CONVENTIONS AND ROSTERS

 

Spring is here...we hope everybody is enjoying their spring break! For PTA, springtime brings conventions, both state and national, and new PTA leaders! 


Conventions: We hope to see you at California State PTA Convention in Sacramento, April 21-23, 2023 and National PTA Convention virtually beginning June 15-24, 2023. Conventions are a great way to connect with PTA across California and the country and to learn more about being a PTA leader!


New PTA Leaders: We can't wait to meet our new PTA leaders!  As soon as your PTA has elected the officers for the upcoming term, please enter the incoming boards' contact information into myPTEZ.  HERE is a link with video instructions. We use contact information in myPTEZ to communicate with all of our PTA leaders.  


As always, if you have any questions, always reach out to your council or district leaders! We are here to make your volunteer role easier!

HISTORIAN

ANNUAL REPORTS DUE

COUNCILS AND OUT-OF-COUNCIL REPORTS DUE APRIL 24


Every Council and Out-of-Council-Unit Historian must submit an annual historian report detailing volunteer hours to the First District PTA Secretary at [email protected] by Friday, April 24.  


(Note: Units that are under a council should NOT submit their reports directly to First District PTA. Instead, they should submit their reports to their council by the council's deadline. Councils set their own deadlines in order to meet the First District PTA deadline).

California State PTA requires the filing of this report as stated in PTA bylaws. Information on volunteer hours is used for audits, advocacy, and grant applications.

SPECIAL EVENTS

CONVENTION

CALIFORNIA STATE PTA CONVENTION


The registration for CAPTA Convention is going on now. We would love to encourage councils, units, and out-of-council units to attend, if possible.


This is an election year, and the State PTA will be voting on many resolutions. By sending voting delegates, you ensure your voice gets heard.


Conventions are an excellent opportunity for all PTA leaders to connect, train, advocate, and return back to your council/unit with some valuable information. Please, share with all of your units and encourage them to attend!


Make sure you check your bylaws on how many delegates per association can attend. Also, as a safe practice, please motion and record in your minutes who your delegates are and the expenditures allowed.


Registration for the Convention is open:


  • Pre-registration:  4/1/23 to 4/19/23, full time $299, single day $169
  • On-site registration: 4/20/23 to 4/23/23, full time $349, single day $199

Please mark your calendars for Monday, April 24, for our Annual Association & Awards Meeting. The theme is Victorian Garden Party and fancy hats are encouraged! The meeting will be followed by a high tea reception.

First District PTA is excited to invite you back to our District Leadership Conference for another year of learning and networking. Plan to spend the day with us as we offer entire board training to help prepare you for a successful PTA year. We have worked diligently to bring a wide variety of workshops that will benefit everyone on your board. We will also have exciting exhibitors with information about their programs, service and products.

REMITTANCE FORMS, RAFFLES & DONATIONS

REMITTANCE FORMS


New remittance forms for council treasurers and out-of-council unit treasurers can be found on our website or by clicking the link below. Please use the new forms when sending checks to First District PTA:

 


REMITTING MEMBERSHIP DUES - REQUIRED MONTHLY


With many membership contests still ongoing and the year-end fast approaching, this is a friendly reminder to continue to remit all NON-TOTEM PTA membership dues through channels. The dues portion not belonging to the unit (“per capita”) must be forwarded through channels at least monthly. To remain in good standing, a unit must remit all per capita membership and insurance premiums.


When PTAs fail to submit all per capita for their members, they are

withholding funds that do not belong to them. Withholding per capita is considered a misappropriation of collected funds. Whether it is an oversight, a result of poor bookkeeping, or intentional, underreporting membership and/or withholding dues hurts PTA’s cause for children:


  • Damaged reputation and relationships
  • Loss of members and outreach
  • Loss of advocacy at the local, state, and national PTA
  • Loss of grants


NEW RAFFLE REPORTING DATES


Raffle Registration Update from the California Office of the Attorney General

As of April 1, 2023, the new Raffle Registration year will be the calendar year (January 1 – December 31).


  • All PTAs with a current raffle permit that expires on August 31, 2023, will have their permit expiration date extended to December 31, 2023.
  • The Raffle Report (CT-NRP-2) form for the adjusted period from September 1, 2022, through December 31, 2023, will be due by February 1, 2024.
  • 2024 Raffle Applications will be accepted starting on October 1, 2023. This permit will cover the period from January 1, 2024, to December 31, 2024.
  • New CT-NRP-1 and CT-NRP-2 forms will be available on April 1, 2023, on the OAG website at www.oag.ca.gov/charities/raffles.

Nonprofit Raffle Annual Registration

This form is required from all raffle registration applicants. A check in the amount of $30 made payable to the Department of Justice must accompany this registration form.

Raffle registrants must report annually using this form.


DONATED ITEMS AND GIVING DONATIONS TO THOSE IN NEED


Donations, Fundraising, Disasters, and Taxes–what’s a PTA to do? 


Knowing how to handle donations your PTA receives and perhaps some they want to make can be confusing. Tax laws affect both. California State PTA often gets questions about what PTAs can and can’t do. Here are some common questions and links to the California State PTA blog where the answers were addressed.
