Hello, Campus Colleagues,

Alpha Financials will go live on Monday, Jan. 4, 2021! To prepare for go-live, please review the sections below, where you will find key details about available training, cutover information, go-live readiness resources, Oracle Cloud log-in information (for Day 1), Hypercare support, and key contacts.

At this time, we also would like to say a big “thank you” to all UC Merced Alpha Financials team members and contributors. This project, especially the last few months, has required enormous effort from them and would not be possible without their dedication and commitment.

Alpha Financials Training
The Alpha Financials training program continues to progress as we approach go-live. For campus roles outside of the Division of Finance and Administration (DFA), all Instructor-Led Training courses have been delivered. Recordings and final materials from these sessions can be found here.

Users who are assigned Web-Based Training courses have received Learning Management System assignment notifications for courses assigned based on their role. Completing assigned trainings and being prepared for go-live is crucial to the success of the Alpha Financials project.
Cutover Execution
The Dec. 7 communication about cutover detailed systems and transactions that will have limited to no functionality between Dec. 8 and Jan. 4. During this time, almost 1 million records will be transferred from the legacy system at UCLA to Oracle and new functionalities will be enabled.

Limited exceptions to paused processes will be made for critical business activities, such as contracts and grants, gifts and endowments or emergency purchases. There also will be some downtime during the cutover process for systems that interface with the UCLA system, including GLAAS and Banner, to allow the new interfaces to be put in place when the Oracle system goes live on Jan. 4, 2021.

The Go-Live Toolkit is your one-stop repository for resources to prepare you for Day 1 and beyond in Oracle Cloud. It is highly recommended that you bookmark this page. You will find the following categories as you navigate through the toolkit:

You will notice the Toolkit lists some items yet to come. These will become available as the project progresses, so check back regularly for updates.
Logging In to Oracle Cloud
On the morning of Jan. 4, 2021, you will receive an email from the Financial System Support team with a link to Oracle Cloud and instructions for logging in for the first time. Oracle Cloud will use the university’s Single Sign-On (SSO), and you can use your UC Merced Network ID and password to log in.

The following browsers are compatible with Oracle Cloud applications:
  • Apple Safari – version 13 and over
  • Google Chrome – version 80 and over
  • Microsoft Edge – version 80 and over
  • Mozilla Firefox – version 68 and over

Internet Explorer is not supported by Oracle Cloud.
Hypercare (Post Go-live Support)
Hypercare is the phase immediately after go-live to closely monitor service, data integrity and system functionality. The objective is to stabilize the system from a people, process and technology perspective.

The following forums will be available to you after go-live for various levels of support:
  • End users can contact the help desk or directly raise a ServiceNow incident via the support landing page for issues or errors that occur while executing transactions in the system.
  • Office Hours will provide an open forum for users to ask non-urgent questions and provide feedback about processes, navigation or other reactions. Additional details will be shared in upcoming communications.
