Instructor Conflicts
lecture-teacher.jpg
No, I'm not going to talk about Instructors having conflicts with students or each other. Instead, I'm here to talk about scheduling conflicts and how you can prevent them.

One thing that has been in the system for a long time but has probably been forgotten, is a preference to Check Instructor Schedule Conflict. This preference is located on the Faculty tab in the section for Assigning an Instructor to a Course. It is a user-specific preference, but I would think everyone in your institution should have it enabled. The only time I would think you would want it off is if you have a lot of courses where you assign the same second teacher as a supervisor or sub. Really though, this preference just warns you of the conflicts and does not enforce you to not assign the instructor if they are already teaching a course. I don't know about you, but I can't be in two places at the same time, and we probably shouldn't expect our instructors to be.

Something new in the August release of Manager (8.0.090) was a function to report conflicts. The function is named INSTCONF, and a description of it is available here. The idea is that you could put this on an instructor report of courses to list the conflicts. An example report can be downloaded from here (import instructions located here), and run from Reports -> Faculty -> Instructor Lists. It looks like this (conflicts highlighted):

Hopefully, you are now well armed to prevents such things!

What Say You? On Incomplete Registration Follow-ups
megaphone_icon_vector.jpg
We have been talking internally about developing a way for you to reach out and check in with students who did not complete a registration. The reasons for an incomplete registration are many - perhaps they had an interruption and could not complete their shopping and forgot to return, or maybe they couldn't find their credit card in time and the session timed out, maybe the payment didn't process or, well, who knows.

Regardless of the reason, the registration was not completed and you probably want to find out why. Would it be helpful to have an ACEweb routine to 1) Identify those lost registrations, and  2) Connect with those students to attempt to find out why they left, and perhaps recover the registration?

There are existing system reports to identify lost registrations, so before we invest time and resources to develop a new feature, we want to hear from you. We have one question only and allow you to give some feedback here. Thanks for taking one minute (or less) to let us know your thoughts!

Tech Tip of the Month: Links to Online Content
Zoom/Web Conference Meetings have become a huge deal during the pandemic. Many customers are asking, "how do we do this within Student Manager and let the students know the link for their class after they have registered?" Easy answer: Put the link in the Course Notes. Your Online Registration Course Status probably shows the Notes, but that can easily be shut off (with the help from your technician). Then, any email confirmation, either from Student Manager or ACEweb, will contain the Course Notes with their join link. That way, a Zoom link or web address that should only be known upon completion of a registration would then be given to the students.

For help with this or any other online related classes, reach out to your technician for assistance.

Report of the Month: Income & Enrollment by Instructor
If you've run the Income & Enrollment Summary report, then you know that it's built to show per-course and overall calculations. But what if you could run the Income & Enrollment Summary report and group by instructor? Well, now you can!

An additional report is now available to use in Reports >> Faculty >> Performance Data. You can query on specific instructors, course codes, or anything else available in this reporting area. In the example below, I queried on courses beginning with 20FACE. Each instructor's data begins on a separate page, so you don't have to worry about running the report multiple times to get an individual instructor's data. Just one and done.

(Bonus: The report is built to display the query and value that you entered as well!)

The report files for this new report are located here. Just unzip, go to Tools -> Reports -> Import Report, and select InstructorIncomeandEnrollmentSum.dbf wherever you unzipped the files to.
