Topics Covered

The Rate Meeting webinars will review the impact of year-end financial results and actuarial data on IMRF, and the data's estimated impact on employers. IMRF Executive Director Brian Collins and Chief Financial Officer Mark Nannini will conduct the meetings.


Employers will be able to ask questions using a chat function during the calls.

How to View Your Preliminary Rate Information

Your employer's estimated 2025 annual contribution rate for its IMRF plans is available in new Employer Access. This is needed for financial planning, accounting, and reporting purposes.


To view this information in new Employer Access, click on the gear icon in the toolbar on the left side of the Employer Access homepage, and then click Partner Information.


On the Partner Information page, enter your employer number where it says Partner Code. Click on the Contributions tab. To filter by year, enter the appropriate effective date. Add the components shown in the right column under Contribution Rate to determine your preliminary rate.

Employers Can Enable Members to Self-Register by Adding an Email Address in Employer Access

If you have an employee who is an IMRF member and who was unable to self-register in new Member Access, you can go into Employer Access and add an email address for that employee. This will then enable the employee to self-register in the new Member Access system.

To add an email address to a member's record, click the New Data Collection button at the bottom of the My Data Collections box on the Employer Access dashboard. (shown to the left)


Click the Create Data Collection button. Choose Member Information Changes from the Data Type drop down menu. Enter your IMRF Employer Number where it says Partner Code. Click the Save and Continue button in the right column.


This will bring you to the Add Member Data screen. Click the Add Record button.

You will need to enter the member's social security number, first name, and last name. Next to Email, add the member's personal email address and click Save. Once the email address is added to the member's record, the member will then be able to self-register in new Member Access.

Important Notice about Retiree Health Insurance Deductions

Changes to Health Insurance deductions for retirees can no longer be emailed or faxed to the IMRF Treasury Department. Updates for Health Insurance Deductions for retirees are now entered in Employer Access.


Click on the My Data Collections box on the Employer Access homepage and then click on New Data Collection. Select Data Type: Insurance and Union Deductions, and follow the prompts to enter each retirees’ update.



To assist you, there are instructions and a visual PowerPoint mid-page on the Manage Member Events webpage, in the Employer Learning Center.

Using Barcoded Forms from IMRF Member Access

Many of the forms generated by the new IMRF Member Access site are barcoded. This barcode will direct the form to the member's account it was generated from, when it is received by IMRF.


Please do not make copies of barcoded forms and give them to other employees. If the other employees submit these duplicated barcoded forms to IMRF, the form will be directed to the incorrect member account.

2023 IMRF Annual Report Available in June

IMRF's 2023 Annual Comprehensive Financial Report (ACFR) and associated documents will be available on IMRF's website by early June. Your auditor will need these documents if your employer follows Generally Accepted Accounting Principles (GAAP) in its financial reporting.


You will find the 2023 ACFR and Detailed List of 2023 Investments on the Annual Financial Reports page.



Additional documents available 

The following documents will be located in the Document Viewer in new Employer Access. Click on the folder icon in the left toolbar on the Employer Access homepage, and then click Document Viewer. Type the name of the document into the search bar, and hit the search button. 


  • 2023 Schedule of Changes in Fiduciary Net Position by Employer
  • 2023 Reconciliation Adjustments Schedule
  • 2023 IMRF Census Data Attestation Report


The 2023 Actuarial Valuation and 2023 Gain/Loss Analysis are now located on the Reports for Employers page of the IMRF website.

Authorized Agent Webinars for May and June

Authorized Agent online webinars are available for Authorized Agents to learn about IMRF procedures and how to administer IMRF benefits.


Please Note: To receive a completion certificate, you must attend the 2 online sessions live. Watching a recording at a later date will not result in a certificate of completion.

 

Important New Legislative Requirement

Effective January 1, 2024, Illinois pension law requires all new IMRF Authorized Agents to complete an IMRF-provided training course within three months of appointment.

 

All sessions run 9:30 AM to 11:00 AM.

April Board Meeting Highlights

On Friday, April 12, 2023, the IMRF Board of Trustees:


  • Received a status update on IMRF's technology project.
  • Discussed IMRF endorsed insurance program.
  • Approved the participation of new employer: Sugar Grove Public Library District.

IMRF Employer-only Phone Number

Please do not advise IMRF members to call the IMRF Employer-only 1-800 number. There has been an increase in member calls to this phone number recently. This number takes members to a separate call center, and their calls will need to be transferred to the Member Contact Center. This slows service to employers calling the Employer-only line.


We are aware of the delays and frustrations some members have experienced getting through to the Member Contact Center, and we are working diligently around the clock to bring wait times and response times back down for our members.
