To improve service levels and response times, we are providing the attached guidance for policy changes. Adhering to these guidelines help us continue to improve service level standards for new business, renewals, and Agent questions. The guidelines describe how far in the past you can backdate a change and when you must enter a change using the effective date of the renewal.


Today, the Associate Underwriting Team receives policy change exception requests falling outside normal processing procedures. Many seemingly small requests require the Associate Underwriter to process multiple transactions (requiring several days to process), in both PARIS and ExpertQuote (Duck Creek). E.g., Adding an alarm discount retroactively into the prior term(s) may take the Associate Underwriters five days to process if it involves making changes in multiple systems.

Why is this important?

When entering effective dates within acceptable guidelines, most changes will process automatically, without manual intervention. If a change is entered with an effective date outside of the attached guidelines it creates poor service and additional work for those involved. The transaction will still be processed in accordance with the guidelines that have been provided. 

Following the processing guidelines will improve the turnaround time on policy service transactions by eliminating unnecessary work items. This will ultimately allow transactions to be reviewed and completed within shorter timeframes and improve the quality and timeliness of service delivered to all American National clients.
