Transportation Chargebacks

Documents detailing the transportation chargeback and bus attendant costs for the second half of SY 2019-20 through March 13, 2020 have been uploaded to Epicenter. Please confirm receipt in Epicenter and ensure that this information is shared with the appropriate staff at your school.
If you have any questions or require additional information, email specialfinance@philasd.org no later than 5:00 PM on Friday, August 21, 2020 to ensure there is adequate time to review your questions and respond prior to processing your school’s chargebacks. The District anticipates recovering these costs from the September subsidy payment.

Obtaining Student Records
In the event that a charter school needs to obtain student records from a District school, charters should first reach out directly to the District school. If after several attempts are made and records cannot be obtained, the charter can send a request to the Office of Records Management at recordsmanagement@philasd.org.

Requesting Student End-Dates
As a reminder, the District’s Office of Student Enrollment & Placement (OSEP) has updated their email address for all charter requests regarding end-dating. Requests must be submitted to studentenddate-request@philasd.org as necessary. The former email address (charterenrollment@philasd.org) is no longer active for requests.
Please note, the studentenddate-request@philasd.org should only be contacted if and when previous attempts to a charter or District school to withdraw a student have been unsuccessful. Please allow up to a 72 hour window for responses and processing.

SY 2020-21 Calendar of Collections

As a reminder, the CSO has scheduled Epicenter submission requirements in alignment with the Calendar of Collections. Friday, August 28, 2020 is the deadline for a number of items in the following Framework Categories: Board Governance, English Learners, Special Education, Demographics, Enrollment, Discipline, Academic Success, Fiscal Management, and Food, Health & Safety. Any questions regarding Calendar of Collections submissions should be directed to Tim at thanser@philasd.org.

Phase 1 Data Packet

Data Packets and updated instructions are available in Epicenter. They have been modified to account for the statewide school closures and details on these changes are included in Epicenter. Please note that we are not collecting K-2 reading levels and data should reflect attendance, in-school suspensions, and out-of school suspensions through March 13, 2020 only.
The CSO is committed to providing timely feedback and support so that you can focus on supporting students and families as the new school year begins. We request that schools complete the Data Packets as soon as possible. In order to meet the timeline established by the District Performance Office (DPO), schools must submit Data Packets by 5:00 PM on Friday, August 28, 2020.
Decisions on what will be included on the SY 2019-20 School Progress Report (SPR) are pending. As information becomes available, the CSO will be sure to share it with you. If you or your team need additional support, please contact charterspr@philasd.org.
