REGISTRATION MATERIALS

We know that there is a lot going on when you check in, so we want to remind you to be careful with your registration materials because they contain important items.

When you visit the NERSC Registration Desk, you will receive: 
  • Name Badge
  • Envelope
  • Conference Tote 
In your Envelope, you will have your attendance certificate.  This is a three-part form that you will want to bring to each session, including the keynote sessions, to be punched.  This is your ONLY proof of attendance, so guard it carefully and put your name on it in case it gets lost. If you will be applying for NASW CEUs, you will need to submit one part.  

Next, you will find evaluation forms that you can complete and turn in prior to the end of the conference, a BINGO card for Thursday's Exhibitor Showcase and your Wednesday Night Dinner Bracelet (if you signed up) which is required for admission.


Inside your conference tote, you will find goodies provided by our generous sponsors and a conference notebook which contains all the details about everything going on at the conference.

FINAL CONFERENCE DETAILS

After you've checked in to your hotel, please check in with the NERSC Registration Desk located in the lobby to pick up your registration materials. 



Checking In:
  Check in time is 3 pm.  If you are staying at the Lodge or Townhome, please check in at The Lodge.  If you are staying at Bretton Arms Inn, please check in at Bretton Arms Inn.  Omni hotel guests will check in directly at the hotel.  Please note that there will be hundreds of guests checking in on Tuesday, so please be patient and understanding.  We recommend bringing a confirmation of your reservation as well as the details of the payment if you sent a check in.  We also ask you to have a credit card and photo ID ready.  NOTE:  Checks must have arrived at the hotel 10 business days prior to check in or the credit card on file will have been charged for your stay. 

Incidentals:  A credit card will need to be presented at check in as a backup form of payment and also to authorize for estimated incidental charges.  An authorization of $100 is placed on the credit card.  We suggest NOT using a debit card because debit cards put a hold on the authorized amount for up to 4 days after check out.

Checking Out:  The current invoice per reservation is placed under each guest's door the evening before departure.  On departure day, guests can just leave if they are all set with the charges and do not have any questions.  We do ask that the departing guests call the front desk to let them know they are checking out.  Guests can leave their keys at the front desk on their way out. 

Parking:  Parking at the Omni Hotel is complimentary valet.  Tips are appreciated as these staff members will be working very hard to get all of us in and out in a timely manner.  If you are staying at Bretton Arms, The Lodge or a Townhome, please park at those facilities. 

Shuttle Service:  Shuttle service will be available from the Omni Townhomes, Bretton Arms Inn and the Lodge to the main hotel, as well as to Fabyans Restaurant on Tuesday and Thursday evenings. Shuttle will run continuously 7am-11pm with limited availability overnight.

Hotel Cancellation Policy: 
All reservations that fail to arrive on the scheduled arrival date will be considered a no-show and a charge of one night's room and tax will be posted the the individual's credit card on file.  Attendees have 72 hours prior to their scheduled arrival date to cancel their guest room reservations without penalty.  Cancellation of guestrooms within 72 hours of arrival date will result in a charge of one reserved night's rate plus tax.

Workshops:  We have a FULL conference this year with close to 400 attendees.  Out of courtesy to your fellow attendees, we ask that you attend the workshop that you signed up for so that others are able to do the same.

Your Personal Schedule:  We will have a printout of your registration details when you check in at the NERSC Registration Desk. 

First Time at NERSC?  We recommend all first-time NERSC attendees attend the Newcomer Session on Tuesday, April 29th at 5:30 pm.  This session is an opportunity to meet other first-time attendees as well as learn how to get the most out of your conference experience. 

Dining Options:  You are on your own for dinner on Tuesday and Thursday evenings.  For information on dining options, please visit the "Activities" page and scroll all the way to the bottom. 

Free Wi-Fi:  Free Wi-Fi is available at the Omni.  Please make sure you follow the instructions when logging on.  Contact the front desk with any questions.
