail Option setting. This d etermines how ACEweb handles registrations when the payment fails to validate (e.g. credit card is declined). Here are the choices:
0=Failed Registration is active and Pay record is voided.   Note: there is a possibility of duplicate registrations if the user tries to re-register immediately after the initial failure. As long as they haven't logged off, the course will still be in their cart and they can resubmit, resulting in the duplicate registration.
IMPORTANT: if you have set  VoidPendingPmts to 2 or 3, you cannot use Option 0.
1=Recommended setting. Failed Registration is deleted and Pay record is voided and deleted.
2=Failed registration is canceled and payment is voided.
IMPORTANT: if you have set  VoidPendingPmts to 3, you cannot use Option 2.

As you can see, these two settings do work together. And, as always, ask your technician if you need any help with these.

Report of the Month: Daily Sign-In Roster
The Daily Sign-In Roster report prints a sign-in sheet for each session of the course(s) in your query. For example, we ran this one for the 17SACE010A - Mastering Student Manager course. The course meets for 2 days, and we get a roster page for each date (session).

The Daily Sign-In Roster report template files are available on our Student Manager Reports web page, in the Registration Reports section.

Download* the DailySignIn.zip file-instructions to import it into your Student Manager system are included in the zip file.

Once imported, you can run the report for a single course from the Quick Reports area. It's an additional Attendance Roster report called Daily Sign-In Roster. To run it for a series of courses, run it from the Reports > Registrations > Rosters > Attendance Roster area.

*You will need the current Customer password to download report files. If you don't have that password, please contact your ACEware technician and it will be provided to you.
