IMPORTANT: Cost Transfers Effected by New Procurement Requirements (GRANT related)

Beginning July 1, 2018, the University will implement new procurement requirements to ensure that the University complies with 2 CFR 200.318, as part of the Federal Uniform Guidance. This regulation will apply to any purchasing made on a sponsored project. The primary change to applicable purchases would be for goods and services between $5,000 and $40,000 that were not purchased through University contract or formal competition. Three supplier quotes must be obtained before a purchase is made demonstrating the use of competitive sourcing and best value principles. The quotes may be obtained by the department or the Purchasing Contracting Officer.   While the Uniform Guidance requirements will not be applicable to purchases made against University cost centers, it will be applicable to any purchases that are later transferred to a sponsored project from another cost object. As a result, any JVs submitted to Research Financial Services will require documentation demonstrating that purchases transferring to a sponsored project (3* WBS element) followed the appropriate procurement requirements. Furthermore, the documentation must demonstrate that Uniform Guidance requirements were followed before the purchase was made. Flexible Spending

ASI Flex is the University of Kentucky’s new partner for flexible spending administration beginning July 1. ASI Flex will take over administration of dependent care and health care claims beginning July 1. You may still incur claims from your current 2017-18 plan year but will use ASI Flex for any claims processed after June 22, even if you did not re-enroll in a flexible spending account for the 2018-19 plan year. Also, up to $500 of your unused health care funds will roll over into an ASI Flex account after June 30. A new ASI Flex debit card will be mailed to you no later than June 30 for new enrollees and those who have health care rollover funds. Graduate School

It's time to begin preparing for GSAS entries. Please begin pulling information together for RA, GA, TA assignments. The Graduate School has provided the dates below for GSAS entry: • July 8 – Graduate School Appointment Form opens for fall appointments • Sept 5 – Graduate School Appointment Form closes for fall appointments • Oct 15 – Universal Tuition opens for the fall semester, please update WBS and Cost Centers for all RA and GA students • Oct 29 – Universal Tuition closes for the fall semester. • Sept 17 – Sept 21 – students qualifying for the out-of-state tuition scholarship for the 767 dissertation course.

Renovations

Renovations in CPH Research Facility #1 will occur between July and August. Office 212F will be split into two separate offices. The current student lounge will be receiving new carpet and paint in preparation to become the new Dean's Suite. Throughout July and August we will also be working with a UK interior designer to prepare the new student lounge that will be located in 613B of the Nursing Building. (More information to come.)

Administrative Assistant's

We are excited to announce that two Administrative Assistants have accepted offers within the college. Heather Fortney has been hired to support Health, Behavior & Society, Biostatistics, Gerontology and the Dean's office. Heather will start on July 16th. Bonnie Gay has been hired to support Preventive Medicine and Environmental Health, Epidemiology, Health Management and Policy, and SEAS. Bonnie will start on July 9th. Please help us welcome these two as they begin their careers with the College of Public Health.

Employee Master Data

Employee Master Data completion is not only critical for processing accurate employee pay but plays a vital role in tax administration and travel employee reimbursements. Employees are responsible of notifying department HR personnel of any change in home address or through self-update of permanent residence in myUK ESS. Supervisors should ensure the accuracy of the Work Address in employee’s master data record and if needed, the secondary work address.
