Dear 2025 Sagan Summer Workshop registrants,

We are looking forward to welcoming you to the workshop in just a few weeks! We still have a few in-person slots available for anyone who wants to join us in Pasadena. On the other hand, if you are no longer able to join us in person, please email us to let us know.

Reminders (all optional)

Code of Conduct

All participants are expected to behave in a professional manner and follow this Code of Conduct. Violators will be blocked from participating in the workshop.

Zoom Webinar

The workshop will be live streamed via a Zoom webinar. All remote attendees must register in advance for the webinar. In-person attendees may register in case they need to switch their attendance to remote.

Register for the webinar using this link:

https://us06web.zoom.us/webinar/register/WN_2NVI7TA_QDmrzSCvi2D_Sw

Once you've registered, you will receive a follow-up email with your individual link to join the webinar. Daily reminders will be sent one hour before the webinar begins.

You will use this same link for all 5 days of the workshop and for the PROTO Workshop on Sunday, July 20 if you are attending that, too. Please do not share this link with anyone else. A Zoom webinar is different from a Zoom meeting. As an attendee, you can see and hear the speakers, but you will not be visible or audible. You can post questions about the talks in the Slack daily talk channels (see Slack information below).

All sessions will be recorded and posted to our YouTube channel and to the workshop website within 24 hours.

Workshop Venue and Accessibility

This page contains information on the workshop locations and maps. Access to the auditorium is over several flights of stairs; please let us know if you might have difficulty climbing stairs. Elevators are available if you absolutely need them; please email us to let us know so we can coordinate with Caltech Security to unlock the doors to the elevators.

Hands-on Sessions

Information about the hands-on sessions, including references that would be useful to read before the sessions, can be found here.

If you are interested in serving as a helper for the hands-on sessions, you can sign up here by 12pm PDT on Thursday, July 3. We will provide training sessions for helpers via Zoom on July 7 and July 9; they will be recorded for those helpers not able to attend them in real time.

Slack Workspace

We will be using Slack to facilitate communication during the workshop. This will also be the platform where you can ask questions about the talks.

Use this link to join the Slack workspace:

Slack organizes conversations into dedicated spaces called channels. The following channels are available:

  • general: for general announcements and logistical questions
  • group-projects: for coordination and discussion of group projects
  • hands-on-session-i: discussion and questions related to Exoplanet Occurrence Rates
  • hands-on-session-ii: discussion and questions related to Distant Giant Planets with Astrometry
  • hello-my-name-is: introduce yourself to your fellow workshop participants
  • pets: just for fun, post a photo of your pet!
  • posters-and-pops: advertise your poster/pop, or ask questions of other poster/pop presenters
  • proto-workshop: discussion and questions about the PROTO Workshop
  • talks (one channel per day): post questions about the talks

Letters of Attendance

After the workshop, we will provide an online form to submit requests for Letters of Attendance (they are not sent automatically). Letters will be emailed to you by mid-September 2025. Letters will not be provided for the PROTO workshop.

We look forward to seeing you (both in-person and virtually) soon and celebrating our 25th anniversary!
