Tips for Recording Secretaries


REMINDER: To take great minutes, prepare a template from the agenda, focus on recording key decisions, action items (who, what, when), and motions objectively, not every word; use shorthand, ask for clarification, and finalize notes quickly after the meeting for accuracy, ensuring they serve as a factual record.

Minutes Should Include: Type of meeting (regular, special, adjourned regular or adjourned special)

• Name of the club (general, board of directors, etc.)

• Date, time, and place of meeting

• Time the meeting was called to order

• Attendance must be recorded to establish a quorum

• Approval of the minutes of previous meeting - either approved, or approved as corrected

• Summarized reports of officers and chairperson (important reports such as the budget or

monthly treasurer’s reports should be attached to the minutes and included in the official book)

• All motions and the name of the person who made each motion

• Unfinished business

• New business

• Announcements

• Program information – a brief mention. Attach handouts if useful

• Time of adjournment

• Signature of the secretary – The minutes are a legal document.

The Story Behind the Name

Who was Jennie, and why is one of GFWC's most prestigious awards named in her honor?


"Jennie" was the affectionate nickname of Jane Cunningham Croly, the visionary journalist who founded the General Federation of Women's Clubs in 1890. She believed that when women came together to share ideas, talents, and a commitment to service, they could improve their communities—and the world. More than 135 years later, her vision continues through the work of GFWC clubwomen across the nation.


The Jennie Award was established to honor women who exemplify that same spirit of volunteerism, leadership, and service. It recognizes those whose dedication reaches beyond the clubhouse and into their communities, enriching the lives of others through countless hours of selfless service.


As you think about the women in your club, ask yourself:

Who is carrying on Jennie's legacy today? Chances are, she isn't looking for recognition. She simply serves because she cares. Take time to recognize the remarkable volunteers who make a difference every day. By telling their stories, we honor not only their service—but also the enduring vision of GFWC's founder.
