Validate Data Using the
'Manage Custom Exports' Functionality
The Manage Custom Exports functionality in the MiDataHub cockpit allows users to create custom reports and/or exports from pre-built queries. A complete list of the available queries can be found at > Support > Data Validation queries or by clicking here. 

To run the queries, follow the quick steps below or download the walkthrough from our website by clicking here:

  1. Navigate to your district landing page in the MiDataHub cockpit
  2. Click on the Reports dropdown and select Manage Custom Exports
  3. From the pull-down menu, select Writing/Pasting the Query in T-SQL
  4. From the Query Bank pull-down menu, select the query you would like to use
  5. Review the selected query, and select Preview Results
  6. Preview the selected data returned by the query, and click continue
  7. Review the configuration settings and download the query results by clicking the Create Download File, and then click again when the Download File link appears.

A few recommended queries from the list are: 

School Data Load Analysis - This validation query provides a breakdown of data loaded in several categories for each school building within your district. This script is very helpful in ensuring all of the data is loaded for every school. For those that have used the At-A-Glance report located in the MiDataHub cockpit, you will find this script very similar in that it provides an aggregate count of records, but this script provides much more (and clearer) detail on each category of data residing in your ODS. 

School Section Analysis - This validation query can be used to validate that each school has sections published to MiDataHub and will provide the end user the counts of both students and assigned staff. 

Data Freshness Script - This query lists the tables that are populated with data, along with specific details on when they were first populated and most recently updated. This script is very useful in that it provides end users when the last update was made to a specific set of data (Student Section, Attendance, etc.). 

Please know there are multiple queries labeled as “Readiness scripts”. When used, these scripts will provide you with an understanding of how complete your data is in order to use specific tools such as MiRead, MiLearn, EVAAS, Eidex, and many more.

MiDataHub Release Notes
from Version 2021.01.25.1
This past weekend a new release was pushed into production for MiDataHub. The following items were deployed in the release:

  • Enhancements to the Custom Export Tool (See Above)
  • Multiple fixes for MSDS processing
  • New Sungard eSchoolPlus bulk loading functionality to improve performance of the eSchoolPlus XML import (part 1 of 2)
  • Changes were made to the MICIP data readiness check page formatting - Required and Optional sections are now grouped together
Status Update: 
MiDataHub Visualizations in MICIP
When MICIP was launched earlier this year, the plan was that visualizations of data that are in MiDataHub would be available to add into MICIP in a similar manner to the MiSchoolData visualizations. Due to many factors, however, those visualizations are delayed as we work to ensure that the process can be properly scaled for the volume of data that is contained in MiDataHub. We expect the first visualization from MiDataHub to be available prior to the end of the school year, with more coming online this fall.

In anticipation of the MiDatahub visualizations, data readiness checks for MiDataHub were added to the MICIP readiness checks as optional. This has inadvertently created a level of confusion for districts when looking at the MICIP readiness information. While it is important to ensure good data quality of the data in MiDataHub, none of that data will cause any issues in MICIP at this point. Once those visualizations are ready for production, districts are encouraged to look at relevant data checks for the types of visualizations used and to review the visualizations themselves to ensure the data looks accurate.
Data Quality
You’ve heard the old adage - “garbage in garbage out”. That adage is so true when it comes to data, and is especially true with data in MiDataHub. We are getting to the point that many downstream systems are depending on data from MiDataHub, or will very soon, so it is important to ensure that we have good data quality coming in from your source systems, such as SIS, assessment, discipline, special education, etc. What are the ways that you can check your data in MiDataHub? Here are a few categories:

  1. System Reports - In your MiDataHub district landing page, there are several reports in the Reports>View District Reports section. The most valuable of these are the At-A-Glance, EEM Entity Mapping, and Role Validation Report. These give you a quick glance to help identify areas where data might be missing.
  2. Custom Exports - In your MiDataHub district landing page, the Reports>Manage Custom Exports section has a wealth of data queries to look at individual pieces of data. This section is detailed above, but some of the most helpful queries to run are:
  • Assessment Inventory - Get a summary of which assessments are loaded
  • Class List Verification - Ensure that your class schedules are present and that teachers are linked
  • Data Freshness - check to see if your data is updating every day
  • Diagnostic: Student Status List - This will show students that are missing key information, such as UICs and district student numbers
  • Downstream App Validation - There are a number of flags and programs that are used by downstream apps, like Eidex, EVAAS and Munetrix. Use this to see which of these data elements are available for those apps
  • MSDS Field Level Validation - This query will show which MSDS fields are being populated from your SIS
  • School Data Load Analysis - Provides counts for several categories of data that is loaded for each school
  • Student Enrollment Verification - Use this to ensure that students are enrolled in the school and grade level that is intended
  • Student Schedule Verification - Use this to get a list of the student schedules for review
  1. Readiness Checks - Some systems, such as MICIP and MiLearn have their own readiness check pages. These are very targeted and help to highlight things that are missing.
  2. Alerts - One of our newest features, and one soon to be expanded on, allows for proactive alerting based on your data. At present, the most helpful is the Data Freshness piece. When set at a 3-day threshold, it will ensure that you’ve received new data within the last 3 days. This will email you if it looks like your SIS has stopped sending data. We are planning to build more of these for the future.
  3. SIS System Utilities - Most SIS systems also have screens that provide the status of data publishing. These are an excellent resource that highlights issues that occur in transmission.
  4. SIS Vendor Monthly Meetings - We host a monthly meeting with most SIS vendors, and we invite districts to join. It is an excellent way to see the latest features supported by your SIS as well as an opportunity to get feedback on any data issues.

While we know that data quality is an ongoing process, our goal is to move towards more proactive monitoring such as alerts that can provide a heads up when there is a data issue, rather than requiring constant monitoring. If you need assistance with data quality, please don’t hesitate to reach out to our helpdesk at
