I was just reading an interesting article in MeetingsNet online regarding the tools and supplies that we meeting planners take to our events. Jordan Kaye has established a new company that has developed a Meeting Planner Supply Backpack. After 30 years in the business, why didn’t I think of that? The backpack contains all the usual supplies needed and may be a bit pricey at $375 but you pay for the convenience of his team pulling it all together. The meeting planners I know all have some sort of portable office. I have seen some planners with a portable closet set up neatly with all the supplies you would find if you went to office supply store and more. The backpack type of supply bag is typical and used by many. At Meeting Coordinators, Inc. we fall somewhere in between the two. We have a 15" x 15" x 15" wheeled trunk that contains all supplies in a neatly organized plastic bin that has drawers to contain pens, clips, scissors, tape reams of paper, etc. You have seen these bins at the hardware store to keep nails, hooks, hammer, screwdrivers, etc. all in a compact container. The beauty of this concept is that when you arrive at your registration desk you can just take the bin out and you have all the supplies at your fingertips. Take a look at the supply list he has included in his backpack, and you will find it impressive.
By comparing it to our supply list, we have all his items plus the following:
Flashlight * scissors * box cutters * sewing kit * buttons * Velcro * packing tape * note pads * breath mints * hard candy * cell phone chargers * and now we are adding masks, Clorox wipes and sanitizers.
One item that he does not have in the backpack, but he sells on his website is an emergency phone charger…at $5.99 it seems like a great item to own in case of power failure.
For many of our events we have the pleasure of working with volunteers at the check-in or registration desks. The volunteers are always amazed by the questions our staff receive outside the normal “Where are the restrooms?” "My button just popped -- do you have a button and some thread?" "Can you call my office and see if they can send me_____?" "My heel broke, do you have glue?" "Do you have a phone charger?" "Can I borrow your scissors?" Like the Girl Scouts and Boy Scouts, “we are always prepared."
So there you have it….our back to school & meetings supply list! Hope the school year has started out well and that we will all be gathering safely and often soon!
