Save time, reduce costs with technology and software

By Lynn Sygiel, editor, Charitable Advisors

In May, we asked readers for perfect tech or software solutions that have reduced costs or saved time. Here are two peer recommendations.

#1: KEEP INDIANAPOLIS BEAUTIFUL

CHALLENGE
Abby Dennis is the volunteer coordinator for Keep Indianapolis Beautiful and needs to collect data - lots of it. She knew she wanted to streamline data collection and remove those thousands of sign-in sheets and waiver forms from her desk after a volunteer project in the field. Dennis spent approximately 10 hours researching alternatives, talking with others in the field and reviewing products and apps.

SOLUTION
Purchase five iPads to use in the "field" with a cloud-based collection system
This March, Dennis was able to implement a new data-collecting system. Volunteers sign in on a tablet that has been pre-loaded with a customized Formstacks online form. Formstack stores the data, so that back at the office, Dennis can export it to cloud-based Cervis. This allows her to easily capture a volunteer's work history, contact information and needed data for reports, all minus the paper. Liability waivers are saved, so a volunteer doesn't have to complete one every time.

But use of the tablet didn't stop there for Dennis. Read more.

Nonprofit brings technology to disaster recovery

By Devin Thorpe, contributor, Forbes

Field Innovation Team or FIT is bringing hi-tech into the disaster recovery arena by training responders to use it and developing strategic relationships with technology partners to bring their best to bear when it's needed most.

FIT, a nonprofit, has been in the game since 2010 and has responded to hurricane Sandy, the Boston Marathon Bombing and the 2014 mudslide in Oso, Washington.

By deploying drones over the mudslide, FIT was able to get a better read on the dangerous topography than would have been possible with manned aircraft and was able to do it without putting any humans at risk. Read more.

Applications to help manage projects

By Idealware for TechSoup

What kind of software is out there and which tools might support your organization's particular project-management needs? Idealware shares what nine nonprofit project managers are using to manage their projects.

So you need software to help with project management. Great! But wait... What do you mean by project management? Do you need to map out project plans and schedules? Collaborate on documents? Track tasks? Time? Documents? Issues?

The definition of "project-management software" varies widely, and your needs are likely to depend substantially on your project, your team, and your project-management style. What's available out there and what tools might support your particular project-management needs? Read more.

Top five mistakes of boards

By Zac Kester, JD, LLM, CFRM, at Charitable Allies

In the past few months I've received many calls regarding badly behaving boards, and have become aware of at least two Indiana Attorney General investigations into nonprofits. That got me thinking about the top mistakes of nonprofit boards.

I am not going to round up the "usual suspects" in this article — many nonprofit leaders already know about fiduciary responsibility and keeping good records. Instead, here are the "sleeper" mistakes — the top five mistakes of boards that, in practice, often create more damage than the obvious oversights and might not be on your radar:

  • Failing to monitor programming effectiveness or make course corrections
  • Not wrestling with tough questions
  • Board-level confidences are not kept
  • One person or a small group runs the show
  • Executives and inactive board members who are not held accountable

Are you on a board characterized by one or more of these mistakes? If so, you may want to think about starting a board meeting by analyzing one these issues and discuss how to be more effective. Read more.
