This month we show you how to use a report to gauge your Webtix performance and staff planning. Plus, we show you how to use best available seating. Relax, sit back, and enjoy "the show."

Displaying row indicators in your seating plan

Wintix seating plans are comprised of a grid of cells. The seating plan uses whatever has been input into the farthest left cell of the row. If you don't put anything in that cell, the row indicator will not display. As some rows are trimmed down and don't have a seat in the farthest left cell, make sure data for the row is input. Double-click on the cell and the "Data for this seat" window will appear. Type the row number or letter in the "Row" field. Click on the "Okay" button to save your input. Close the seating plan. Reopen it and you will see the row letter or number displayed.

Wintix Reports! "List of Clerks Selling Tickets"

To help you get the most out of Wintix and run your box office better, we are running a series of articles so you can learn how and why to run the important standard reports available in the program. Here is the first one!

 

Who is selling your tickets?

(The List of Clerks Selling Tickets report)

 

To run the report in Wintix, go to: 

  • reports
  • by day
  • clerks
  • list of clerks

 

You can then choose a date range to review. You can see a week, a month, or choose a date range that includes all sales days for a show. The report lists the names of the clerks, the number of sales (transactions), the number of tickets sold and the revenue associated with the sales.

 

If you are using Webtix for online sales, you will see Webtix listed as a clerk. Many box offices want to move as many sales to the internet as possible because internet sales are easy, cheap and you don't have to staff the box office with paid people to accomplish them.

 

The "Sales %" column is especially useful because you can tell at a glance if you are meeting those online goals.

 

The "List of Clerks Selling Tickets" report will also help you plan for staffing (you can see who is able to handle a lot of transactions), and track revenue per clerk if you're on a commission plan.

 

 

How to Set Up and Use Best Available Seating
If you don't want your patrons to choose their own seat, you can assign the seats a ranking for best available. Define it mathematically by giving each seat a number. For instance, you could use series of numbers like 1,2,3 etc. or 100, 200, 300, etc.

 

OR you can assign up to three rankings for each seat.

 

Why would you want to do that?

 

Say you have a piano concert. Some guests want to sit close to the piano player so they can see her expressions up close. Some may want to sit next to the soundboard to get the full impact of the music. Others will want to sit in the middle to get the best of both experiences. So you could have one ranking: 1,2,3 for the piano, but rank it 50,51,52 for the soundboard and 25,26,27 for the middle.

 

How do you set up Best Available seating?

 

In your seating plan:

  • double click on a seat where you wish to start the numbering process 
  • click plan tools
  • click renumber seat
  • add a new ranking number

 

 You will need to do this for all your seats.

 

Once you are done, you need to tell Wintix to use the seat rankings.

Go to:

  • show
  • edit a show
  • internet options
  • Mark the check boxes: "Use the ranking ...." 

 

Although you need to use a seating plan to have Best Available seating, the seating plan will not display online in Webtix if only one ranking is checked. Webtix will show the seating plan if two or three rankings are checked.
