July 2023

Hello again,

We know that we just sent out an E-Blast about Auto-Exits, but we wanted to send out a second message specifically to our community partners who are running the following types of programs:

  • PH - Permanent Supportive Housing (disability required for entry)
  • PH - Housing with Services (no disability required for entry)
  • PH - Housing Only
  • PH - Rapid Re-Housing

If you didn't get a chance to read the previous e-blast, please do so now. HMIS is implementing the auto-exit function for all programs between August 1st - August 18th. This information will help you take steps now so you can avoid having your clients exited from your programs.

All Permanent Housing Programs

For permanent housing programs, your clients' housing services are going to be the primary way that you can avoid having your clients auto-exited. Please follow these directions regarding those services.

All clients with housing services must have a recorded move-in date. This date must match the beginning date of the housing service and the date that the client moves into housing.

New housing services end dates should not exceed a duration of 5 years. For example, a client enrolls in your program on 5/13/2023 and is housed on 6/1/2023. His housing service should begin on 6/1/2023 and end on 5/31/2028. For clients who are currently housed, their end dates should be no later than 2028.

All clients must have annual assessments, completed at the anniversary of their enrollment in your program. The annual assessment documents any major changes in the client's life including changes in income, health, or household composition. This is a great opportunity to check the client's housing service and extend it if needed. For guidance on how to complete annual and status assessments, please see page 28 of our HMIS Training Manual.

Rapid Rehousing Programs

Monthly Rental Assistance

For Rapid Re-Housing programs, we have a couple of options to helping you avoid having your clients auto-exited. If your clients receive monthly rental assistance, this is a great way to keep their enrollments active. Simply log a monthly rental assistance service at the beginning of each month to document the financial support you are providing. For clients who are not receiving rental assistance, please use another consistent service - like seeking housing opportunities or regular client meetings - to ensure your clients are not auto-exited. Remember, the HMIS Data Quality Plan states that all clients in HMIS programs must have services at least once a month.

Annual and Status Assessments

Just like with PH programs, all of your clients who are enrolled long enough must have annual assessments completed at the anniversary of their program enrollments. This assessment is a chance to document any major changes in the client's life including changes in their income, health, or household composition. For guidance on how to complete annual and status assessments, please see page 28 of our HMIS Training Manual.
