PennDOT accepts Problem Reports to correct fuel types

Confirm that NHTSA supports the requested correction.

Great News! We have recently received notification from PennDOT that they are accepting Problem Reports to correct fuel types. If NHTSA (National Highway Traffic Safety Administration) supports the correction you are requesting, it can definitely be corrected.
Below is the link to NHTSA — please check that the correction you are requesting is supported by NHTSA before submitting the Problem Report.

Also remember that a completed MV-41 must be submitted with the Problem Report in order to have the fuel type corrected.

You know how important it is for all the information on copies of submitted supporting documents to be complete and understandable. Here are some tips to stay on top of it:
|
- All copies submitted must be legible, clear and easy to read
- Every document must contain all of the information with none cut off
- Copies must not be too light or too dark
|
This includes any document requests coming from a QC notification or requested for a Problem Report that was submitted.
|
A recent PennDOT OLRP Audit noted several agents misusing fee waivers or not submitting the appropriate documents to support the use of the fee waiver. To help you stay sharp, we’ve listed below some of the errors noted by PennDOT:

PennDOT is looking at YOUR work
To be compliant, all forms MUST be complete, include signatures, and be submitted with all supporting documents. And remember, it is UNACCEPTABLE to modify any PennDOT form.

PennDOT does not accept an out-of-state notary stamp or seal to verify a VIN. In fact, PennDOT rejects Problem Reports with an out-of-state notary stamp or seal. Because Problem Reports are time sensitive, the Problem Report and all supporting documents must be submitted within the tanking period.

Please be mindful of the messages being returned to you in MessWIN. If you receive error message 2263 – Forward to PennDOT and continue to proceed, you will likely receive a dropped WID.

It can sometimes take a minute to realize whether a Problem Report or a Clerical Error Statement is the right form to use, so let’s look closer at the intended purpose for each one.
Problem Report for processing errors
For something that is incorrect on the applicant summary — that prints after the deal is posted — use a Problem Report to correct that processing error.

Clerical Error Statement for paperwork errors
For a paperwork error — something that was written on a document incorrectly — use a Clerical Error Statement to correct it.
|
Because these two documents are NOT interchangeable, using the wrong one means the error will not be corrected. For example,
|
- If you receive a QC notification for an error on the Applicant Summary, it cannot be corrected by returning a clerical error statement with the QC Notification.
- If the applicant's name is listed incorrectly, a Clerical Error Statement will NOT correct how the name is printed on the applicant summary, title and registration documents.
