MISSION

OUTCOMES

This position is in place in order to help ensure that HR policies, procedures and systems are in place in order to support the center in meeting the mission of The Salvation Army. This includes the hiring process, processing employee information, orientation, benefits administration, and training and development. This position will play a significant role in maintaining confidentiality and ensuring that the mission of the Salvation Army is followed.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provide administrative assistance to Human Resource Generalist. This includes but is not limited to:
  2. Answering phones, written correspondence and reports, copies/faxes and maintenance of all files (electronic and manual).
  3. Organizing appointments and meetings, including meeting minutes.
  4. Maintain business calendar of events and activities.
  5. Sort and provide mail to the appropriate managers or directors for consideration.
  6. Responsible for the tracking and maintaining employee uniform inventory.

Human Resources

  1. Assist the Human Resource Generalist with hiring plans of full and part time staffing for the RJKCCC.
  2. Assist in making sure that all current job openings are posted on internal and divisional website.
  3. Give direction and assist prospective employees on the application process for open positions at the RJKCCC.
  4. Assist the HR Generalist with reviewing resumes with current job description requirements and forward all qualified applicant to the respective directors and managers responsible for hiring positions as directed.
  5. Assist the Human Resource Generalist in carrying out human resource programs, procedures, and training for employees of The Salvation Army RJKCCC.
  6. Ensure the maintenance of accurate, complete, and functional personnel files.
  7. Ensure that appropriate paperwork is submitted to Divisional Headquarters on a timely basis.
  8. Assist in the collection of data and prepare reports pertaining to work force statistics, absenteeism, tardiness, and employment turnover as directed.
  9. Assist with employee orientation as needed.
  10. Assist with the maintenance of all employee files including but not limited to personnel records, benefits, employee evaluations, job postings, exit interviews, etc.
  11. Assist in tracking position requirements (safe from harm, mandated reporter, sexual harassment, CPR, etc.)
  12. Assist in the processing of payroll as needed.
  13. Maintain and update all employee related bulletin boards and monitors.
  14. Maintain good customer service to the community; see that all customers, clients, and members are given prompt and courteous service.
  15. Interface with co-workers and members in a professional level that meets the expectations of the mission of the RJKCCC.
  16. Answer routine questions; and assists other staff as needed.
  17. Follow and ensure adherence to The Salvation Army Policies and Procedures.
  18. Perform other duties as assigned.

SUPERVISION RECEIVED

Under general supervision of the Human Resource Generalist with some freedom to plan, schedule and carry

out responsibilities within established policies and guidelines.

This individual will be evaluated on how effectively the outcomes of this position are achieved.

Timeliness and accuracy of accomplishing assigned goals will be reviewed.

EDUCATION /EXPERIENCE

  • High School Diploma required with two years of college education: a BA or BS or their equivalent is preferred.
  • A minimum of a 2-5 year administrative or related experience in supporting an organization’s office management area.
  • Added plus but not required to have prior knowledge of principles and practices of human resources.
  • Must be proficient in MS Office, including Word, Excel, PowerPoint.
  • Must be Safe from Harm certified within 30 days of hire.

Administrative support is provided for Assistant Divisional Social Services Director and Assistant to Divisional Financial Secretary (Social Services) as well as a liaison between Social Services and other departments at Divisional Headquarters and Territorial Headquarters. A liaison between the Social Services Department and Corps Officers, Center and Program Directors and Caseworkers as well as personnel from government agencies, Nicor Gas Company, social service agencies and United Ways also exists.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Administrative Support

  1. Respond to inquiries and make outside contacts for the purpose of relaying or obtaining information.
  2. Resolve routine complaints, requiring independent judgment and resourcefulness.
  3. Refer clients, including walk-ins, to appropriate Salvation Army programs and other community resources.
  4. Be aware of appointments for Assistant Divisional Social Services Director.
  5. Provide communication link for the department, screening incoming correspondence and forwarding to appropriate staff for response.
  6. Compose and type letters in response to correspondence that does not require direct communication from supervisors.
  7. Assist in staff meetings and workshop preparation.
  8. Maintain and develop filing system, including bring-ups, to serve needs of Assistant Divisional Social Services Director.
  9. Maintain office supplies and equipment.
  10. Perform the duties of the administrative assistant for the Divisional Social Services Director, in her absence.

Contract Coordination

  1. Coordinate processing government contracts and MOUs/MOAs – constant care imperative due to possible loss of funds.
  2. Report to supervisor on an exception basis.
  3. Process contracts with the Divisional Finance Board and Territorial Finance Board. This includes cover letter, face sheet, contract, affidavits, assurances, authorizations, budget forms, certifications, resolutions and signature pages.
  4. Coordinate corrections with Corps Officers, Program, and Center directors.
  5. Enter contracts and MOUs/MOAs into Citrix and TSAMM.
  6. Keep a file of all contracts and MOUs/MOAs.
  7.  Interact with varied staff operating matters.

Program Coordination 

  1. Coordinate Nicor Gas Sharing and Energy Aid programs.
  2. Monitored by supervisor only as to the results of the annual program.
  3. Distribute applications to and provide interview training for Corps Officers and caseworkers from Corps, Service Extension Units, and Service Center in the NCI Division.
  4. Approve emergency exceptions to eligibility requirements.
  5. Coordinate corrections with Corps Officers and caseworkers before processing; constant care imperative due to potential loss of funds.
  6. Process applications with Divisional Finance Department for payment to Nicor Gas Company. (Streamline accounting procedures.)

Other Duties

  1. Assistance with other duties and responsibilities as needed.

EDUCATION/ EXPERIENCE

  • Associate of Arts degree required; Bachelor’s degree preferred.
  • 5 plus years administrative assistance experience.
  • Experience with a computer-based work environment and an excellent working knowledge of Word.
  • Must be proficient in MS Office, including Word, Excel and PowerPoint.

POSITION TITLE:         Community Center Program Assistant

OUTCOMES

The Community Center Program Assistant is responsible for assisting in all aspects of programming. This position works with the Community Center Director to assure the programs run smoothly and the facility is operating properly. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Program Administration

  1. Provide supervision to community center functions assuring all rules are enforced.
  2. Expand outreach opportunities, strengthen existing programs, and develop/oversee programs based on community center needs with the Community Center Director.
  3. Coordinate community open gym time, organize fitness opportunities for various age groups, and oversee in-house sports leagues/local tournaments, and other Corps programming under the direction of the Community Center Director.
  4. Will be responsible for assisting with all fund raising efforts required to support funding necessary to maintain ongoing operations.
  5. Listen to the needs of those using the facility and communicate these to the Community Center Director.
  6. Work with the Rental Groups on scheduled events to assure successful events.
  7. Supervise all events to assure rules are followed and safety is assured.
  8. Work as a team member with Center staff, Maintenance, Food Service, and the Corps to provide a team environment in the Community Center.

Corps Linkage

  1. Will be responsible for providing guidance to community center visitors and participants to all events and opportunities offered by the community center as scheduled.
  2. Will work alongside the Corps staff to offer ministry opportunities to individuals who may not be familiar with The Salvation Army’s ministry opportunities. These opportunities will include: youth, young adult and adult ministries for women, men and families; Sunday School, Worship Services, Bible studies and Pastoral counseling.

Volunteer Oversight

  1. Give guidance to volunteers, in conjunction with the Community Center Director, including training in specific tasks during a shift.
  2. Represent The Salvation Army as a team member during events and shifts to answer general inquires, give information, and discuss volunteer opportunities.
  3. Makes referrals to appropriate team members for volunteer recruitment and processing.

Maintenance and Safety

  1. The Community Center Program Assistant will maintain a safe and secure community center environment at all times.
  2. The Community Center will be cleaned after events and programs to assure there is no food or debris on counters, tables, chairs, or floors, trash is emptied, dishes are washed, and any specific mess caused by the event is cleaned.
  3. At the end of the evening, a check off list will be completed to assure the facility is left clean and all doors are locked, lights are turned off, areas are secured, and such. The list will be supplied in writing.
  4. Special assignments will be given when there are no programs or events that keep the facility safe,(such as cleaning padded walls in the gym or toys in the cry room)
  5. Provide appropriate and specific training to staff and volunteers and ensure all policies and procedures are followed.

Other Duties

  1. Assist with monitoring/covering the front desk to ensure customers are being greeted in a timely manner.
  2. Help with the Food Pantry during open hours of operation.
  3. All other duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Program/Administrative Duties
  2. Manage route non-emergency 311 requests for assistance and determine the nature/urgency of calls.
  3. Initiate personnel action and maintaining close contact with field teams to monitor response and needed support requirements.
  4. Assist in the hire, onboarding, and training of other dispatchers during onboarding process.
  5. Coach call center staff through challenging client issues.
  6. Evaluate staff effectiveness and performance annually or on an at-need basis.
