Spring is here, and with it comes the familiar urge to refresh and reset. Just as we declutter our homes and reorganize our spaces, now is the perfect time to take another look at your digital footprint. Websites, social media accounts and internal systems can accumulate dust just like an attic full of forgotten boxes. A little spring cleaning now can save you headaches down the road.
Consider these key areas for your digital cleanup:
1. Audit Your Website: Your website is often the first impression of your agency or business. Are all your pages current? Are old blog posts or outdated contact information still lingering? Are you still scrolling a hero image that is past its prime? It is time to refresh that content, remove what’s outdated and ensure navigation is user-friendly. While you are at it, do a gut check on ADA compliance and ensure you are addressing easily resolvable issues that may otherwise attract legal complexities.
2. Check Social Media Permissions: Over time, staff roles shift, and social media access permissions can become outdated. Review your accounts and ensure that the right people have the appropriate access, and that former employees no longer do. While you're at it, consider updating passwords and enabling two-factor authentication. Finally, check to ensure your only administrator is not a former employee, making it tough to access and update accounts.
3. Verify Who Has Access to Remote Systems: Whether it's VPN credentials, shared cloud drives, the website content management platform, the shared Canva Account or project management tools, ensuring that employees have (or don’t have) access as needed is critical. 4. Organize Your Digital Media Files: We’ve all seen the chaos of shared folders filled with random file names and multiple versions of the same document. Implementing a clear, standardized file-naming system across your organization and tagging files with descriptions to make them discoverable helps. If you really want to take it seriously, deploy a digital asset management tool to handle media archiving.
