Dear congregational leaders: Each year the vestries and bishop's committees of the diocese elect deputies to the annual diocesan convention. Please note the deadline to report your elected deputies to the Secretary of Convention, and for those deputies to register, is October 6. This mailing contains all the information you need to report your elected deputies' information and other information to prepare for convention.

A Letter From Your Convention Host
Dear Friends,
On behalf of the vestry, membership, and staff of Christ Episcopal Church, it will be my pleasure to welcome you to Bowling Green for the 196th Annual Convention of the Episcopal Diocese of Kentucky on November 10-11, 2023. This will be our second in-person convention since the onset of COVID, and we hope that many of you will join us for what promises to be a wonderful family reunion.
Plans for your arrival have been underway for more than a year now, and I am so grateful to our Convention Chair, Neill Caudill, for her hard work and attention to detail. We have secured blocks of rooms at two local hotels, the Courtyard Marriott and Hilton Garden Inn. Information and links to their booking sites are below.
Courtyard Marriott
- 30-40 rooms available until 10/31 (that is the date by which participants must reserve at the specified rate)
- $109/night (participants can choose to book only that Friday and/or Sat as well)
- Mixture of king and queen rooms/single and double occupancy

As with any downtown church, parking is something of an issue for us. My colleague, the Rev. Becca Kello has used her graphic design skills to help you navigate the parking situation in downtown Bowling Green. Note that the bulk of the parking spaces will be about a block away, thanks to our friends at First Christian Church. Shuttle service by way of golf carts will be provided.

Please make sure you keep up with all deadlines. Registration and Lay Deputy Credentialing are due no later than Friday, October 6, 2023. Voting at the 196th Annual Convention of the Diocese
For the past three years, Diocesan Convention ballots and other voting have been done electronically using a third-party vendor. This was part of the COVID protocols. The upcoming 196th Convention will go back to paper ballots for elections to diocesan offices, and voting cards to hold up when voting on other matters. While the Diocese is committed to having ecologically-friendly Conventions, this is a cost consideration. Deputies will receive voting instructions at check-in. I look forward to seeing you in Bowling Green.

Credentials of Lay Deputies
This form will complete the certification needed according to Canon 4, Sec. 6 of the Diocese of Kentucky. Each congregation's Secretary or Clerk should submit their vestry, chapter, or bishop committee's elected lay deputies to the Secretary of the Diocese by Oct. 6.
For more information about lay deputies and how many each congregation can send to convention, please read these Canon 4 highlights. To ensure the broadest representation at convention, we encourage congregations to send their full deputation.
Credentials may only be submitted by a congregation's Secretary or Clerk and can be submitted electronically. The PDF for electronic submission can be found here.

Registration Instructions
Every person planning to attend Convention, whether clergy, lay deputy, alternate, visitor, or other, needs to register themselves for convention. Registration will be opened September 6th. You will receive an email about the opening of registration on that day. Please register with the email that will be the primary contact for you for communications.
Registration must be completed online. Credentials for deputies must be submitted separately by the Secretary or Clerk of the vestry. (See above.)

Documents Required for Seat at Convention
Diocesan Canons 4.6-7, 15.2, and 16.4 state that congregations within the Diocese must submit certain documents to the Diocese in order to be given a seat and vote at Diocesan Convention.

-2022 Parochial Report (due March 1, 2023)
-2022 Financial Review (due Sept. 1) - See communication here.
-2024 Diocesan Commitment Form in fulfillment of Canon 16
