SPRING 2019 DELIVERY 1 MEMO

We are already half done with the first month of 2019 - WOW! This memo should give you all of the particulars for the first round of deliveries for our Spring 2019 bid. The Spring 2019 delivery 1 began today and wraps up Friday, February 8, 2019. If you haven't heard from Food Services of America (FSA) yet, they will be notifying you soon you regarding your first delivery date. Subsequent deliveries for the remaining three periods will be approximately 4 weeks apart based on your first delivery date. If for some reason your designated date will absolutely not work for you, please contact Tammie Claassen if you receive deliveries from the Billings FSA warehouse, and Carmen Steele if you receive deliveries from the Spokane FSA warehouse. - A FEW REMINDERS -

  • Orders totaling less than $400 or less per delivery may be subject to a one-time delivery date TBD by FSA;
  • FSA will invoice each district directly for each delivery. Please be sure to make payment to FSA within 45 days of receipt of product;
  • Bid prices have been determined as stated on the order form. Please check your invoices to insure that you are receiving those same prices and that you have received product in the amount that you ordered. Contact FSA if you find discrepancies or have product issues.
  • DURABLE GOODS - All items ordered from this category in the bid will be delivered in Delivery 1. FSA does not have the warehouse space to store them throughout the entire Spring delivery period.
  • Please contact Tammie or Carmen regarding damaged or tainted products. SAVE all boxes, cases, cans and products until the issue can be addressed and resolved. Photos can be very helpful and should be sent along with an email explaining this issue whenever possible.
  • The updated Product Nutrition Database is now available! The link is also on the SWMSS website [here]. It includes product formulation sheets and Child Nutrition labels for all Spring 2019 food items (alphabetized by product category). The previous bid cycle database is also available for reference & OPI reviews on that same page.
- ADMINISTRATIVE FEE DETAILS -

Southwest Montana School Services (SWMSS) charges each participating district an administrative fee of $0.90 per case/unit based on your total order amount. This admin fee will be billed on March 15, and payment is due by April 30, 2019.  Please respect the 45 day payment period as this may affect your opportunity to participate in the Fall 2019 bid.

- PRODUCT ISSUES & UPDATES -
Please note the following updates and product
issues for the Spring 2019 delivery cycle:
ITEM 6 - APRICOTS, canned
This item was removed from the bid after orders were submitted due to a weather-related issue. The product is unavailable from the growers.
ITEMS 291, 98, & 96 - BULK CEREALS, frosted mini wheat biscuits, raisin bran, & toasty o's
The Signature brand (FSA) was awarded for these items on the bid. After the bid closed FSA was notified that MOM Brands would no longer be packaging their product with the Signature label. You will receive these items with the MOM Brand packaging instead at the same price as bid and in the same quantities ordered. The updated brand code numbers will be 09826 (#291), 09816 (#98) and 09813 (#96).

ITEM 453 - BREADSTICK, cheese filled
Bake Crafter’s was awarded this product but there was an error in the brand code and pricing they submitted to FSA. The original brand code was 1621 @ $59.52 per case; the correct brand code is 1617 @ $55.60 per case. The case pack remains the same.

ITEM 209 - BURRITO, chicken/cheese & bean, W/G
Los Cabos was awarded this item and reformulated their product after bid submission. The product you will receive will not contain beans, and the chicken has been updated to be NAE (no antibiotics ever). The new brand code is 61272, the price remains at $44.40 per case, and the case pack decreased from 126 to 125.

ITEM 546 - KAMUT, roasted
The manufacturer changed their name from Montana Horizons to Big Sandy Organics, and the new brand code is 67923 00031. The pack size and price remains the same.

ITEM 169 - PORK SAUSAGE, pattie, precooked
This Jimmy Dean item has an updated brand code, 028839-0436.

ITEM 29 - POTATO ROUNDS, frozen, shredded
This Simplot item has a corrected brand code, 79004189.

ITEM 179 - CHEESE SAUCE, JALAPENO, RTU liquid
This Land ‘O Lakes item has an updated brand code, 39941.  

ITEM 471 - YEAST, STARBAKE RUSTIC, specialty blend
This item is a Lesaffre product with the brand code of 39675. It was incorrectly listed on the order form.

ITEM 51 - MAYONNAISE, tub, lite
This Signature item has a corrected brand code of 58314.

The following items are scheduled to arrive in the FSA warehouse during the week of January 21 so may not be on your first delivery. FSA will do makeup deliveries as soon as the product is in the warehouse.

- WEATHER & COMMUNICATION -

The weather around the world has made a huge impact on the produce market and it will continue through the next growing season. Thank you for your patience and, hopefully, being the smart, capable and flexible cooks that you are, you have come up with some creative menu items for these missing or late deliveries.
 
Please keep the lines of communication open so that we are aware of any issues and problems can be solved in a timely manner. Also, please let me know if you experience positive things with our products and your students and staff. All of us together will make our bid a better tool for your menu needs.
