BrightArrow Number

As our texting vendor (BrightArrow Technologies) expands, they have added an additional texting phone number to speed up high text delivery. In the upcoming days/weeks, you may start seeing your OAHS/FWV text messages coming from a new number: 79041. The 87569 number is still in use and you can text opt-ins (and opt-outs) to either number.

NOTE: If you receive a mass text message claiming to be from OAHS/FWV, please ensure it is originating from 79041 or 87569. If the message is from any other number, it might be a fraud message. Do not click any links in a message you suspect might be fraudulent.

Health Information Management Week

Thank you to everyone who stopped by the HIM Open House this week - and congratulations to Terie Dorry, winner of the $20 Casey's gift card!

The OAHS HIM team successfully handles a large amount of information and tasks that touch every corner of each department and team throughout the OAHS family. John Thomas, manager of the department, states, “I am incredibly lucky to have the opportunity to work with such an amazing group of individuals who work so well together to make an incredible team; we sure do have something special here.” Health care has seen many changes over the years, which has profoundly affected Health Information Management. The HIM team is resilient and able to navigate the rapids of change and do so with grace and ease, knowing the support they all have for each other.

Pictured below is the OAHS HIM Team. Left to right: Sara Mattison, Megan Hoffman, Laura Muldoon, Kristen Ohm, Joett Nicholson, Becky Ash, Marlee Hunt, and John Thomas. (Sara, Kristen, Joett, and Becky are Coding Specialists at OAHS, and Megan, Laura, and Marlee work as HIM Clerks. John serves as HIM Manager at OAHS.)

‼️ Upcoming Safety Event

As a part of our annual CMS requirements, we are taking part in a “live” exercise next week on Thursday, April 27 from 0900-1200. This will be a MRSE (Medical Response & Surge Exercise) which will mainly involve the those departments/staff that deal with ED patients. The exercise will begin with an overhead page stating that we are beginning our training exercise and then end with another overhead page as well. Some of our staff will be playing patients for this and will be appropriately identified. More details will be sent out to the department managers for this exercise.

‼️Emails with Protected Health Information

‼️ Important: Please Read and Implement Immediately:

Changes have been made to the email system that require emails with Protected Health Information (PHI) sent to Sanford be encrypted using the method of putting the word secure in bracket in the subject line (e.g. [secure]). If this is not done, the email containing PHI will not be sent through encryption which would be a violation of privacy rules. Yes, this does also include message sent to Tech point.

Just as a reminder, any electronic communication such as email must be sent through an encrypted mechanism unless the patient has expressly asked for and acknowledged the risks of sending PHI through a non encrypted electronic communication. The only email extensions that have automatic encryption and don’t require “[secure]” to be in the subject line is emails from either @oahs.us or @fairwayview.us to either of those email extensions.

Please contact John Thomas with any questions or concerns.

‼️ IT Phone Upgrade

IT will be performing a phone upgrade on Sunday, April 23, at 9pm. Plan for phone outage to last 30 minutes during this upgrade. Please plan alternate options for making phone calls while we upgrade the system.
