The Glade Springs
Villager

March 2025

From the POA President

What a winter we have had this year at Glade Springs! More snow than we’ve seen in a number of years as well as flooding, rain, ice, and cold. A full gamut of experiences.

The Board of Directors would like to thank all of our staff for managing to keep up with everything. In particular, let’s give a shout out to JW Hamm and the Public Works staff who have worked tirelessly to keep our roads clear and drivable. Many have commented that the roads in Glade Springs are in the best condition of any nearby roads.

Security has also been out there in this weather keeping us safe. Matt Felber and the golf course guys are also busy during this time clearing debris from the courses when possible as well as getting all our equipment in shape for the spring and summer months.

The office staff have braved the road conditions to keep things running in the office. Thank you to all for your dedication.

The annual Virtual Member meeting to approve the 2025 budget was held on Monday, February 10. Approximately, 120 members logged in Zoom meeting to hear about the budget and express their opinion, although I am sure many of those actually had additional members listening. The budget was approved by a margin of 93 in favor of the budget, 11 against the budget.

A discussion on the challenges and merits of doing a feasibility study for purchasing GSR was also part of this meeting. A non binding member poll was conducted after this discussion. This poll overwhelming showed that the vast majority of the members attending this meeting are not in favor of conducting a feasibility study or purchasing GSR. The Board truly appreciates receiving this input from membership.

As spring approaches, so will the planning for various activities in our community begin. Please contact any of our staff or Board members to help with these activities. We are also looking for dedicated members to work on our various committees and activities.

You can email info@gladespringspoa.com to volunteer and offer suggestions.

From our General Manager

During the winter months with slow golf operations there are plenty of internal activities taking place as the POA prepares for 2025. The 2025 budget was prepared and approved by the membership in February and fiscal 2025 was closed.

The POA is planning for the annual meeting in May. The POA membership will be electing two new board members. This is an important part of the community's civic responsibility. As a reminder - in order to vote for new board members, POA members must be current with their assessments and have no outstanding ACC violations.

As communicated to our membership, a new golf agreement has been signed. I would like to acknowledge the work and cooperation from Pyramid, our Board and all those participating in making this a reality. The POA will have a new GPS-equipped fleet of golf carts for use on Stonehaven for the 2025 season. The current fleet at Stonehaven will be moved to Woodhaven.

As weather permits we will continue our remediation on Woodhaven. We were hampered in the fall by large amounts of rain. We have also experienced an unusual amount of snow. With the work remaining, our plan is to open Woodhaven on May 1.

The POA office staff is working to implement a new A/P module within our software which will improve our processing and allow the Board to make remote review and approval of invoices.

I want to acknowledge the efforts of JW Hamm and the Public Works crew who worked night, day and weekends to keep the roads in good shape. An unfortunate result of this year's weather is the proliferation of potholes. We ask for your patience until better weather allows for them to be repaired.

Golf Agreement

The Board of Directors and the GSVPOA staff along with Pyramid management for GSR are pleased to announce that a golf agreement has been successfully executed between both parties. This agreement will take effect immediately.

The agreement allows for Glade Springs Resort to offer golf packages to Resort guests on all three golf courses: Cobb, Stonehaven and Woodhaven. This will make Glade Springs an attractive, affordable golf destination in our region and beyond as well as increase our golf revenues with the additional guest rounds.

A highlight of this agreement will be a smooth and seamless check-in procedure for all golfing guests at the Cobb Golf Shop. Golf carts for both courses will be stored and managed out of the Cobb Golf Shop.

The GSVPOA will be leasing a new fleet of electric golf carts equipped with GPS capability for use on the Stonehaven course. The GSVPOA will receive the rental fees for these carts. The lease is over for our fleet of electric carts in use at Woodhaven. The gas-powered carts at Stonehaven will be moved to Woodhaven. The gravel parking lot on George Lane will no longer be used. POA members with their own carts will proceed directly the Stonehaven Starter House to check-in for their round of golf.

GSR will make the practice areas (driving range and putting green) at Cobb available to all POA members who have a scheduled tee time on any of the three courses. Range balls will be available to members of the POA in the Golf Shop for a fee. Parking for players without a cart will be at the Cobb Course parking lot.

We consider this agreement to be another positive step towards creating a positive and cooperative relationship with Glade Springs Resort and the Pyramid management team.

Matt Felber, Director of Golf

The 2025 combined Trail Pass is now available for purchase at the Woodhaven golf shop. We will also be able to process payments when the Stonehaven Starter House is open. Please call the golf shop at 304-763-3332 for daily winter hours and availability. The pricing for the Trail Pass for 2025 is $650.00 plus tax. This pass included both Stonehaven and Woodhaven. Each Trail Pass includes one WVVIP discount card and yearly handicap service through WVGA/GHIN.

A cart lease is available for $1,300.00 plus tax and is also available for purchase.

We will also be selling prepaid cart fee and prepaid guest fee cards. You pay for 10 and receive 2 additional rounds or carts fees. Twelve total rounds for the price of ten. The golf shop will be offering physical punch cards this season that the member must provide at check in. These passes are non-transferable to other members or guests. The member must be present the card at check in.

Please call ahead in the off-season for daily hours at the golf shop.  The Stonehaven course will be open as weather permits. It will be CART PATH ONLY until later in the spring.

The golf staff will be sending out text messages with information about course play. If the weather is unfavorable there may be days when the course will be open to private carts with Trail Passes ONLY. My Staff will be monitoring the weather and course conditions in March in order to get an early start to the season.

As the 2025 golf season starts, we will be doing a few things a bit different than the previous years. All rental carts and seasonal lease carts will come from the Cobb pro shop. The POA members and their guests using a fleet rental cart must check in and pay at the Cobb pro shop BEFORE play. The Cobb pro shop will provide a receipt ticket to be presented at the Stonehaven #1 tee. GSVPOA Members with a private cart and current Trail Pass can go directly to the Stonehaven Starter House. Those POA members with private cart with a guest riding with them will go directly to the Stonehaven starter building to pay their fees.

All players with a tee time on Stonehaven or Woodhaven will have the option to purchase range balls for use at the Cobb practice facility before their round.

We look forward to working with The Resort and their staff to provide our members and guests an upgraded experience at Stonehaven.

Exciting News!!!! We will have a brand-new fleet of golf cars for the 2025 season at Stonehaven! These carts will also be equipped with GPS. It will allow us to not only provide an elevated course experience but will also allow us to enforce our daily cart rules and enforce restricted areas. More information will be provided to players before their round.

The golf staff will continue to enforce and explain the golf rules as approved by the GSVPOA Board of Directors and posted on the POA website in September. Please be aware our staff will do their best to explain and answer any questions as they arise with enforcement.

All private carts must have their trail pass displayed on the cart they are using when playing Stonehaven.

Save the information and then logout and then log back in and it will take you into the member side. If you have any questions let me know.

Important information - the username must be the email currently on file.

Please remember that all carts should be on the cart paths around tees and greens. All par 3 holes are ALWAYS cart path only. Please keep carts 30 yards from the green when cart rules allow 90 degree rules. Please do not drive on the opposite side of the green from where the path is located. This traffic will continue to wear areas in the rough around the greens. This is especially important in cold weather months when the grass isn’t growing. When you approach the green complex please proceed to the path.

Please scan the available QR code at the Stonehaven Starter House or Woodhaven pro shop. Please answer the questions in the first text so we can update your information and edit our text database. This system will be utilized for cart rules, exciting new information, and other direct to member texts.

Thank You,

Matt Felber, PGA

Call for Nominations for the

POA Board of Directors

The Glade Springs Village Property Owners Association, Inc. is calling for nominations for two seats on the Board of Directors. Each seat is for a three-year term expiring in 2028.

As the Bylaws mandate, a nominating committee has been formed consisting of the current Board of Directors as well as representatives from our community.

The nominating committee, therefore, is soliciting nominations for the Board from our POA members who are eligible to vote. Eligibility requirements for voting as well as sitting on the Board require that the member is current with all assessments and there are no outstanding violations.

To nominate an eligible person to serve on the Board of Directors, please use the nomination form below. Please complete it and mail it to the POA office or email it to info@gladespringspoa.com. The nomination form must be used to submit a nomination for the Board seats. A nomination made by any other means is not valid and will not be considered.

Nominations will be open until 4:00 PM on March 20, 2025. All applications (including those submitted by email as well as paper copies) MUST be received at the POA office before the deadline to be considered valid.

The nominating committee will review each nomination form and schedule an interview with each candidate. These interviews will be in person and will be scheduled for March 26 and March 27, 2025. Once the interviews are completed, the nominating committee will select qualified members for the open Board seats that they believe will serve the best interests of GSVPOA and its membership. After the final slate of nominees is determined by the GSVPOA Board, each eligible voting member will be mailed a paper ballot.

Only ballots with one vote for each candidate will be counted. Ballots with no markings or both “For” and “Against” marked will not be counted as valid ballots. Under no circumstances will a write-in vote or votes be counted.

All ballots must be received or postmarked on or before May 15, 2025. They should be sent to the attention of the President of the Board of Directors using the self-addressed return envelopes included with the ballots. Upon receipt of each ballot, the President shall place the ballots in a secure place, and they shall not be opened until the date of the election count.

The nominating committee and the Board of Directors will be asking two members from the community to observe the count as witnesses.

The results of the election shall be announced at the Annual meeting, which is scheduled for Thursday, May 29, 2025, at 6:00 pm at the Glade Community Church.

If you have any questions regarding this process, please contact our president, Betty Callender at Betty.Callender@gladespringspoa.com

GSVPOA Board of Directors

Upcoming Changes to the

ACC Rules and Regulations

In an effort to increase safety in our community, the ACC Committee, the Board of Directors and Glade Security is making changes to the Rules and Regulations for Glade Springs Village. These changes are being developed by the ACC and the Board of Directors. Once they are finalized and approved, they will be communicated to the POA Members for comment before they are placed into affect. The changes are in the following areas:

Golf Carts - Starting 2025 ALL golfcarts must be registered with the POA and provide proof of insurance showing Glade Springs POA as "Additional Insured". This is currently part of the normal registration process for a golf course Trail Pass. All carts will have to display a registration decal. The fee for this registration is minimal. Only licensed drivers may operate a golf cart on our streets and the POA Golf Courses. Unlicensed drivers are subject a fine. Failure to register your cart(s) will also result in a fine.

Parking in/near Intersections - Parking in or near an intersection to pick up or drop off school children is a safety hazard for other drivers as well as emergency vehicles. Several problem intersections have signs to indicate where parking is not permitted. Starting in 2025 fines will be issued for parking and blocking access in intersections. Security will be identifying these vehicles and the POA will be issuing the fines.

Speeding - Speeding in our community has been a long-term issue. The POA will be meeting with Security and the new Pyramid management group to explore effective solutions. These include sheriff patrols, speed measurement devices including RADAR devices. These may be fixed or mobile. Our speed indicator signs can be fitted with cameras to record offenders. They currently record the date, time and vehicles traveling over 25 MPH.

Happening at the Haven

The Haven enjoyed a busy holiday season with several fun-filled events in December after which The Haven closed for the winter.

The Haven will open in May 2025 when the Woodhaven golf course reopens for play. The final details for the 2025 season are still being finalized.

We plan to offer a variety of family events at Woodhaven in the coming months and are actively seeking interested individuals to help plan these activities.

Please contact Matt Felber if interested.

Dam Socials to begin in April

The popular Dam Socials will continue for the 2025 season. The Socials are scheduled for the first Wednesday of each month, beginning in April and continuing through October.

These community gatherings are held in the parking lot at Chatham Lake near the dam, hence the name “Dam Social”.

The socials typically begin at 6 p m, but the start time may vary some in the spring and the fall depending on sunset.

The social is open to all GSVPOA members.

While many neighbors bring some food to share, that is never a requirement. It is always just a BYOCocktail, and BYOChair.

The tentative schedule for 2025 is:

  • Wednesday, April 2 @ 6pm
  • Wednesday, May 7 @ 6pm
  • Wednesday June 4 @ 6 pm
  • Wednesday July 2 @ 6 pm
  • Wednesday, August 6 @ 6 pm
  • Wednesday, September 3 @ 6 pm
  • Wednesday, October 1 @ 5:30 pm
