Annual General Meeting!

Tuesday, March 19th, 7 P.M.

at Westbrook School

We are seeking new Board Members!


These are exciting times for our community, and we are hoping that you all catch the buzz too, and want to get in on the action! The Aspen Gardens Board of Directors has a number of vacancies this year, and we would love to have you join us - and truly, we NEED to have you join us! We have a great team of people who really care about this community, and work hard to create opportunities to bring us all together. With our new space becoming a reality this Spring, the possibilities of what we can do are going to expand, but we need the people to share the workload to make it all doable.

If you are interested in one of our Board positions, you can expect the following (basic) time commitment:

- monthly meetings (approx. 2hrs - we usually don’t meet July/August)

- 1-3hrs/month managing your positions workload

- occasional assistance with League events (at your discretion)


Positions Available:

President:

Admittedly, I can say that the President’s role may have a bit more time commitment overall, but there is still latitude to pick and choose what needs to take priority! Speaking from experience, it was really nice to share the responsibility with a Vice-Pres, so when I was able to do this with a friend, it was even better. Convince your bestie to join you and take on these two roles together and turn it into more social time! And I will also stress that you will have the benefit of my staying on in the role of Past President, and will help provide some support and guidance in the coming months so you can get your feet under you. Our Building Committee will also remain in place to see our renovation project through to completion. 


The President role takes the lead to orchestrate the overall operations on the Board, working closely with Board members to facilitate coordination of what the other Directors are doing. As the 2nd signing authority for the League finances, you will work closely with the Treasurer to monitor Board funding and expenses. The President leads the Board meetings, and is a point of contact for the League in general. You can email [email protected] to ask questions/find out more.


Vice President:

Works closely with the President and will also fill in (for Pres) at meetings if necessary. Our AGCL Bylaws state that a side project of the VP is to review the League Bylaws that guide our Board Operations; our current Bylaws have been in place since 2015. Typically, the VP will assist the Board to take on small-task work as things come up, and is designated (through Bylaws) as our 3rd signing authority. This position has been largely vacant for our League for the past several years, and it would be extremely helpful to have a Pres/VP team come on Board!


Secretary:

The primary responsibilities of the Secretary are to create and circulate board meeting minutes and agendas, pick-up the ACGL mail and distribute to appropriate board members, and respond to online inquiries from the AGCL website "contact" portal. You can email [email protected] to ask questions/find out more.


Communications:

This person helps to get our information out to the community by summarizing information provided by different Board members to create online newsletters (website & template provided) and post to our social media pages as needed. Basic computer skills are needed, and our out-going Communications Director will be able to provide some tutorial on the tools that we already use. This is a great entry-level position for some “starter” Board experience. Note: this can be a good position for a computer-savvy youth as well (a Jr. Board member has been filling the role for the past 18months!) You can email [email protected] to ask questions/find out more.


Programs:

Our Programs position is going to be exciting and have lots of opportunity now that we have space! This Director oversees some long term programs that we already have in place (easy!), and is free to explore and develop other areas of interest. This is a great entry-level position, and ideally our incoming Director will be excited to further develop what our League can offer to all demographics in our community - and don’t worry, the current Board will be supportive of program development and is already thinking of ways to drawn in additional resources (people) to facilitate these opportunities! Teamwork is the name of the game! You can email [email protected] to ask questions/find out more.


SWAC Liaison

AGCL is one of 15 community Leagues belonging to SWAC (S.W. Area Council). Meeting 1/month (usually at Yellowbird CL), it provides an opportunity to meet and network with other reps. As our SWAC rep, you will update the group on any activities or programming that AGCL is planning, raise concerns that others might be able to help with etc. - only 2-3mins per league….so not a lot of work. Primary goals are info/resource sharing and problem solving.

After a SWAC meeting, you will write up a short summary report of what was presented and share it with our AGCL Board - online and/or at our next Board meeting.

Being a SWAC rep is an excellent way to connect with nearby leagues, obtain a lot of useful information for our league and meet a variety of dedicated community volunteers. This is the perfect role for someone to would like to contribute to our great community - it doesn’t take a lot of time, yet provides valuable information and ideas to help make our community league stronger. You can email [email protected] to ask questions/find out more.


Hall Rentals

This is a new position to the Board and will be under development as we go, since it will be the first time in decades that we will have had the ability to rent out our interior space on a regular basis. We expect that this role will be one of the busier ones as we get our rental program up and running, and this volunteer will respond to rental inquires organize bookings. 


Casino Coordinator

With our League having just completed our 2024 Casino, we will not be given another one until 2026. However our Casino coordinator who has organized the last several casinos is stepping down for a well-deserved break, so we will be in need of someone in mid 2025 to take over. While there is significant lag time, having someone come on Board for this sooner rather than later offers good opportunity to see how things run and gather information to inform our next push for casino volunteers. This person does not need to attend regular Board meetings, but is welcome to do so. You can email [email protected] to ask questions/find out more.
