Provider Guest Access to Vocera "Genie"
|
|
- Vocera Vina is the primary communication tool on the nursing Rover iPhones allowing nurses to communicate with other staff members.
- Suppose a physician would like to contact someone at our facilities using Vocera. In that case, they can use the Guest Access Numbers below to access the Vocera voice recognition "Genie."
- The Genie will ask the caller to "Say the full name of the person or group that you want to reach or say the extension" –
- The caller can then reply using keywords such as "John Smith," "3 Tower," "2345," or "Respiratory Therapist."
-
Reminder: Please do not leave a voicemail if acknowledgment is needed, as voicemails do not assure receipt or timeliness.

Signing into Provider Teams and
Assigning a Team
|
|
1.Log into Epic and open the patient list activity. Click the “Sign In” button.
|
|
2. Make sure your role and service are correct. Review the shift start time and shift end time. Enter a contact number and any additional comments (i.e., if there’s a second pager or specific process for escalation of care then add that info to the comments field). Select the correct provider team and add yourself to each patient’s treatment team.
|
|
3. You can enter a phone number for each team in the “Define Provider Teams” activity. Because the label is hard coded in Epic, the place where you enter the permanent contact number is called “Team Pager Number.” This number, once entered, remains the same regardless of who is signed in. This action only needs to be done one time by one person on each provider team.
|
|
4. Within the Treatment Team activity and on the Storyboard, users can see the team pager number and all sign-in information for individual providers.

Situation:
Haiku has been working intermittently for our customers.
Background:
On Monday, June 14, we identified that one of the servers was having issues preventing users from accessing Haiku sometimes, but not always.
Assessment:
Physicians should now be able to sign into Haiku on the first try.
Recommendation:
If you continue to experience issues with accessing Haiku, please call the help desk or submit a ticket.

Discharge Med Reconciliation After
Discharge Paperwork is Printed
|
|
-
Once med reconciliation is complete, you are prompted on new medication orders to confirm if you need to perform a new reconciliation.
-
If you do need to reconcile and if the discharge paperwork is printed and a provider changes an order, the provider must update the reconciliation in Epic. Then, the provider needs to inform the nurse, and the paperwork needs to be re-printed.

Wave 3 Go-Live Topics
|
|
The following have been identified as topics of note by Provider Leadership
|
|
Printing
Issue: There have been reports of printer settings changing unintentionally and sending print jobs to the wrong printer. Even after being corrected, these printers revert to incorrect settings.
Action Plan: This is being investigated in depth by the technical team. If you encounter this issue, please submit a ticket with the printer number and your location.
Pathology reports
Issue: There have been accounts of pathology reports not being routed to the ordering providers.
Action Plan: This is still under investigation. Please submit a ticket with specific example information if you encounter this issue.
Some practices are not populating their In-Basket pools with users
Issue: Messages are not getting seen because users and patients are sending messages to individual users.
Action Plan: Department and practice managers are being reminded to make sure that all users are members of the appropriate In-Basket pools.
|
|
Optimizing the usage of Provider Teams and Patient Lists
Issue: The meaning and proper usage of Practice Groups, Provider Teams, Treatment Teams, and Care Teams in Epic is not fully understood by all providers. In addition, updates may be needed post-Go-Live.
Action Plan: We are diligently working on communication and education to clarify the differences and define optimal usage. In addition, we are prioritizing updates and ensuring accuracy.
Providers with the same name
Issue: Providers with the same first and last name create challenges for selecting the correct provider.
Action: If more than one provider has the same first and last name, use the provider's middle initial and Specialty to ensure you are choosing the correct provider.
