Greetings from the Ozark Mountain UFO Conference team! The Conference is almost here, so we are here to give you some important updates you will need to know.




IMPORTANT TIMES


Vendor setup:

  • Thursday, April 10th: 3:00 PM – 9:00 PM
  • Friday, April 11th: 7:00 AM – 8:00 AM



Vendor Hours:

  • Friday - Saturday - 8 am - 6:30 pm
  • Sunday - 8 am 1:30 pm


Takedown:

  • Sunday 1:30 pm- 3pm

Please be prompt with takedown, the hotel has another event to prepare for.


A printed copy of the full conference schedule will be included in your vendor packet for reference during the event. You can also download a digital copy for your phone by clicking the link below.

NOTE: The vendor area tends to get hot, so we recommend that vendors dress accordingly and bring a fan. 


CONFERENCE CENTER RULES FOR VENDORS

The staff at the Best Western Inn of the Ozarks wanted us to remind you of a few things for vendor setup and take down.


  • Do not take tables from other vendor spots. Please ask for Holly if you are missing any tables.


  • No nails, screws, or tacks are to be driven into the building walls or pillars.


  • Only use GAFFER'S TAPE on the walls. ALL OTHER TYPES OF TAPE ARE PROHIBITED due to the potential for wall damage and tape residue.


  • Please do not put anything over the vents.


  • Please do not prop the doors open downstairs; it makes the vendor room really hot.


  • Please do not park long-term in the loading zone.



  • Please inform staff of any spills that need cleaning in the vendor area during the conference.


  • No smoking or burning of incense or candles will be permitted in the vendor area.



  • Takedown is from 1:30-3:00. Please be as prompt as possible with your takedown because the hotel has another event they need to prepare all the rooms for.

VENDOR CHANGES

We had a few vendors back out, so we called on our waitlist, below is the updated lineup.

LOCATION INFORMATION


The conference will be held at the Conference Center at the Best Western Inn of the Ozarks, located in the last building near the large parking lot at the back of the property.

SETUP AND CHECK-IN INSTRUCTIONS


Upon arrival, please enter through the front of the Conference Center building. Walk through the lobby, pass the restrooms and bar area, and take the elevator or stairs down to the second level.


The vendor area is located downstairs in the Willow, Sycamore, and Poplar rooms. Please proceed to your designated area to begin setup.

PARKING FOR LOADING AND UNLOADING


During setup, you may park vehicles near the front entrances and use the elevator to transport items to the vendor area.


Alternatively, there is a downstairs-level service driveway located behind the Conference Center building that can be used as a loading zone, space permitting. This space is a loading Zone. Please DO NOT Park long-term here. Due to limited space, we recommend checking the area via the downstairs exit near the restrooms before driving down. The driveway is accessible from the middle parking lot near the tennis court.

VENDOR PACKETS

Our team will be available in the vendor area between 3:00 PM and 5:00 PM on Thursday to answer questions and distribute vendor packets. If you do not receive your packet on Thursday, it will be available Friday morning. Please note that badges are not required to enter the building.


Your vendor packet will contain:


  •  1 FREE t-shirt
  • Vendor badges
  • 2 speaker vouchers (valid for one free lecture per voucher)
  • Tax forms
  • A copy of the conference schedule
