Evening at the Movies explained!
|
|
By now you have probably heard a lot about the Evening at the Movies (or at least I hope you have!) However, this event has a lot of moving parts and we understand that you may have a lot of questions! I hope to answer them all in this e-mail!

The Event: March 26th
5:00pm - 9:00pm
Almaden Hills UMC

Evening at the Movies is one of our two annual fundraisers for the JYM. With the help of many volunteers, we put together an event for parents, family friends and congregation members to enjoy. We provide a catered dinner, have hundreds of auction items, and end the night with a talent show featuring our wonderful teenagers!
Though the main reason we host this event every year is to raise funds for our program, it is also one of the only nights where everyone comes together at the same time and place. It is a great way to celebrate the incredible community that makes the Joint Youth Ministry possible.

Who buys tickets? In short, everyone!
Adults - $25: This is a ticket for anyone who is coming as a guest and is enjoying the catered dinner
. If you are a parent who is volunteering for a shift, you still purchase this ticket. If you have a younger child who does not want to be babysat or a teenager who is not working at the event they would also purchase this ticket.
Teen Servers - $15: We ask our teenagers to help out at this event. They sign up to be servers, dish washers, pour drinks, and check people in.
Teenagers still buy tickets because they eat dinner, dessert and drinks when working. We pass along the catering cost to our teen servers.
Babysitting - $15: For children 1.5 - 10 years old. We have paid babysitters who watch younger kids, play games, do crafts, and we provide a bounce house! Kids will eat a pizza dinner. If your kid does not want to be "babysat" they of course can join you for dinner, but will need to pay for an "adult" ticket
Family Cap - $100.00:
If the cost of buying your family tickets exceeds $100, we cap the cost. We want this to be a fun event that does add a huge financial burden to your family
On that note...
If you cannot afford the cost of tickets, PLEASE let Lisa and Kat know. We want everyone to be able to attend this great event, because it makes the night more fun! People often donate tickets to our event, so we can always make something work!

How do you sign up for jobs?
We have two different committees for EAT Movies - one for the auction side and one for the food. Those committees are put together in the fall, but we need a lot of help the actual event weekend.
On Sunday March 12th - we will have jobs sign up at the end of youth group for teenagers and parents. We will also send out a an e-mail asking people to sign up for jobs that we still need filled.
Saturday March 25th from 9:00am - 12:30pm we will have a "drop in" set up day, where anyone can come by to help us set up tables, decorations, and the auction room.
Sunday, March 26th- Students are asked to be there at 4:30pm. Doors open for adult guests at 5:00pm. The event will be done by 8:30pm but we ask the high school students to stay until 9/9:30pm if possible.
Any hour you or your student works, earns $10 off of a trip for your student. You can apply this to Jr. High camp, high school mission trip and the snow trip!

The cost of tickets for our guests primarily cover the costs of our event. The way the JYM earns money through this event is primarily by our giant auction!
We still need donations from YOU, specifically the things highlighted!
Some items we would love:
1. If you have a skill you can provide such as babysitting, tutoring, meal cooking desert making (i.e: home delivery of dessert for 3 consecutive months) gardening, handyman work, car repair, photography, driving to airport, etc. you can donate a designated time amount of that service!
2. Host a "Sign Up" Party. Host a Bunko night, a game night, a wine tasting party, a summer BBQ for a specified amount of people and age range (teen party, parent party etc). Cap the amount of people you want. Set a price per
person! These are super fun and popular.
3. You can purchase gift cards and donate to us, restaurants and movies are great!
4. You can donate items! We request that items are new/ barely used conditions. You can put together a basket of themed items or donate things individually. Some popular items to donate are wine, jewelry, purses and electronics
5. Tickets to sporting events! If you have season tickets, we would love anything for the Sharks, Giants, A's, Warriors, 49ers and other local teams that would be great! WE CURRENTLY HAVE NONE! WE NEED SOME!
6. Vacations homes! If you have access to a vacation home we would love if you would donate a weekend stay to our auction. You can name any parameters you wish.
We need donations turned in by Sunday March 12th! Bring items to youth group at Almaden Hills UMC that evening to the "drive-by" drop off line.
Need to ask a business for a donation? Here is a letter that explains the ins & outs of our fundrasier! Donation Request Letter
Have something to donate? Please fill out this form with all of the information requested :) Donation Form

Every year we ask teen servers to dress in according to the theme we are putting on. For "Evening at the Movies" teen servers have 3 options
1. Like a favorite movie character! Pick someone you love from a film and recreate their outfit
2. In semi-formal attire. Become a celebrity for an evening, but don't let it stop you from working hard!
3. All Black. When all else fails, go with a classic. Wear all black and become "event staff" for the evening.
For our parents and guests we ask that you come dressed in semi-formal attire or favorite movie character. Come walk on our red carpet in your best outfit! If you'd prefer casual, we will not turn your supportive and wonderful self away!

The Joint Youth Ministry is sponsored by our three churches: Almaden Hills United Methodist Church, Cambrian Park United Methodist Church, and Willow Glen United Methodist Church. They provide us with a location to meet, a salary for Lisa and Kat, and an annual budget. These resources make the JYM possible and we are so grateful for the faithfulness of our churches in this program.
HOWEVER, as the program has continued to grow in size we have committed to providing a wide variety of events that can reach all of our students. This means we exceed the funding our churches provide and raise the rest! we try to raise an additional $50,000 a year to supplement our program budget. Besides providing supplies for our weekly programming, the money we fundraise provides scholarships for students attending trips, crisis care such as therapy bills and grocery gift cards, supplies for service projects, and many other things throughout the year!

Thank you for making our event possible!

We look forward to seeing you at Evening at the Movies this year! If you have any questions that this e-mail did not answer, please e-mail Lisa or Kat! This is such a fun event and it would not be possible without your support.
Peace,
Katrina Kraynick-Baker
