POURING LOCATION REMINDERS

Thank you for participating in the 2024 LO Wine Walk as a Pouring Location. AFTER REVIEWING THIS EMAIL IN ITS ENTIRETY, please reach out to Jen (jen@lake-oswego.com) or Chamber CEO Liz Hartman (liz@lake-oswego.com) if you have any questions. IF YOUR WINE IS COMING FROM US

If you signed-on as a Standard or Premium Wine pouring location, we are providing your wine, one-ounce metered pour spouts, AND a person to pour it.


Matt Evans (matt@lake-oswego.com) sent you an email explaining that he is going to deliver your wine on Thursday during office hours. Please email Matt if there is a time on Thursday that works best - or doesn't work - to ensure successful delivery.


If you have a wine that needs to be chilled, please do that by Friday overnight to ensure the wine is cold for the event.

IF YOU ARE POURING WINE YOU PROCURED

If you are serving your own wine, or wine you procured, your wine commitment to the event is 12 total bottles; 6 each of two different kinds. This equals 300 one-ounce pours.


We will provide pour spouts that measure one-ounce; please note that for them to work, you need to turn the bottle completely upside down (not at an angle).


You are also responsible to have your own pourer. If this individual does not have an OLCC server license, please have them review and sign this literature and keep it on-site during the event. We will provide a copy of this in your supply bag on Friday.


If you have a wine that needs to be chilled, please do that by Friday overnight to ensure the wine is cold for the event.

PICK UP YOUR OTHER SUPPLIES ON FRIDAY

IMPORTANT

Please make arrangements to have a representative come see us at The Windward "Club Room" (behind Chuckie Pies) on Friday, October 4th between noon - 6 pm to pick up supplies for Saturday. This includes:

  • A black bag with your name on it, to save/return the tasting tickets you collect during the event (we count them and use that data to plan future events)
  • The pouring spouts for your wine (please note; for them to measure one-ounce accurately, you need to turn the bottle completely upside down)
  • A 2-sided sign to hang on your door indicating you are a pouring location (facing outward), and a "No Alcohol Beyond this Point" notice facing inward (guests may not leave your location with wine in their glass)
  • A lanyard to identify your "Alcohol Monitor" during the event (when the event is over, toss that in the bag with the tickets so we can use it again next year) and the literature that they have to sign, if you did not already print it
  • For select locations, a "feather flag" to set up outside your entrance on the day of the event; a handful of other locations in high-traffic areas will get balloons as an alternative

HAVE A DESIGNATED ALCOHOL MONITOR

You are required to have someone (age 21+) serve as your "Alcohol Monitor" during the event. They will wear a lanyard (which we provide), ensure guests have their 21+ wristband, and ensure no guests leave with wine in their glass.

During the event, you must keep copies of this literature (link below), signed by the alcohol monitor and wine pourer (if not OLCC-licensed) at your location. The OLCC may audit the event and ask to see a copy.

SATURDAY PREPARATIONS

  • 12:30 PM If we gave you a feather flag, please assemble and place that outside your door. If we gave you balloons, please hang them in a visible location on your window outside your location. Click here for a video with instruction from PDX Parties on how to hang the balloons.
  • 12:30 PM Have your pouring location set up (a dedicated table or counter space is recommended; have a "dump bucket" available for guests, the black bag to collect tickets, marketing materials, etc.)
  • 12:45 PM Ensure the "No Alcohol Beyond This Point" sign is on your door and your Alcohol Monitor is in place, wearing their lanyard.
  • 12:45 PM Have your food ("small bites") for 250 guests ready on display (you may increase or reduce the amount of food you have available based on past experience or advice from the Chamber)
  • 1-5 PM During the event, you must keep copies of this literature, signed by the pourer (if not OLCC licensed) and alcohol monitor at your location. The OLCC may audit the event and ask to see a copy.
  • Please save the tasting tickets you collect in the black bag we give you. We'll collect and count them after the event; it helps us with planning for next year.
  • If you run out of wine, hang the sign we provide in a visible location by your door and text Jen so we know (503-320-1773).
  • 5 pm Pack up and bring the bag of tickets, your alcohol monitor lanyard, feather flag (if applicable) and feedback to the Windward Club Room (behind Chuckie Pies). If you're unable to do so, please text Jen (503-320-1773).

THE FOOD

Each pouring location must have "small bites" available for guests, such as a charcuterie, finger sandwiches, etc. You have 300 pours; we suggest you plan for roughly 250 guests having a bite (because not everyone will eat).

THE DAY OF (SATURDAY, OCTOBER 5)

  • 12:30 PM If we gave you a feather flag Friday, please place that outside your door.

  • 12:45 PM Ensure the "No Alcohol Beyond This Point" sign is on your door and your Alcohol Monitor is in place, wearing their lanyard.

THE GUEST EXPERIENCE

Guest check-in will begin at 11 am on October 5th in the Windward Residents’ "Club Room" (located behind Chuckie Pies) and continue through the event.


Pouring begins at 1 pm and ends at 5 pm. Please do not serve guests before 1 pm.


When a guest arrives at check-in, a volunteer will verify their age (21+) and give them an event wristband. Pouring locations don't have to check IDs - just make sure they have the wristband.

At registration, each guest receives:

  • A wristband to indicate 21+
  • An event-branded reusable tote bag
  • An event-branded wine glass, nestled in a lanyard (aka a glass "yoke")
  • An event program that includes a map showing the pouring locations and what they're pouring (any location pouring their own wine must have the exact wine names to jen@lake-oswego.com by 9/18)
  • An order sheet to make notes as they taste
  • 12 tasting tickets (color TBD), each redeemable at ANY of the 39 pouring locations for a one-ounce pour of either a standard or premium wine (premium wines do not require additional tickets)
  • As guests exit registration, there will be a "photo op" courtesy of Card My Yard.

VOLUNTEER SUPPORT

The success of this event relies on the support of volunteers. If you know someone interested in helping, please share the link below. Volunteers age 21+ who fulfill at least one shift will receive an event glass and 6 tickets OR a ticket to our May event, the Oregon Wine Walk along Boones Ferry Road.
