BEARBUY SCHEDULED MAINTENANCE

BearBuy will be unavailable Friday, April 5, at 6 p.m. through Sunday, April 7, at 9 a.m. to upgrade from release version 18.3 to 19.1. To avoid delays, please complete all BearBuy requests prior to the system maintenance. BearBuy will be available on Monday, April 8.

I n-Person BearBuy Support Office Hours
 
Come to the next BearBuy Office Hours to get your BearBuy questions answered in person. No appointment is needed.  The event is first come, first served.
    The next three BearBuy Office Hours will be held on:
  • April 11 from 9 a.m. to noon at  Mission Bay, Byers Hall, Room 413
  • April 23  from 1 p.m. to 4 p.m.  at  Parnassus, Medical Sciences Building, Room 168
  • May 7 from 1 p.m. to 4 p.m. at Mission Bay, Mission Hall, Room 2106
Supply Chain Management representatives will be available at these locations to answer BearBuy questions such as:

  • Shopping using catalogs and forms
  • Submitting or approving orders
  • Managing purchase order changes

BEARBUY TIP

Q: How do I cancel my BearBuy Order?

A:  In BearBuy, the Requester can withdraw the requisition if it isn't fully approved, yet. However, if the requisition has been fully approved, you would need to contact the supplier to request to cancel the order. Some suppliers process orders too quickly to cancel, but you can ask if they will accept a return.
 
After you have informed the supplier about your cancelation, you can then submit the Change Order Request form in BearBuy to ask that your purchase order be closed (when you cancel your entire order) or cancel a line (if you cancel only one item from your order). On the form, please explain that you canceled the order with the supplier.


BEARBUY TIP

Q: How do I return items that I ordered through BearBuy and get a refund?

A: First, contact the supplier to discuss their policies and process for returning items. Then, follow the supplier's instructions to repackage and return the item(s).
Supply Chain Management Logistics may be able to pick up your package to return to the supplier. Email [email protected] for assistance. Note: You will need to obtain a Return Authorization Number from the supplier before Logistics will take the package.

If the supplier issues a credit memo for the return, it can be sent to [email protected]. If the supplier issues a refund check, it can be mailed to UCSF Supply Chain Management Accounts Payable, Box 0812, 1855 Folsom St, Rm 300, San Francisco, CA 94143-0812. Please reference the purchase order (PO) number and invoice number on the credit memo/check or include a note so that Accounts Payable can apply the refund to the correct PO.
