READ THAT SSA NOTICE!
We are told that after many years of not penalizing employers for name/SSN mismatches and other mistakes on year end informational documents, the Social Security Administration (SSA) is resuming audits and penalties against businesses.
In August, the (SSA) started mailing "Educational Correspondence" letters to employers whose 2017 W-2's had a name/SSN mismatch on an individual form. You can expect a letter if you had even one error on a 2017 W-2. Because the SSA letter does not tell you what the mistake on the W-2 is, you will have to check every piece of data on the document. The SSA is sending out 200,000 letters every 2 weeks.
SSA letters for W-2's filed in 2018 will start going out in February 2019.
What you can be penalized for:
- late filing
- data missing from the W-2
- names or SSN's that do not match government databases
- filing on paper when electronic filing is required
Penalties for errors are up to $260 per W-2 in 2018 and $270 in 2019. The maximum limits will not affect small businesses.
It is the perfect time of the year to review Employee and Vendor records for all individuals who will receive a W-2 or a 1099 at the end of the year. Request that employees verify social security numbers and addresses. Make sure that you have received a W-9 from all businesses or individuals who need to receive a 1099 from you for 2018. Please contact me if you are not sure who should receive 1099's from you in January.
