Export to File Added to Course Quick Reports

For those of you that love to play with raw data, we've added another Export to File option for you in Student Manager 8.0.051. This is in Course Quick Reports, so it is more like getting eight more ways to export data. Even though many of the report areas are similar in Quick Reports, there are some subtle and sometimes major differences. So let's see the options:

  • Name Roster - In addition to having registration data for everyone in the course, it does have additional fee information. If you don't need fees, then you will have duplicates exporting from this area.
  • Attendance Roster - This also has additional fee information. Beyond that, it has the attendance splits option which will introduce more duplicates if you aren't wanting that.
  • Nametags - This one does not have additional fee information, but it does allow you to have an "Instructor Nametag" to give you a bit of information on them. It is also one of the areas that lets you choose which students to report.  You also have the ability to insert some blank rows (Set Start Label) if you need that.
  • Mailing Labels - This is one of the areas that does not add in extra records for each additional fee. It also allows you to choose which students to report.
  • Certificates - This is pretty much exactly the same as Mailing Labels. Really the difference will be in if there is a justdoit in the report you choose as the template for the export.
  • One-Line One Reg (Deadbeat) - Similar to the Name Roster, except that it adds Due and Paid to the cursor for each registration (and any duplicates caused by the additional fees).
  • Class Description - This area does not have any registration data with it. It is just course information including catalog, location, and fees.
  • Faculty Contract - This one also does not have any registration data with it. It does have Instructor, Instructor Pay, and Instructor Firm information.
Justdoits on your reports would change the above, but this should form a basis for you to go off of.  As always, consult your technician if you need any help getting started with this new feature.

When You Wish Upon the ACEware Team
Did you know that we have a software wishlist?  Have you ever made a request  and wondered what happens with it?  Have you ever wanted your Student Manager and/or ACEweb to do something specific and just didn't think you could ask for it? Here are these answers and more.
  
Software development at ACEware Systems has always  been customer-driven. Customers make suggestions or recommendations (wishes), and ACEware listens then takes steps to put those ideas into production.  It's our mission to hear the needs of our customers and develop software to make work a bit easier for them.
 
Here's how the wishlist works.  When you have an idea,  need, or concern-voice it! Put it in writing to your technician. That request, with your organization's name, is put on a spreadsheet (known as the wishlist). The team at ACEware will discuss it to decide if it will be added to the development list. If it is something that improves the software for many organizations, it is very likely to be developed. When completed, the department that made the request is notified.

How long does it take? That is a hard question to answer. Every year at our staff retreat we discuss what is on the wishlist and the complexity of the request.  Then the list is re-prioritized. Some requests get done right away; some must wait due to other project priorities; and sometimes, Chuck says, " I WANT IT NOW!"

From time to time technicians add their own wishlist items but for the most part it is strictly customer requests through their tech or Chuck.

Don't be shy. If you've been running the software for years and have thought, "I'd  like it to do ( whatever)," let us know. We can't make it work better for you if we don't know what you want.

If you have a wish on the list and want to know  if it will be developed, email your technician, who will know the status.
  
I've always felt that this is one of the things that sets us apart from the rest. We listen to our customers and try our best to make our software user-friendly for the unique needs you have.

ACEware Announces New Payment Systems Partnership
ACEware Systems has partnered with Bluefin Payment Systems, a PCI-Validated provider offering Point to Point Encryption (P2PE) for electronic payments. P2PE is a security solution that instantaneously (at the point of card swipe or key entry) converts confidential payment information into indecipherable code making it useless to hackers. PCI scope is reduced and security is heightened for your customers.

Bluefin Payment Systems is offering a free webinar on June 19th to discuss this important topic as related to universities and colleges. You, or your designated security representative, may want to join in.

We're excited to see you at our 21st Annual Users' Conference this month. The final agenda is posted, menus are selected, and evening social activities are set. Tip of the Month: Search Reports for Keyword
When you aren't sure which report you need to run but you know it contains a specific field or function, you can use the Search Reports for Keyword tool. This will allow you to search all reports in the system to locate reports that contain that field or function. You can access this by going to Reports -> Search Reports for Keyword or from Tools -> Reports ->  Search Reports for Keyword.
 
For example if you have modified a report to pull in data you are capturing in a registration user defined field you can put in rudfs in the search window and see all the reports that function has been added to. The first screen will show you any default reports. Close it and the next screen will show you all the additional reports that contain your search criteria.

Report of the Month: Run Aging Report
Everybody pays all of their bills on time every time, right? If so, then you won't be interested in this report.

If you do have people who aren't paying their bills and you would like to regenerate their invoice to resend them, then we have the report for you. It can be found under Reports -> Invoices -> Run Aging Report.

The magic of this report area is in its print options screen. The query is built right into this screen just like the Cashbox and a few other areas. Your screen should look something like this:

I would recommend putting in 01/01/1901 in the first date to bring in every single outstanding invoice in your system. Then just pick your normal invoice report and hit print. You are then ready to mail your students these reprinted invoices.
