Reporting, Documents, and Data Flow — Where Real Work Is Happening
As we move deeper into early 2026, one theme continues to surface across active Prophet 21 environments: the first place system changes are felt is in reports, forms, and daily outputs.
Whether teams are preparing for SaaS, modernizing legacy reporting, or cleaning up years of accumulated custom logic, the focus is rarely abstract. It’s practical, operational, and immediate.
Across recent client work, we’re seeing organizations concentrate on:
- Stabilizing critical reports and documents.
- Modernizing legacy SSRS and custom form logic.
- Preparing reporting layers for SaaS constraints.
- Improving data movement between systems.
- Reducing manual steps in everyday workflows.
These efforts aren’t about replacing ERP systems. They’re about protecting the outputs people rely on every day while aligning with where the platform is headed.
What We’re Actually Working on Right Now
Across current projects, the work remains grounded in practical improvements that deliver immediate value:
- Report Studio conversions with complex user security requirements.
- Customer-specific invoice and order acknowledgment enhancements.
- SQL data movement and consolidation projects following acquisitions.
- Automated item creation and validation workflows.
- Portal-based order entry and quote generation.
- Bulk pick ticket generation for open orders.
- Integrations with shipping, field service, and vending platforms.
- SaaS readiness reviews and Developer Insight Sessions.
Most of these initiatives extend and stabilize existing systems rather than replace them. The focus is on removing friction, improving visibility, and ensuring daily workflows continue to run smoothly—regardless of platform changes.
As always, we work directly with our clients—helping them make practical, experience-based decisions at their own pace.
Below are a few recent project examples that reflect the kinds of challenges teams are actively solving today—and where similar opportunities often exist. If any of these projects sound familiar, we’re happy to review your environment and outline a short, practical first step.
You can also send us a simple bulleted list of current challenges, project requirements and/or goals, and we’ll let you know where we may be able to help.

Historical Data Portal for Legacy ERP Platform Visibility (M&A and System Transitions)
As organizations grow through acquisitions, ERP upgrades, or platform changes, one challenge consistently surfaces: What happens to historical data once the legacy system is turned off?
In many environments, critical information—purchase orders, sales history, payments, invoices, and financial records—ends up locked away in outdated systems that are expensive to maintain, difficult to access, or no longer supported.
To solve this, we’ve been delivering custom Legacy ERP Historical Data Portals designed to preserve access to business-critical history after an ERP migration or system replacement.
The Solution
MindHARBOR developed a secure, web-based portal that provides centralized access to historical ERP data—without requiring users to log into legacy systems.
Through a modern interface with role-based security and authentication, users can:
- Search and view historical sales orders, purchase orders, and invoices.
- Access payment and financial history for audits and reporting.
- Run queries and reports against legacy data.
- Maintain continuity during ERP transitions or post-acquisition consolidation.
All data is preserved, searchable, and available—while legacy systems can be safely retired.
Why This Matters
- Preserves institutional knowledge without maintaining old ERP environments.
- Improves reporting visibility across pre- and post-migration timelines.
- Supports audits, finance, and customer inquiries without disruption.
- Reduces infrastructure and licensing costs tied to legacy platforms.
- This type of project has become especially valuable during acquisitions, ERP replacements, and SaaS transitions—where historical access is essential, but legacy systems are no longer viable long-term.

Operational Portals That Replace Manual Work
Across many Prophet 21 environments, we continue to see the same pattern: teams relying on complex screens, manual processes, or licensing constraints to complete everyday tasks.
In response, we’ve been building a series of custom operational portals designed to simplify high-frequency workflows while keeping everything fully integrated with P21.
Rather than forcing users through multiple ERP screens or manual data entry steps, these portals provide streamlined, role-based interfaces for specific tasks—connected directly to P21 through APIs and automated processes.
Recent portal projects include:
Item Creation Portal
A web-based tool that automates the process of importing, validating, and creating new items in P21.
- Upload supplier or catalog files.
- Automatically validate and map item data.
- Apply UOM conversions, attributes, and location settings.
- Trigger procurement notifications automatically.
Result: Faster item setup, improved data accuracy, and reduced manual effort.
Order Entry Portal
A secure web interface for internal teams, customers, dealers, and sales reps to place and manage orders directly in P21.
- Role-based access.
- Real-time item search and pricing via the P21 price engine.
- API-driven order submission.
- Order history and reporting tools.
- No P21 user license required for portal users.
Result: Faster order entry, improved accuracy, and reduced licensing and manual entry overhead.
Quote Builder Portal
A streamlined interface that allows users to:
- Create customers on the fly.
- Scan or enter item information.
- Retrieve real-time pricing and availability.
- Generate professional quotes instantly.
- Convert quotes directly into orders.
Result: Accelerated quote-to-order cycles and fewer manual steps for sales teams.
Bulk Pick Ticket Generation
A custom solution that allows users to select multiple open orders and generates pick tickets in bulk.
- Filter and select open orders.
- Generate pick tickets in a single action.
- Automatically compile into a single printable document.
- Powered by P21 APIs.
Result: Reduced warehouse steps and faster fulfillment cycles.
Across these projects, the goal is consistent: Remove friction from high-frequency tasks while keeping P21 as the system of record. Instead of forcing teams to adapt to rigid workflows, these portals reshape the interface around how the business actually operates.

SQL Services & Data Movement for Changing Environments
As organizations upgrade systems, move toward SaaS, or grow through acquisitions, one issue shows up again and again: the data doesn’t live in just one place anymore.
We’ve been working on a growing number of projects focused on moving, consolidating, and automating data across changing ERP and integration environments. In many cases, reporting and document problems are actually data-flow problems underneath.
These projects often emerge when companies are:
- Migrating to a new ERP or SaaS platform.
- Integrating newly acquired businesses.
- Replacing legacy systems.
- Connecting multiple ERPs or operational platforms.
- Dealing with isolated data silos across departments.
Common SQL & Data Movement Projects
Recent work in this area includes:
- Cross-ERP data bridges following acquisitions.
- Automated data feeds between legacy and new systems.
- Consolidated reporting layers across multiple companies.
- Scheduled data imports and exports for suppliers or partners.
- Cleanup and normalization of historical transaction data.
- Automation of recurring SQL jobs previously handled manually.
In many cases, these projects become the foundation for:
- Modern reporting environments.
- SaaS transitions.
- Integration frameworks.
- Portal and API-driven workflows.
Why This Matters
- Eliminates manual data transfers and spreadsheet workflows.
- Creates a single, reliable source of truth for reporting.
- Supports acquisitions and system migrations without disruption.
- Reduces dependency on legacy systems.
- Prepares data structures for SaaS-friendly architectures.
As ERP environments evolve, data movement becomes just as important as application functionality.
These SQL-focused projects help ensure that information flows cleanly between systems—so reports, documents, and operational decisions remain accurate and timely.

New Vending Integration — 1SourceVend + Prophet 21
We recently completed a custom integration between 1SourceVend—a vending-based inventory management platform similar to AutoCrib—and Epicor Prophet 21.
Vending and point-of-use inventory systems continue to grow in popularity, especially in environments where customers rely on automated replenishment and real-time usage tracking. As these systems evolve, many are now offering modern APIs, opening the door to cleaner, more reliable integrations with ERP platforms.
Using the 1SourceVend API, this project synchronizes vending machine inventory activity directly with P21, automating inventory updates, order creation, and replenishment workflows.
Project Value Highlights
- Real-time vending inventory visibility inside P21.
- Automated replenishment and order workflows.
- Reduced manual entry and reconciliation.
- Improved inventory accuracy and procurement efficiency.
As more vending platforms move toward API-driven architectures, we expect to see continued demand for these types of integrations across distribution environments.
(We’ll be sharing a deeper vendor spotlight on 1SourceVend in an upcoming issue.)

Report Studio — Turning Data into Faster Decisions
As more Prophet 21 teams transition reporting into Epicor’s Report Studio, the conversation is shifting from “how do we rebuild reports?” to a more important question:
How do we get the right data in front of the right people—faster and more clearly—so they can make better decisions?
Across recent projects, we’ve been helping teams move beyond basic report conversions and focus on what really matters: usable, decision-ready reporting that supports day-to-day operations.
That includes:
- Manager dashboards that show only the locations or teams they oversee.
- Clear margin, purchasing, and inventory views.
- Customer-specific billing and financial breakdowns.
- Reports that highlight exceptions instead of overwhelming users with data.
- Faster, cleaner outputs that reduce manual analysis time.
The goal isn’t just to move reports into a new tool. It’s to reduce the time between data and decision.

Business Rule & .NET Upgrade Readiness
As teams prepare for .NET upgrades, P21 Web, and SaaS transitions, many are discovering that older business rules and custom logic don’t always behave the way they used to.
We’ve been helping clients audit and refactor critical business rules to ensure they remain stable, supported, and aligned with modern P21 frameworks.
Recent projects in this area include:
- Reviewing legacy business rules for upgrade compatibility.
- Replacing fragile SQL-based logic with supported API approaches.
- Refactoring rules tied to reporting, pricing, and order workflows.
- Identifying automation that may break during SaaS or framework transitions.
- Re-wiring Visual Rules to work cleanly in newer environments.
These projects help teams preserve the automation they rely on every day—without being forced into rushed fixes during upgrades.
For many organizations, this type of rule audit becomes one of the most practical first steps in any P21 upgrade or SaaS planning effort.

Integrations, APIs & Emerging Technologies
Where Systems Start Talking—and Decisions Get Easier
Across the projects we’re working on today, one pattern keeps repeating:
The companies moving fastest aren’t replacing systems.
They’re connecting them.
As business needs grow and technology evolves, our work continues to span integrations, APIs, data movement, portals, and emerging intelligence tools—all with a single goal:
Help ERP-driven organizations adapt without disruption.
We work across the full Epicor Prophet 21 API landscape—TAPI, IAPI, Entity APIs, and custom REST services—building secure, scalable integrations for real-world distribution and manufacturing environments.
Active Integrations & Platform Connections
We regularly connect P21 with platforms across the entire operational stack:
- Shipping & Logistics: UPS, USPS, FedEx, eShipping, BlueGrace
- Route Planning & Delivery: DispatchTrack, Curri, Descartes
- Inventory Management / VMI: AutoCrib, Arcturus, 1Source, vending and point-of-use systems, Iot
- Accounting: QuickBooks, Other ERPs
- CRM Platforms: Salesforce, HubSpot
- Field Service & Service Management: MSI Data (Service Pro), ServiceNow, ServiceTitan
- Analytics, Pricing & CPQ: RubberTree, Epicor CPQ / Profit2, epaCUBE
- eCommerce Platforms: Adobe Magento, BigCommerce, OroCommerce, and custom storefronts
-
A full list of integrations is available - here - on our website.
What We’re Seeing Emerge
Across active client projects, several trends are starting to converge:
- AI-assisted ordering and demand pattern detection.
- IoT-driven VMI with automated replenishment signals.
- Cross-ERP data bridges after acquisitions.
- Real-time shipping, routing, and freight optimization.
- SaaS-ready API architectures replacing direct database logic.
- Hardware-to-ERP integrations that link physical activity to digital workflows.
What used to be separate initiatives—reporting, automation, integrations, forecasting—are now starting to connect into unified operational intelligence layers.
The Common Thread
Whether we’re modernizing a legacy integration or building something entirely new, the objective stays the same:
Build reliable bridges between systems—so the right data reaches the right people at the right time.
When that happens, reporting gets clearer, automation becomes safer, and decisions happen faster—and that’s where real momentum begins.

SQL Projects That Quietly Deliver Outsized Value
Across many recent engagements, some of the fastest-moving, highest-ROI work has lived one layer below the ERP interface—in SQL.
These projects rarely change how users interact with P21 day to day, but they dramatically improve accuracy, performance, and reporting confidence behind the scenes.
Common SQL initiatives include:
- Operational logic beyond standard screens.
- FIFO allocation, availability calculations, rebate matching, and demand alignment where real workflows don’t fit native ERP behavior.
- Performance tuning for slow or fragile processes.
- Fixing inefficient queries, blocking issues, and long-running jobs that impact order entry, invoicing, and reporting.
- Data validation and consistency safeguards.
- SQL checks that catch risky or incomplete data before it becomes a downstream problem.
- Preparing data for modern reporting and integrations.
- Structuring views and logic for Report Studio, APIs, and external analytics platforms.
Well-designed SQL work often becomes the foundation for future improvements—better reporting, cleaner integrations, and more reliable automation—without requiring major system changes.
For many teams, this is the fastest path to measurable improvements—without waiting for major system changes or upgrades.
