Directors Update

Market Alert: Client Device Supply & Pricing

At the last CNYDOT meeting, we received a significant update from CDWG and Dell regarding the global hardware market that will impact district purchasing throughout the remainder of the 2025-26 and the 2026-27 fiscal years. Due to the explosive demand for AI and data center components, we are seeing several key trends:

  • AI Pivot: Chip manufacturers are strategically reallocating production capacity to prioritize high-margin AI processors. This is expected to cause a global supply shortfall for entry-level consumer processors, particularly those with Intel N-Series. Demand for these devices is currently projected to be met by only 20-60% through Fall 2026.
  • Cost Increases: Industry-wide price hikes are anticipated for key components, specifically RAM (30-50%) and SSD storage (5-15%). These increases will directly affect end-user device pricing and necessitate larger budgets to maintain existing device replacement plans.
  • Quote Times: Many manufacturers have reduced their price guarantee on quotes from 30 days to 14 days, increasing the risk of price increases prior to purchase execution.
  • Supply Chain: While device supply is currently available, it is expected to quickly diminish as large county-wide school districts across the country begin major procurement. This will result in an increase in new, longer-lead-time build orders.
  • Lead Times: Manufacturers are anticipating extended 12+ week lead times for unbuilt inventory.

Action Item: If your district plans to execute a lease or a one-time IT project for end-user devices or IT infrastructure needs during the 2025-26 fiscal year, please do so as soon as possible to mitigate the impact of rising costs and potential supply chain issues. Additionally, if you have 2026-27 funds marked for hardware, please consider utilizing those funds for ordering now. Resellers are giving options of purchasing now, holding inventory, and moving warranty start dates until the district is ready to deploy.

PROVIDE LEADERSHIP, ASSISTANCE, AND RESOURCES TO ENHANCE DISTRICTS’ DATA ECOSYSTEMS IN SUPPORT OF LOCAL, REGIONAL, AND STATE PRIORITIES

This month, our data coordinators are facilitating the critical review and verification of teacher certifications, local Career and Technical Education (CTE) courses, and English Language Learner (ELL) student populations. This effort is extremely collaborative, and it ensures that our districts are not only meeting essential requirements, but are also equipped with the qualified educators and programs necessary for student success.

Our team also remains dedicated to the technical essentials that keep district operations running smoothly. Team members are actively managing ClassLink data integration and maintenance for critical assessment programs like STAR, ensuring that student data is accurate and accessible. Furthermore, many of our team members supported local leadership this past month by creating comprehensive charts and projects for board of education meetings, providing clear visualizations of key metrics such as attendance and assessment results to help drive informed decision-making.

Our team is dedicated to providing high-level analytical support that helps our districts navigate complex educational landscapes and improve student outcomes. Currently, we are:

  • Analyzing Student Trends: We are conducting in-depth comparative analyses of behavioral data from the previous year to the current one. This work is specifically designed to help leadership teams evaluate the impact of new policies - such as recent cell phone bans - on the school environment.
  • Ensuring Reporting Accuracy: We are meticulously reviewing student cohort data to guarantee precise reporting. This includes providing long-term longitudinal analyses of state assessment and Regents performance to identify historical trends and areas for growth.
  • Facilitating Student Interventions: Our team is leading the Multi-Tiered System of Supports (MTSS) process for elementary schools. By facilitating Academic Intervention Services (AIS) reviews for both ELA and math, we help determine the appropriate intervention tiers for students based on their specific needs and district plans.
  • Customizing Success Trackers: We are collaborating with local coordinators to develop customized data-tracking tools for specialized programs, such as the Seal of Civic Readiness. These tailored resources allow staff to conduct essential mid-year reviews of student progress, ensuring that senior cohorts and mid-year graduates receive their earned endorsements on time.

We are very excited to offer upcoming learning opportunities for SchoolTool’s Advanced Analytics platform, with a focus on the base dashboards that are already available for all users within the platform. Advanced Analytics is a flexible data visualization tool designed specifically to help K-12 districts save time and identify trends early, without being overwhelmed by data. Our virtual user group session is scheduled for March 6, and will be focused on overview, navigation, and administration/permissions. Our in-person user group session is booked for the morning and March 17, and will focus on a hands-on instructional dashboard training and workshop. Look for both of these to be posted in My Learning Plan soon!

Additionally, on Wednesday, Feb. 4 the Educational Data Services team will host a Xello informative session from 10-11 a.m. via Zoom. Xello is a comprehensive college and career readiness platform for K–12 students, and this session will explore how the solution aligns with the New York State Portrait of a Graduate by helping students become reflective and future-focused as they understand their unique strengths and interests. By utilizing the platform to build essential skills in goal-setting and decision-making, students will develop the critical thinking and creative innovation necessary to navigate potential career and educational pathways. Furthermore, Xello empowers students to create personalized portfolios that support their academic and professional growth, ensuring they are academically prepared and ready to contribute as global citizens in an ever-evolving world. Please register if you’re interested in  attending this virtual session.

Lastly, the EDS team will also host an informative session on the highlights of Classlink Analytics Plus on Tuesday, Feb. 10 from 9-10 a.m. via Zoom. This platform offers comprehensive digital engagement tracking, and provides a complete view of usage for all students, instructors, and staff. By capturing analytics for all digital resources - including those accessed outside of the ClassLink environment - the tool empowers leaders with data-driven insights. From district-level overviews down to individual student metrics, Classlink Analytics Plus assists leadership in making highly informed purchasing and support decisions to better serve their educational community. Please register if you’re interested in attending this virtual session.

New York State Education Department (NYSED) Reporting Update

NYSED recently announced an updated data incident reporting form that can be used to report all incidents, regardless of whether it is an accidental disclosure or a more complicated breach. The PDF “long form” will no longer be necessary to fill out, and has been removed from the NYSED website, while the FAQ and reporting information can still be found there. Educational agencies are reminded of the obligation to report data incidents to the NYSED Chief Privacy Officer pursuant to Education Law § 2-d. Here are some examples of data incidents that must be reported:

  • Erroneous or accidental disclosures by a school employee (e.g., sending student information to the incorrect recipient).
  • Unauthorized accessibility to student data due to a vendor action or inaction.
  • Unauthorized access to student data due to hacking or a phishing attack.

PROVIDE LEADERSHIP, ASSISTANCE, AND RESOURCES TO ENHANCE DISTRICTS’ TECHNOLOGY ECOSYSTEMS IN SUPPORT OF LOCAL, REGIONAL, AND STATE PRIORITIES

2027 Wide Area Network (WAN) Renewal Planning

Our current regional Wide Area Network (WAN) agreement is approaching its next major renewal cycle in 2027. Given the scale of this infrastructure and its impact on your long-term budgets and connectivity, we are forming a planning committee to seek input on design and implementation for the next three years of regional networking. We are looking for representation from each BOCES region comprised of directors of technology, network administrators, superintendents, and school business officials.

Regional Professional Development for IT Staff

As the complexity of school cybersecurity and infrastructure grows, we are seeking a commitment to develop a formal, regional professional development track (with pricing) specifically for informational technology professionals. For more information, you can review the executive summary that was shared with the Directors of Technology at our meeting on Jan. 16, 2026.
