Please be sure you are using the most up-to-date Convenience Fee Disclosure form — State Form 56075 (R / 7-19). We are seeing older forms come through and the state is beginning to reject those applications.

Updates to non-Interstate out-of-state processing.

This is in regards to Indiana-specific dealerships that process their out-of-state transactions manually and NOT through Vitu Interstate.

 

Address required on all Title Only or Title and Registration transactions

We now require an address to be provided to us on all Title only or Title and Registration transactions processed by the Indiana office. 

 

This should be the address that customers would like for Vitu to mail their title documents to. This cannot be the customer's home address, it must be a title processing location.  

 

The idea behind this is that the customer themselves will be providing the location name and address so we are hoping to cut down on any delivery disruptions for these deals as well as any potential back and forth between the Vitu office and the state offices. 

 

A big problem we have with manual transactions is getting the customer to "go meet" their documents. This way, they are already aware of the location address and contract information. Ultimately, we want to do everything in our power to make the entire titling process as smooth and fast as possible for both our dealers and their customers. 

 

Notes about Duplicate or Corrected Title transactions requested through IMS

Any duplicate or corrected title transaction that is requested through the IMS (Interstate Manual Services) site and abandoned after having received the state-specific checklist will be automatically billed the $98.00 Vitu processing fee after 30 days. 

 

For example, if a duplicate or correction title transaction is started and Vitu supplies a state specific checklist, and then we receive either no correspondence back from the dealer or we are instructed to cancel the request, the dealership will still receive an invoice of $98.00.

New Electronic Lien & Title (ELT) features added.

In order to support Indiana BMV’s upcoming electronic lienholder requirements, we’ve added a few additional features on the Mark as Sold/Finalize pages, as well as adding important information to the IN MVR Report. Although ELT numbers are not mandatory until July 1, you will still be required to enter in the application date when there is a lienholder added. 

 

Specifying an electronic lienholder on Title & Registration transactions is as simple as selecting a few checkboxes and providing the 13-digit ELT Lienholder ID assigned by Indiana BMV.

 

Additionally, when running MVRs, the report clearly specifies whether the vehicle is titled “traditionally” via a paper title or electronically via ELT.

Interstate Power Tips
Iowa — Instruction Guide

The State of Iowa has certain rules and strict guidelines for filling out their motor vehicle registration forms. To prevent delays, be sure to follow these instructions below.  

 

Dealer Agent Printed Names
Any agent signing on behalf of the dealership MUST also record their printed name on these forms:  

  • Form 411007/411179 — Application for Certificate of Title and/or Registration for a Vehicle
  • Form 411077 — Original Odometer Disclosure Statement
  • Certificate of Title and/or Reassignments (includes previous owners)
  • Secured Power of Attorney (if applicable) 

Form 411021 —  Power of Attorney (POA)
Keep in mind that Form 411021 — Power of Attorney MUST be notarized. Follow these three steps below to fill out Form 411021.

  1. When using a POA to sign on behalf of the Owner(s), either checkbox 1 or 2 at  the top page must be checked.
Choose option 1 or 2 when POA is used
  1. The Appointee’s full hand-printed name MUST be completed. In addition, the Appointee signing on behalf of the Owner(s) must be a third party (a different dealer agent) other than the Seller listed on all documents.

  1. The following section MUST include the Dealership Name, address, date signed, AND the original wet signature of the Owner.

Form 411007/411179 — Application for Certificate of Title and/or Registration for a Vehicle

To avoid delays in completing the registration process, the following signature lines in the Purchase Price section of Form 411007—  Application of Title and/or Registration for a Vehicle and Form 411179 Application for Certificate of Title and/or Registration for a Leased Vehicle MUST be completed as follows:

  • Signature of Owner #1:
    • Original signature of Owner, or
    • If Business/Lessor, the full Business Name/Lessor (Leasing Company) must be included
  • Signature of Owner #2:
    • Original signature of Co-Owner, or
    • If a Lease transaction, the original signature of Lessee
  • (Signature) If firm, association, corporation, or attorney in fact:
    • Signature of the Appointee signing on behalf of the Owner(s), Business, Lessor/Lessee
    • Signature must be displayed as: “POA” Signature of Appointee

Mail corrections docs properly.

We know you’d like to lessen any confusion or delays in processing Title and Registration at the state, so please remember that any correction documents that are mailed to a Vitu Hub MUST be put in a separate package from the transaction deals pending to be audited. It is also very important to include a copy of the cover sheet with the correction documents, and to mail them to the appropriate Vitu Hub — the same destination where you sent your original paperwork.

While you’re using Vitu, you may have some common questions. Below are some frequently asked questions and some answers that might help.

 

Why is my deal inactive? 

The transaction may have gone beyond 60 days if it’s in an error status or 90 days if in other statuses. To move forward with the process, the transaction must be resubmitted.

 

I made an error on the VIN/make/model/titling-state — how can I fix that issue? 

Please proceed to recreate the deal. 

 

My transaction is completed but I need to fix the lienholder because it's wrong or update an address — how to proceed? 

Vitu Interstate offers Interstate Manual Services for this correction, so please get in touch with Vitu Interstate for further guidance. 

 

The pre-audit team has approved my pre-audits, but I cannot locate a generated shipping label. 

Once the pre-audit is complete and the monitoring agent notifies that the deal is ready to be sent to service, click the Send to State button to generate a shipping label. 

 

Can I apply for a duplicate title?

Beware: lienholder codes vary from state to state

Did you know lienholder codes and addresses vary from state to state? As such, it is best to always contact the lienholder, ask them for the registering state code and verify the address. For the states with lienholder codes listed on their websites, the lienholder name, address, and lienholder code must match what is on the state website exactly. If the registering state has a website with lien codes, we provide a Lienholder information page in the merged document explaining to reference the state website (example below). Again, we just always ask you verify it is correct.

Avoid California penalties and post fees

California penalties are significant and can be in excess of 40% of the amount of the fees due to the state — even for being just one day late. WE CAN HELP!

 

One way to reduce and sometimes avoid penalties entirely is to “post fees” within 20 days of the date of sale of the vehicle being registered/transferred. “Posting fees” is the process of remitting estimated license and registration fees to the DMV before submitting the documentation necessary to finalize the registration and/or transfer of ownership.
