Local Education Agencies (LEA) participating in the School-Based ACCESS Program:
The following EasyTrac enhancements will be available to you as of Monday August 3rd, 2020:
- Easy access to "Student History" Addition
- Medical Authorization Updates
- EasyTrac Service Logging Wizard Update
Each enhancement is outlined further below:
Access to "Student History":
- A "Student History" option will be added to the Student Profile Menu. Selection of this option will direct you to the Student's History, showing all current student events such as IEP Dates, Medicaid Eligibility, and Medical Authorizations.
- While in the Student History, you will have the ability to access the student menu. This will decrease the use of the "Back" button to get to the student profile pages.
Medical Authorization Updates:
1. Streamline Entry and Review of Medical Authorizations
- The ability to manually add "Medical Authorization" dates from the Student Personal Information page will be removed.
- Medical Authorizations manually entered into EasyTrac will continue to be done so through the "Compliance Data" tab of the Student Profile. Information on how to use the Compliance Data tab and adding Prescribing Provider NPI and Medicaid Numbers can be found HERE.
- The ability to search on existing Medical Authorization Events will be added to the Advanced Student Search.

2. "Medical Authorization Report"
- A new report has been created to allow LEA's to pull data on existing Medical Authorization Events in EasyTrac. The report will be named "PA Medical Authorization Report" and will be under the "Students" tab in the Scheduled Reports section.

EasyTrac Service Logging Wizard:
- The Areas Covered/Assessed will not appear in the Logging Wizard until a billable "Service Type" has been selected.
- If a non-billable Service Type (i.e. Student Absent, Provider Not Available, etc.) is selected, the Areas Covered/Assessed section will not appear and is not required to be selected when logging non-billable services.
- When logging Nursing services, selection of a "Medication Administration" Service Type (RN or LPN) will only show the Medication Administration Areas Covered/Assessed.

Once at the training calendar on the SBAP website take these steps to register:
- Click on link for training on the date you wish to attend
- Complete the information requested to register for training
- Once registered, a link for the training will be sent via email
