March 2017:  Requirements for employee pay stubs

Pay stubs inform employees about their hours worked and wages earned. Providing a complete paycheck record not only helps your employees, it also ensures you are keeping necessary financial records. The following are some important tips to keep in mind.

Are employers required to provide employees pay stubs?

Yes, e mployers must provide a pay stub to each employee each time they are paid.

Employers that choose to provide pay stubs electronically must give employees access to an employer-owned computer during the employees' regular working hours to view and print their pay stubs.
What information must appear on employees' pay stubs?

 

Generally, all of the following information must be included on employees' pay stubs.

  • Employer's name (the legal name and the operating name, if any)
  • Pay-period dates
  • Employee's name
  • Employee's hourly rate of pay 
  • Total number of hours the employee worked in the pay period 
  • Total gross amount the employee earned in the pay period
  • Deducted amounts
  • Total net pay amount (gross amount minus deductions)
Are employees entitled to a paper pay stub?

Yes, employers must honor employee requests for a paper pay stub.

The employer can require at least 24 hours notice that an employee would like a paper pay stub, but after the request is made, the employee is entitled to a paper pay stub on an ongoing basis.
