MESSAGE FROM THE PRESIDENT

HOLIDAY LUNCHEON SUCCESS

 

Hello PTA Leaders,

 

It was wonderful to see so many of you at our 2023 Holiday Luncheon and Association meeting last Monday. Our First District PTA subject matter VPs, Scott Harden & Lenka Kendall, facilitated an engaging panel discussion that included speakers, Ana Vasquez, Covina-Valley USD Mental Health Coordinator; Nicole Salas, Covina-Valley USD Health Services Coordinator; Dr. Kelly King, Glendale USD Assistant Superintendent, Educational Services; Lerna Amiryans, Glendale USD Homeless & Foster Youth Counselor; and Dr. Julianne Reynoso, Pasadena USD Assistant Superintendent, Student Wellness & Support. At the forefront of the discussion, our program highlighted the various models of school site and district-run Wellness Centers throughout our region, each supporting the mental health of our students and families. We also enjoyed the outstanding, high-energy performance of the South Hills High School Dance Team from Covina-Valley Council. 


Our silent auction and raffle was a huge success. Thanks to all for your generous contributions to this event that support our 2024 First District PTA Commemorative Senior Scholarships.

 

I am grateful to each of you for your continued efforts to make every child’s potential a reality, while you positively impact the lives of all children and families through your work in PTA.  Warmest wishes for a wonderful holiday season!

  • The Year-end Financial Reviews should be complete and adopted by the association!
  • Have you uploaded the complete Financial Review Report and associated documentation (Financial Review Checklist and Recommendations Report) to myPTEZ? If not, upload it as soon as possible. Select the 2022-2023 Year-end Financial Review slot. HERE are instructions for uploading documents to myPTEZ.  


MID-YEAR FINANCIAL REVIEW REPORTS


May 31 year-end - 6/1/2023 - 11/30/2023 or June 30 year-end - 7/1/2023 - 12/31/2023


While the California State PTA adopted changes in April 2023 to the bylaws and standing rules requiring “financial reviews at least annually…”, First District PTA believes in the importance of semi-annual reviews and requires a mid-year and year-end financial review to remain “in good standing” with First District PTA.


It’s time to start getting ready for the mid-year financial review! 


  • Treasurers and financial reviewers, get together soon and agree on a timeline to ensure adequate financial review time, working backward from the association meeting. 
  • Treasurers, if your books aren’t quite as organized and in order as you’d like, now is the time to prepare. Don’t wait until right before the financial review to pull everything together!

UPCOMING CONFERENCE

CALIFORNIA STATE LEGISLATION INFORMATION


California State PTA has announced that the Legislation Conference will be held in Sacramento on January 22-23, 2024. Conference registration will cost $280, which covers three meals and materials. California State PTA has secured a hotel rate of $234 plus tax per night for attendees at the Embassy Suites.


We hope you will consider joining other First District PTA representatives for this engaging and informative conference.

PARLIAMENTARIAN

BYLAWS TEMPLATES

NEW BYLAWS TEMPLATES AVAILABLE


The updated 2023 bylaws templates are here!  You can find the fillable versions of the 2023 Unit and Council bylaws, the Bylaws Submittal Form, and many other helpful parliamentarian documents, on the bylaws and parliamentary procedure page of the First District PTA website


The unit bylaws are not available in eBylaws yet. Once the unit bylaws go live in eBylaws, First District PTA will notify the Council Presidents and Parliamentarians. At that point, there will be a one-month (30-day) period where the California PTA Parliamentarian will still accept the 2022 template. After that, California PTA will only accept the 2023 template. So, if you are working on revising your bylaws, please refer to the fillable 2023 template so that your bylaws don't get delayed in the changeover.  


There is no need to wait to transition for new units, councils, and bilingual submissions because these bylaws are not available through eBylaws. As of December 1, 2023, California State PTA will no longer accept new unit bylaws, council bylaws submissions, district submissions, or bilingual submissions on the 2022 template.  So please start using the 2023 fillable templates now if you are a new unit, council or are using the bilingual bylaws template.


When you submit your bylaws via email through channels, please make sure that you include the Bylaws Submittal Form and indicate any changes that you are making to your bylaws on the chart on page two.

MAKING THE MID-YEAR AND SCHOLARSHIPS

MEMBERSHIP IS SWEET!

COMMIT-MINT TO MEMBERSHIP GROWTH


As of December 1, 2023, First District PTA has 63,115 members, which is 86.46% of the way to our 2023-24 goal of 73,000!

 

The greater the increase to our membership totals, the greater the capability of PTA to advance PTA efforts. Holding a mid-year campaign helps increase membership and gives your school community the opportunity to show support of your current and upcoming impactful works. Examples of campaign efforts are competitions and promotion at PTA events (“Your membership helps us bring more events like this one to students! Please join us!”).

FIRST DISTRICT MEMBERSHIP AWARDS

 

AVOID LORD LICORICE! Councils and all units were invited to share mid-year campaign ideas! Concepts will be spotlighted on First District PTA social media. Thank you to Crescenta Valley High PTSA (Glendale Council), Glendale Council PTA, Glenoaks Elementary PTA (Glendale Council), and Mayflower Elementary PTA (Monrovia Council)!

 

GUMDROP PASS #1: July-November total membership as of 12 p.m. 11/15/23 must have exceeded the total of the same period last year. This challenge was open to councils and out-of-council units.

 

  • Councils: Bassett (exceeded by 2168.8%), Rowland (505.8%), Pomona (174.6%), Temple City (67.8%), Glendora (65.2%), Garvey (22.7%), Monrovia (10.6%), San Marino (8.7%), Rosemead (3.4%).
  • Out of Council Units: Newton Middle School PTA (exceeded by 431.8%), Thomas Jefferson Middle School PTA (81.7%), Victor Hodge Elementary School PTA (72.9%), Pasadena City College PTA (61.5%), Los Molinos Elementary School PTA (52.5%), Grazide Elementary PTA (21.2%), Gabrielino High PTSA (14.8%), Woodrow Wilson of San Gabriel PTA (10%).

  • FD Due Date for Manual Remittances: 1/29/24 in the First District PTA office by NOON.
  • TOTEM Remittances (dues paid using TOTEM) Due: 11:59 p.m. 1/28/24.

SCHOLARSHIPS  

   

PTA Membership is required for PTA scholarship opportunities.


CAPTA High School Graduating Senior Scholarships – Applications Due 2/1/24


Applications, reference forms/letters, and all supporting documents must be received in the California State PTA office by February 1 each year. All applicants are notified of their status in March. Scholarship winners receive a letter of congratulations and a recognition certificate from California State PTA along with a check.


  • Volunteer Service Scholarship – Award amount TBD
  • Ralph E. White Scholarship - $500 to each of 2 successful applicants of the Volunteer Service Scholarship

TREASURER & FINANCE

INSURANCE DUE

INSURANCE PREMIUMS DUE!

 

All PTA insurance premium payments must be made directly to our insurance broker AIM (Association Insurance Management, Inc). DO NOT SEND INSURANCE PREMIUMS THROUGH CHANNELS! Insurance payments must be made to AIM no later than December 20th or a late fee applies. Please allow time for it to arrive by the deadline if you are paying by check. It is “received by”, not “postmarked by” the 20th. You may pay the insurance premium via ACH transfer or PTA check.

 

All PTAs will fill out the insurance questionnaire and submit payment through the AIM Insurance Portal. Your president received an email directly from AIM with a link to the portal. You may also access the payment portal by clicking the link below.

Insurance Webinar


California State PTA’s annual insurance webinar was held earlier in September. The webinar covered the different types of insurance coverage PTAs have and how to file the information form and payments for premiums. HONORARY SERVICE AWARDS

SEEKING NOMINEES FOR HONORARY SERVICE AWARDS


Honorary Service Awards are designed as a unique way for PTA units, councils, and districts to publicly acknowledge both individuals and organizations for outstanding community service to children and youth. All funds collected from this program are used exclusively to support the California State PTA scholarship and grant programs. The HSA program includes the Honorary Service Award, Continuing Service Award, Golden Oak Service Award, and the Very Special Person Award.


In considering candidates for the First District PTA Honorary Services Award recipients, we need your input. Please nominate an individual or organization and describe in full the contributions they have made for children and youth.


The applicant(s) being considered should be recognized for outstanding service to children and youth in the First District PTA region, and not for routine, assigned responsibilities or for retirement. Remember to consider those who work behind the scenes quietly and efficiently serving youth.

Award/s to be considered:


  • VSP - Very Special Person Award
  • HSA - Honorary Service Award
  • CSA - Continuing Service Award
  • EOHSA - Elected Official Honorary Service Award
  • GOSA - Golden Oak Service Award
