THANK YOU FOR YOUR VOLUNTEERISM

 

PTA leaders, volunteers and administrators, 


As we near the end of the 2022-23 PTA term, I want to share my gratitude to each of you for your incredible volunteerism on behalf of the children and families of First District PTA.  


During the 2022-23 PTA term, PTA leaders and volunteers in First District, from Burbank to Pomona, have donated a reported 781,224 hours toward the mission of PTA. At the IRS volunteer rate released in April 2023, these donated hours equate to a value of over $29 million to our twenty seven school districts and two hundred and fifty schools with PTAs in First District.  


Wow! I feel a great sense of pride and honor in each of you and the amazing work we do together to positively impact the lives of all children and families!

TOTEM UPDATE

TURNING OFF DONATIONS

TOTEM DONATIONS - TURN OFF THE FUNCTION


First District PTA encourages all PTAs to turn off the Totem Donations function and choose an alternative platform for collecting donations, beginning in the 2023-24 school/fiscal year.


Please continue utilizing the Totem platform to sell and track memberships.

First District PTA is excited to host each of you who has registered for our District Leadership Conference for another year of learning and networking.

NOTICE: SPECIAL ASSOCIATION MEETING - During the general session, we will be holding a special association meeting to review and adopt changes to First District PTA bylaws and standing rules.


REGISTRATION & CONTINENTAL BREAKFAST: 7:00 am - 8:15 am

VENDORS OPEN: 7:00 am - 12:00 pm

GENERAL SESSION/SPECIAL ASSOCIATION MEETING: 8:30 am - 9:00 am

SESSION ONE: 9:15 am - 10:45 am

LUNCH: 10:45 am - 12:00 pm

SESSION TWO: 12:00 pm - 1:15 pm

SESSION THREE: 1:30 pm - 2:45pm

TREASURER

END-OF-YEAR PROCEDURES

PTA END-OF-YEAR FINANCIAL OFFICER TRANSITION


The transition process is the responsibility of both incoming and outgoing officers and board members. It gives closure to those leaving their positions and allows those coming in to be properly prepared.


TASKS FOR OUTGOING TREASURERS


The outgoing treasurer is responsible for:


  • Ensuring all non-TOTEM membership dues have been forwarded through channels prior to the end of the fiscal year.
  • Preparing a Treasurer’s Report from the last association meeting to the end of the term.
  • Preparing the Annual Financial Report.
  • Submitting books and financial records to the outgoing financial reviewer for the end-of-term financial review.
  • Ensuring all tax forms are prepared and filed with the appropriate agencies. Do not fail to ensure these required government filings are completed. Click the links below for help with preparing your tax forms:

o  PTA Tax Filing Support Center


  • Uploading copies of your financial reports and tax returns to the document retention system in myPTEZ.
  • Compiling a list of payments made between January 1 and June 30 that are subject to 1099 and Workers’ Compensation reporting.
  • Turning over the PTA financial records and materials to the incoming treasurer (except those given to the financial reviewer). See the PTA Records Retention Schedule and Destruction Policy to learn how long PTA records must be kept.


TASKS FOR INCOMING TREASURERS


The real responsibility for a new PTA board begins on July 1, when most PTA officers take office. Here are a few summer tasks that incoming treasurers need to take care of:


  • Training – Attend workshops for financial officers, when offered. The First District PTA Leadership Conference will be on June 10th.
  • Check Signing Authority – The incoming officers must visit your bank during the summer to complete a new bank authorization signature card. Check your Bylaws to determine who can and cannot sign checks. Call your bank to see what documentation you will need to bring along.
  • Budget – The board-elect may have presented a proposed budget to the association in June but if not, they should prepare one during the summer to bring to the first association meeting in the fall for approval.
