Ad Council Meeting Minutes

Attendees: Rachel Ward, Rona Chandler, Cathy Todisman, David Vierse, Jerry Blackwell, Colette Cummings, Andy Bryan, Nancy Thompson, Charlotte Phelps, David Phelps, Kevin Watkins, Ray Jauregui, Tim McDonough
Opening
• Introductions around the table.
• We want to be authentic with each other as a foundation for the church and
congregation to achieve our mission.
Approval of minutes from 11/24/24
• Rona moved to accept, Charlotte Seconded, APPROVED
Celebrations & Upcoming Events:
• Build-a-Gift
• Thanksgiving Boxes
• 4 small groups
• Andy was able to take 2(ish) Sundays off, thanks to Charlotte and Joanne for leading
our services
• Christmas Eve Service and its high attendance
• Christmas Day Service
• Beloved Community and Healing the Heart of Democracy studies
• Spencer’s class for young adults
• Andy is doing a pulpit exchange on 2/23 with Union Memorial
• Scout Pancake Breakfast 2/9
• Requests for about half a dozen more name tags
• Connect event on 2/2 for new attendees
Mission Statement / Goals for 2025
• New mission statement approved by Ad Council at November’s meeting.
• First sermon series of 2025 is focused on the new mission statement
• Goal Drafts:
o
o Prioritize creating and updating policies and procedures, including monthly
review.
o Create an Outreach Team to oversee and communicate information related
to our existing and new community engagement activities internally and
externally.
Potentially measure via member engagement, $ committed, hours
served, generations that are involved, increased attendance
Engage with other churches within our district
o Parsonage Task Force – identify next steps for parsonage space, including
budget estimates
Finance
• Reviewed 2025 budget that was sent with the agenda
Trustees
• No longer appears to be a mouse concern
• Couple of leaks that have been seen are minor and are being reviewed for repair
• Purchasing waste cans for each bathroom, and Andy will notify the housekeeping
staff once they are placed.
• Feb/March timeframe will repair Sutton entrance concerns described in the notes
• Propose roof replacement on the Parsonage to prevent further leaks and damage.
Dave will renew the bids to present at a future meeting – most recently $12-$15k.
• There is some scrap material that needs to be removed from the Parsonage plus a
refrigerator in church basement.
o Kevin volunteered himself and Jason to remove
• Identifying best way to remove old paint from pipes in fellowship hall and re-paint /
re-cover
SPRC
• Analyze staff hours and impact of potential sick leave policy would be for 2025 and
bring to next meeting. This will become part of the new employee handbook
Other Business
• Glitch during today’s service and went offline temporarily
• Rona attending LGBTQ+ Faith Alliance meeting
• Bailey Schuchman will join us as a VISTA for Community Unity Center; Andy is the
official supervisor
• Rona • Rona is taking over the prayer quilts
• Webster Hills UMC Youth Group will be going to Kansas City this summer for
mission.
Pastor’s Report:
• Intends to begin D.Min. work at Garrett University in the Fall
• Parsonage Task Force hasn’t met yet in 2025, however will convene shortly
Action Items:
• Motion to approve 2025 Budget (including staff raises) made by Dave Vierse,
seconded by Charlotte Phelps – APPROVED
Next Steps:
• Review administrative handbook and employee items that have been started
• Bring back goals to be finalized
• Review sick leave
• Communications team update
