Show Management has developed the DEMA Show Exhibit Regulations in accordance with the guidelines adopted by the International Association of Expositions and Events (IAEE). All exhibits must follow these regulations prior to the end of move-in. These regulations will ensure all exhibitors an equal opportunity, within reason, to present their product(s) in the most effective manner possible.

Food & Beverage Rules

Exhibitors may serve food from their booth; however, they must make prior arrangements through SodexLive!, the Official food and beverage contactor for the New Orleans Convention Center. Outside food and beverage is not permitted. 

Late Work Passes

Exhibitors that must have access to the exhibit hall after published move-in and move-out hours, must obtain a special Late Work Pass from Show Management. Additional security MAY be required at the exhibitor's expense if Late Works Passes are required. We encourage exhibitors to complete exhibit move-in and move-out during specified hours. No Late Work Passes will be issued to work on the show floor before published move-in and move-out hours, only after. 

Security

Uniformed Security Guards and Badge Checkers will be stationed throughout the exhibit halls on a 24-hour basis and will patrol the floor during non-show hours. Every reasonable effort is made to prevent losses. The final responsibility, however, lies with the exhibitor. It is advised items such as laptops, small monitors, or anything which is easily concealed, NOT be left unsecured in a booth overnight. Private guards can be hired from the official security contractor; see the order form located in the Utilities, Rigging & Additional Services section of the Exhibitor Services Manual. 

Space Selection for 2024

As a valued DEMA Show exhibitor, you will have the opportunity to select exhibit space for DEMA Show 2024 onsite at DEMA Show 2023. Onsite space selection is the best way for current exhibitors to secure PRIME space for DEMA Show 2024. We will send a separate email with your assigned appointment time. While you are at DEMA Show 2023 in New Orleans, simply visit the sales office in booth 3913 at your assigned time and you will be able to select your space for DEMA Show 2024.

 

By attending space selection at DEMA Show 2023, you will be able to:

  • Secure prime space BEFORE it is available to our general pool of prospects.
  • Receive a $100 discount per 10’ x 10’ booth for signing up on-site (you must join or renew as a 2024 DEMA Member and pay your 20% deposit by January 22, 2024).
  • Select your company’s location and see the locations of other exhibitors’ booths.

Exhibitor Move-In, Hand-Carry & Personally Owned Vehicle (POV) FAQs

What can I carry through the single glass doors of Lobby G?

  • You may use a small wheeled-bag or hand-carry items that fit through a single glass door. Dollies, carts, carriers, etc. are NOT permitted.
  • Loading or unloading anything larger will be prohibited.

 

What if I have larger items?

  • You will need to come in through the marshalling yard and gain your dock pass.
  • POVs must have one person always remain with the vehicle on the dock.
  • No long-term parking will be allowed on the docks, you will have a maximum of 30 minutes to hand-carry items.
  • To further assist you, TEG offers cart service for POVs. 
  • Flatbeds 15' or longer, U-Haul's, or other box trucks and vans are NOT considered POVs and will be subject to standard material handling rates.


Where do I park and what entrance of the New Orleans Convention Center do I access?

  • There is no parking or temporary parking off Convention Center Boulevard, plan your parking; Lots F and J are currently scheduled to be open.  
  • Reserve parking in advance via Park Mobile.
  • Lobby G Entrance off Convention Center Boulevard will be the closest option for gaining access to the DEMA Show Floor. 

Exhibitor Move-Out, Hand-Carry & Personally Owned Vehicle (POV) FAQs

Please note: The Show Floor will officially close on Friday, November 17 at 5:00 pm


Aisle Carpet Removal & Empty Return: 

  • Rolling up aisle carpet is the initial priority once the show closes, this entire process is estimated to take an hour. To help expedite the process, please refrain from placing items in the aisles. Once the aisle carpet has been rolled up, the return of empty containers will begin. All empties will be returned in approximately four hours. 


Hall J Single Doors – Exit to J Parking Lot: 

  • At the back of Hall J, two sets of single doors will be opened at 5 p.m. for an orderly exit to the J Parking Lot. You may use a small wheeled-bag or hand-carry items that fit through a single door. Dollies, carts, carriers, etc. are NOT permitted.
  • Loading or unloading anything larger will be prohibited.
  • There will be no gates opening onto Henderson Street.


Hall G Front Glass Doors – Exit to F Parking Lot: 

  • You may use a small wheeled-bag or hand-carry items that fit through a single door. Dollies, carts, carriers, etc. are NOT permitted.
  • Loading or unloading anything larger will be prohibited.


What if I have larger items and Personally Owned Vehicle (POV)?

  • You must check in with a representative from The Expo Group at the service desk and complete a material handling form. Instructions for accessing the dock will be provided.
  • POVs must have one person always remain with the vehicle on the dock.
  • No long-term parking will be allowed on the docks, you will have a maximum of 30 minutes to hand-carry items.
  • To further assist you, TEG offers cart service for POVs. 
  • Flatbeds 15' or longer, U-Haul's, or other box trucks and vans are NOT considered POVs and will be subject to standard material handling rates.
