Dear Team KYC,
I am overjoyed to have been able to connect with so many of our spectacular team members at the Gratitude Gathering at Maggiano’s on Friday. It is always such a pleasure to be able to slow down and catch up with you – especially when it is in celebration of the incredible work you all carry out every day. You are what makes KYC what it is! When I think about the work you each do with your clients and in the community, I’m in awe. Words truly do not express my admiration for the care and service you provide. For those that couldn’t make it in person to this gathering, I want to offer my deepest thank you for continuing to serve our community members with the highest needs 24 hours a day. This reinforces that our work is never truly done, and your commitment to it does not go unnoticed.
I’d like to also extend a thank you to everyone who helped plan and host this event, including the Employee Engagement Committee and Leadership. If you have any ideas on how we can continue to celebrate each other and plan fun activities, please join our Employee Engagement Committee – they are always welcoming new members. Continuing the spirit of slowing down and reconnecting, I would like to reiterate that as our year ends and the season changes to please take time and care of yourself. Please practice self-care, take time away to recharge, and come together with your family, friends, and community. *Updated* Open Enrollment for Benefits
Due to technical issues with the benefits enrollment website, the dates for Open Enrollment have changed since yesterday afternoon’s presentation. Open Enrollment will now be from November 20th to November 28th. More time is needed by the third-party administrator to set up the benefit portal system to ensure a seamless experience for those enrolling.
Yesterday’s presentation was robust, and attendees received a lot of information on next year’s plans. Teams will now have extra time to review the resource materials including the 2024 Benefit Guide and 11/14 PowerPoint presentation. We will share a recording covering the benefit information as soon as it is available.
This is an active enrollment, which means you have to go into the benefits portal and make your selections. Staff who do not enroll during this period will be ineligible for benefits through KYC. Please reach out to HR with any questions.

FSA Rollover for 2024
The FSA rollover maximum limit will increase to $640 for rollover of 2024 in to 2025. The FSA rollover from 2023 to 2024 will be $610. Please keep in mind with the FSA rollover that these funds are frozen in the first quarter of the following year to allow a 90-day run-out period for claims from the previous year. Please ensure you contribute enough new funds to cover the first quarter and do not rely on rollover funds for your first 90 days of the new year. Additionally, to be eligible for the FSA rollover, staff must create a new FSA account for 2024 for the 2023 funds to rollover into. If staff have rollover funds and do not create an account for 2024, they will lose those funds and not have access to an FSA account for 2024.

2023 PTO Cash Out
KYC will provide up to 75-hours of PTO rollover from 2023 to 2024. Per policy, KYC reviews annually whether staff will be able to also cash-out any PTO in lieu of taking the time and this year, those who have OVER 75 hours of PTO hours as of 12/31/23 may cash out up to 22.5 hours of PTO. Staff with less than 75 hours of PTO will not be able to cash out PTO, but will automatically roll over any unused PTO under 75 hours to 2024.
Eligible staff looking to cash out PTO should submit their request to their supervisor by 12/15/23. Supervisors, please submit all requests from your team on one form by submitting this form by 12/22/23 for payout on the 12/29/23 paycheck. This fillable form is also found in the Users drive: U:\Human Resources\Payroll & Holiday Information - PTO Cash Out – Fillable
Please make sure to check in with all team members who may be eligible and offer to approve their PTO cash out requests in time for the deadline. Those who have over 75 hours of PTO as of 12/31/23 may cash out 7.5, 15, or 22.5 hours, however only time over the 75 hours is eligible for cash out. (Please see examples below.) Staff must be in good standing to be eligible. Please also note that staff may have other PTO scheduled in 2023 that needs to be accounted for to determine if they will have 75 hours remaining as of 12/31/23 to potentially qualify for payouts.
When considering PTO rollover and usage, we encourage staff to rollover at least a week of PTO time to account for emergencies, illnesses in the new year etc... to ensure no staff have to go into unpaid time should they need to take unexpected time off early in the upcoming year.

Please note. To qualify you must have at least 82.5 hours as of 12/31/23. You can only cash out the amount that is over 75 hours, in increments of 7.5, 15, or 22.5 hrs. Accrual rates can also be different by employee tenure.
These examples are based on requests made today – if you choose to make requests later in the calendar year, please be mindful to recalculate how many pay periods remain at the time of your request.
Example 1: Employee has 77.25 PTO hours. Employee has approved PTO of 7.5 hours through 12/31/23 and will accrue 18.75 more hours (3 remaining pay periods*6.25 hours accrued per pay period=18.75hrs). Total as of 12/31/23 is 96 hours (77.25+18.75) - 7.5 hrs of approved PTO = 88.5 hrs of unused PTO. 88.5 - 75 hrs = 13.5 hours. Employee can only sell 7.5 hrs. and will need to use 6 hrs. of PTO.
Example 2: Employee has 70 PTO hours, will be using 15 hours of previously approved PTO, and will accrue 24.39 more before the end of the year (3 remaining pay periods*8.13 hours accrued per pay period=24.39hrs). Total as of 12/31/23 is 64.39 hours (70-15+24.39 = 79.39). Employee must use or lose 4.39 hours of PTO before the end of the calendar year (although they can certainly use more), but they do not have enough hours to cash out.
Example 3: Employee has 45 PTO hours, 22.5 hours of approved PTO, and will accrue 18.75 more hours (3 remaining pay periods*6.25 hours accrued per pay period=18.75hrs). Total as of 12/31/23 is 41.25 hours (45-22.5+18.75=41.25 hours). Employee is not eligible to cash out hours, but can schedule up to 41.25 hours of time off before the end of the year – but remember it’s strongly encouraged to rollover at least 37.5 hours into the new year to cover any emergencies in the new year to avoid taking unpaid time off.

Upcoming Irregular Payroll Period
Due to a shortened processing window for payroll, time sheets and expense reimbursement forms will be due to HR at 10am on Friday, December 22nd for the pay period (12/9-12/23). Staff will have to add hours for that Friday (22nd) and Saturday (23rd) ahead of time and submit any corrections to their supervisors for revisions ASAP.

Fragrance-Free Workplace
As a reminder, to protect individuals with sensitivities or allergies to fragrances KYC is a fragrance-free workplace. This includes but is not limited to cologne, perfume, scented body lotion or creams, and essential oils. We ask supervisors to please consider this, and address situations as needed. Please see section 2.12 in the Employee Handbook here for guidelines on the fragrance-free workplace. Special accommodations may be requested with HR for items with fragrance to those with medical necessity. For any questions, please contact your supervisor or HR.

Our Communities for Positive Youth Development (CPYD) Coalition is meeting on November 15th from 6:30PM - 8:00PM at Trickster Cultural Center, 190 South Roselle Road Schaumburg, IL 60193. Learn more here
The CPYD Coalition is a collaboration of community partners who share the common goal of positive youth development, recovery support services, and public health. Our CPYD Coalition meetings are a great place to learn about our programming, get involved in community advocacy work, and network with other professionals and community members.

Join our LGBTQ+ Center for a Queer Friendsgiving! This is a celebration of the Queer community with a beautiful found family meal! All ages are welcome to attend.

Kenneth Young Center's SHIP (Senior Health Insurance Program) counselors will be available by appointment to provide FREE assistance with Medicare enrollment and Part D Prescription Drug Plans. These dates are ahead of the December 7th open enrollment deadline.

Mandatory Cultural Competency Meeting - December 1st and December 4th | |
As a reminder, there will be no All Staff meeting for December, however there will be a *MANDATORY* Cultural Competency Training held in-person on Friday, December 1st from 10AM-12PM and a second session the same day held from 1PM-3PM. You only need to attend one of these sessions. It is recommended that all managers, supervisors, deputies, and directors attend in-person.
We may have less available parking on the date of this training as we have many external guests attending the event. If you will be in the office on this day, additional parking is available on Charlela Lane just to the East of the Elk Grove Village office.
If you can't make the in-person sessions, there will be a virtual session held on Monday, December 4th from 10AM-12PM. A link will be made available after registering.

KYC staff and other mental health professionals are invited to the next event from our very own Program Training Committee!
This will be a virtual training on December 8th from 8:30AM-4:30PM that will increase cultural competence and understanding of the Latinx culture and its inter/intragroup differences. This training will also confront myths and stereotypes regarding this population.
Topics will include working with parents and children, healing from generational trauma, and interventions and diagnoses. This event will be FREE for KYC staff to attend and will offer CEUs to LPC/LCPC/LSW/LCSW (pending). Register for this training here!

Adopt A Family Updates: Please Help Spread the Word! | |
The nominations are in - and this year, we've received more requests for gifts through our Adopt A Family program than ever before. With 100 more gift requests than last year - which was a record-breaker in itself - it will be a true team effort to try to connect each nominee with a gift this year.
We've received over 800 requests for gifts this holiday season. Especially with this increase in requests, we can't promise that we'll be able to connect each nominee with a gift. Your help can make a huge difference in the number of gifts we're able to share.
If you know of an individual, group, or organization who might like to make the holidays brighter for local folks and families, please help spread the word!
Please connect with Team DevCom to make a plan for how we can invite participants to support this program. You can also feel free to share this flyer with local groups. The DevCom team identified potential missing nominations for family members and/or questions about nominations that they've sent back to staff members. If you received an email message that you've got an Identillect message about Adopt A Family from email@kennethyoung.org, that message is likely legitimate. If you have any questions about an Identillect message notification, please message Team DevCom to confirm if the message is real. Your response is critical to increasing the likelihood of providing gifts to all of the nominees you intended.

Join the Child and Adolescent team for their group, Together We Share: Depression and Anxiety Group. This group is for 6th, 7th, and 8th graders that have experienced sadness, hopelessness, loss of interest, anxiety, low self-esteem, who are withdrawn, or who having difficulty being motivated.
This group will help adolescents engage in activities to learn about depression and anxiety, learn how to challenge negative self-talk, increase communication, and improve social interactions, as well as manage their emotions and cope in productive ways.
This group runs every Tuesday from 5:00PM-6:30PM in person at the Elk Grove Village office. Please see this flyer for more information or reach out to Natasha Mahmood with any questions about this group.

A new group is available for adults who are interested in Acceptance Commitment Therapy (ACT) for treatment of depression, anxiety, OCD/phobias, chronic pain/medical conditions, adjustment disorders, or other and new stressors in life. This group will help clients develop the ability to have challenging inner experiences and still make the choices they value in the outside world.
Attendees must be 18 years old or older and be a client of KYC. Clients who have completed an Initial Mental Health Assessment and are currently on our wait list are welcome to participate while waiting for an assigned therapist. This group will meet on Wednesdays from 5:30PM - 7:30PM, starting October 25th. For more information, check out the flyer here or contact Ria T.

SUPR (Substance Use Prevention & Recovery) Scheduling Changes | |
All SUPR (Substance Use Prevention & Recovery) groups are currently meeting in person at the Elk Grove office. Our adult SUPR group currently meets on Mondays & Tuesdays, 1PM-4PM and Thursdays, 10AM-1PM, but, starting the week of 11/6, we are transitioned our current adult SUPR group to being a Harm Reduction track, which will meet on Mondays, Tuesdays, and Thursdays, 1PM-4PM.
We are also opening two new SUPR groups for adults:
- An abstinence-only adult group, which meets on Mondays, Tuesdays, and Thursdays from 9AM-12PM.
- A blended abstinence/harm reduction group that meets on Monday, Tuesday, and Thursday evenings from 6PM-9PM.
In addition to our adult groups, we are looking to reopen our evening adolescent group, which will meet on Mondays, Tuesdays, and Thursdays from 5:30PM-8:00PM. If staff would like more information on referring clients or their family members for services, please have them contact Tami Crumlett at tamic@kennethyoung.org .

Native American Heritage Month
November is Native American Heritage Month, which is a special time to celebrate and uplift Native voices, cultures, traditions, and experiences. We honor, appreciate, and acknowledge the many contributions Native tribes have made. We also take this time to bring awareness and educate ourselves and others to the many challenges Native people face. We're proud to celebrate the rich and diverse cultures and identities of our Indigenous and First Nations clients, staff, and communities this month and always. We are also proud to partner with Trickster Cultural Center which helps to increase visibility of Native American traditions, veteran contributions, and contemporary cultural arts. Hunger and Homelessness Awareness Week – November 11th – 18th
November 11th through the 18th is Hunger and Homelessness Awareness Week. This week highlights the poverty rates in our communities and brings people together to help fundraise, volunteer, educate, and provide support to those in need. KYC is proud to be a trusted community resource to those in need thanks to the incredible work our staff does. We are also proud to partner with community resources like Journeys | The Road Home and the Schaumburg Township Food Pantry.
Nurse Practitioner Week – November 12th – 18th
November 12th through the 18th is also Nurse Practitioner Week. This week highlights the crucial and necessary work done by Nurse Practitioners in keeping our communities safe and healthy. Thank you to all our nurses and nurse practitioners at KYC. You are why Together We Thrive !
Trans Day of Remembrance (TDOR) – November 20th
Trans Day of Remembrance is a yearly observance of the memories, legacies, and lives of trans people who lost their lives due to anti-trans violence. This day honors trans folks, their safety, and lives. This day also highlights the impact of anti-trans rhetoric, legislation, and violence.

All are welcome to this free sit-down dinner on Saturday, November 18th for a continuous buffet meal from 11:30AM-4:00PM. The event plans to host 700-800 guests, so please go here to sign up for meal tickets, to volunteer, or to donate.

Selfies, Social, and Screens: Navigating Virtual Spaces for Youth: 2023 Back to School Resources - The Back to School campaign and resources were developed to help increase understanding of how online activity affects the mental health of children and teens. The factsheets, shareable images, and other materials in the toolkit can be used to help manage the challenges of virtual spaces and empower youth to make informed decisions for their mental health and well-being.
New Mental Health Resources Hub in Spanish - This Spanish-language resources hub provides a comprehensive collection of mental health materials to assist individuals, families, and others in accessing valuable mental health resources for the Spanish-speaking community.

CST team is being recognized because they have done an amazing job at continuing to provide care and services for our clients even though they are significantly understaffed and only have 1 supervisor. All KYC staff must track their office and vehicle use in the new 2023 Skedda scheduling software . To reserve an office space, please choose the office location and then office space to book. Skedda will provide the available times that space is open. Once a time is chosen, fill out the form that populates, then click the "confirm booking" button. Wizer Security Training
KYC's IT staff have partnered with Wizer Security to provide an Awareness Training on cybersecurity protection and risks. The training consists of a series of short, interactive videos that should take no more than 30 minutes to complete. Our IT team asks that you watch these videos within 30 days of having received the invitation. Our IT team will also conduct phishing exercises and simulations to further reinforce the training.
