Know Before You Go: Important Information for the 2024 Conference

We look forward to welcoming you to the 2024 Disability:IN Global Conference and Expo in Las Vegas! Below is important information for you to know before you arrive.

Please note: Streaming sessions will be available in the Whova app for 90-days post conference. Messages sent and information posted in the Whova app by attendees will not be monitored by the Disability:IN team until Monday, July 15. If you have questions about the conference, please send them to Conference@DisabilityIN.org.

Whova Accessibility

While generally accessible, the Whova app has areas with unlabeled buttons that cause issues for screen readers. Please download our Whova Accessibility Tips document to help you navigate through those areas.

Conference Attire

With many accustomed to working from home in comfortable clothing, attendees are encouraged to wear what they find most comfortable, whether that's company-branded attire with jeans or a business suit.


For the Disability Pride Celebration, a cocktail attire is suggested as it's meant to be a fun, reception-style event with music and dancing. There is no formal sit-down dinner.

Environmental/Chemical Sensitivities

To help make this conference accessible to participants for whom chemicals or fragrances are an access barrier, Disability:IN requests that you come fragrance-free. 

Upon Arrival

Registration

Registration is located in the Belmont Foyer on the 4th Floor of the Cosmopolitan outside the Belmont Ballroom. Attendees must wear their badges at all times to access any conference sessions.


You will receive an email on July 14 with a QR code to expedite the registration check-in process. Personal identification may be required. Registration will be open:


  • Sunday, July 14: 3:30pm – 5:30pm
  • Monday, July 15: 7:00am – 6:30pm
  • Tuesday, July 16: 7:00am – 6:00pm
  • Wednesday, July 17: 7:00am – 7:00pm
  • Thursday, July 18: 7:30am – 10:00am

Dietary Considerations


  • All buffets will offer Vegan, Vegetarian, and Gluten Free Options.
  • All buffets will be labeled.
  • If you have a dietary concern, please speak with a service attendant.

Wi-Fi

Wi-Fi will be available throughout the conference meeting space.

Shipping

If you have shipped items to The Cosmopolitan for use during the conference, it can be picked up at FedEx Office, located on Level 3 of the Chelsea Tower, adjacent to Gracia Commons. Please bring your tracking number and be prepared to pay for all handling fees. They can be charged, as a personal expense, to your room. 

Parking

The Cosmopolitan Hotel offers self-parking as well as valet. Self parking is $18 (Mon-Thu) and $23 (Fri-Sun). Valet parking is $35 (Mon-Thu) and $40 (Fri-Sun).

Lost & Found

Luggage

Luggage can be stored at the Bell Desk located in the main lobby.

Accessibility & Safety

ASL Interpretation

ASL Interpretation will be provided at all plenary sessions, breakout sessions, committee meetings, matchmaking, receptions and events where official remarks will be made.

Additionally, ASL interpreters will be floating at conference programmed networking events, official receptions, and the Expo. On-Demand ASL Interpretation video remote interpreting will be available at the hotel front desk, Disability:IN registration desk, and headshots set-up.

CART

CART will be provided at all plenary sessions, breakout sessions, committee meetings, matchmaking, and events where official remarks will be made. Additionally, remote CART on a personal device will be available in the Expo for attendees.

As outlined in the Conference Accessibility and Accommodations Policy linked above, Disability:IN does not guarantee that accommodations within the Conference Premises during Conference Hours but outside of an official Conference event or presentation (“Programming”) will be provided. This may include, but is not limited to, informal networking or social events created by Attendees (such as Meet Ups in the Whova App) before or during the Conference, to take place within the Conference Premises and hours but outside of Conference Programming, when accommodation resources may be otherwise committed to Conference programming or are otherwise unavailable.

The apps below are available with the intent to facilitate accessibility of the Conference. While their availability is appreciated, Disability:IN does not endorse any of these apps. Use of any of these apps are subject to the applicable terms and conditions. 

NaviLens App

NaviLens is a new system of intelligent digital markers which help to make any space more accessible. It is a set of color codes similar to QR codes, but with technical attributes that enable them to be read under conditions that no other code has. For additional information, please install the free NaviLens app found on the Apple App Store or Google Play Store.

Aira App

Available at no cost to conference attendees, Aira is a visual interpretation service that connects people who are blind or have low vision to trained, professional visual interpreters who provide visual information on demand safely and securely for just about anything. For additional information, please install the Aira App from the Apple App Store,Google Play Store, or by using the QR code.

Aira QR Code

We are thrilled to introduce Aira Access Events for the first time at a live conference! This service provides professional visual interpreting of the plenary sessions for attendees who are blind or have low vision through the Aira Explorer app. To access these visual descriptions, download the AIRA app from the App Store or Google Play, navigate to the "More" tab, select "Events," click "Join Private Event," enter the passcode "123," and click "Apply." Please note that the audio stream includes only the Visual Interpreter's descriptions and does not provide plenary session audio or video.

GoodMaps Explore App

GoodMaps provides an immersive and dynamic navigation experience for visitors and staff that is convenient, inclusive, and efficient. To navigate the 2024 Conference, download the GoodMaps app, available for iOS or Android.

Written Hotel Direction

The Cosmopolitan assembled written directions to the key locations of the hotel and the event spaces, which will be available in the Whova app.

Team Disability:IN is excited to welcome you to our 2024 Global Conference & Expo! This year’s event will be bigger than ever as a record number of companies have joined IN for advancing disability inclusion. Together, we’ve created a movement that has inspired impact across business.


While the unexpected growth is an opportunity for more industry peers to help each other on their disability inclusion journeys, it's also a challenge. Coupled with unprecedented interest, this year’s conference is operating under the hotel contract that was negotiated in 2018 and originally intended for our 2021 conference, which went virtual due to the COVID-19 pandemic. This means that we are working with a hotel footprint designed to accommodate our partners three years ago, and we have experienced significant growth since then.


Disability:IN has been working with the Cosmopolitan property to ensure that we provide an inclusive, accessible, and safe environment for all attendees. We want to highlight some important information as you prepare to attend:


  • We want to allow anyone who wants to attend our conference in person to join us while prioritizing accessibility. This year's plenary sessions will be in theater-style seating.


  • Volunteers will be available throughout the ballroom to assist attendees in locating seats and navigating the room.


  • Sections of chairs will be removed throughout the ballroom to provide attendees with physical disabilities several options for viewing the plenaries.


  • Captioning and ASL interpretation will be provided at all plenary sessions with reserved seating for those who most benefit from on-stage interpretation and onscreen captions.


  • We will provide overflow space with seating set in round tables carrying a live stream of the plenary, including ASL and captions.


  • On Tuesday and Wednesday, boxed lunches will be served during the lunch plenaries. Trays will be available for people who would like a surface to place their meal on, and tables will be provided in the live-stream room for people who would prefer to eat at a table.


  • Disability:IN will be requiring all conference attendees to wear their conference name badges at all times. You will not be permitted to enter plenary sessions, breakout sessions, receptions, and other events without displaying your name badge. If you are in the meeting space and not wearing a name badge you will be asked by members of the security team to leave the conference area and return when you have your name badge.


  • Security will be provided by the Cosmopolitan. The security team at the Cosmopolitan is 24/7, and is First-Aid, CPR, and AED certified and will be the first responders in case of an emergency.



The Cosmopolitan maintains 24-hour security over the interior/exterior of the facility, all life safety, and equipment systems. Building security opens and secures the building. The Cosmopolitan handles all incidents of injury, vandalism, theft, etc. These should be reported immediately to The Cosmopolitan Security Department so the appropriate investigations/reports may be initiated. Contact numbers are 702-698-1911 or x55555 from any house phone. All security personnel are First Aid, CPR and AED Trained.

Continuing Education Units (CEUs)

For those interested in obtaining continuing education credits through HRCI for the conference, please email Abbey Hunter at aHunter@QandAEvents.com after the conference. Participation forms will be provided on request once the event has ended.
