We are officially launching our new user platform, HEALTHeLINK Fusion, with the first user wave going live on November 3rd. This platform is a significant upgrade, bringing a modernized interface to your daily work. We are committed to making this transition as smooth as possible, and we encourage all HEALTHeLINK users to review the important information below.

Secure Messaging Transition, Mirth Mail to MaxMD:


Data will not be retained during the Mirth Mail transition. Due to technical constraints, all secure messages and folders currently stored in Mirth Mail cannot be migrated. This data will be permanently deleted as we transition to MaxMD Secure Messaging. Please be aware that this is a complete cutover, and you must plan to lose all historical secure messaging content when your account is transitioned. Please note: any accounts with delegates currently set up will maintain delegate permission in the new system. All shared inboxes already undergoing process mapping will continue to use the same account configuration in MaxMD as before.

You will want to confirm with your IT department if either of the above options could work for you.


We are currently aiming for this transition to occur sometime in December. The specific date is being finalized, and you will receive an email notice with the details well in advance.

Statewide Common Participation Agreement

The Statewide Common Participation Agreement (SCPA) officially took effect for all Regulated Participants on October 1, 2025, making way for a unified, modern, and efficient Statewide Health Information Network for New York (SHIN-NY).

 

A Big Thank You to Our Participants! We are pleased to report that 77% of HEALTHeLINK's Regulated Entities have already completed and signed the SCPA. Your swift action ensures the continued, seamless flow of patient data that is essential for high-quality care in our region.

 

While the September 30th deadline for Regulated Participants has passed, it is still crucial to execute your SCPA immediately. Signing is mandatory per NYS DOH regulations (10 NYCRR Part 300) and is the only way to ensure your uninterrupted access to SHIN-NY services.

 

Please contact your HEALTHeLINK Account Manager today to complete the final steps and avoid potential service disruption or state compliance actions. We are ready to assist you in finalizing your agreement.

Compliance Corner

Please be aware that the options "Yes, Except Specific Participant(s)" and "Yes, Only Specific Participant(s)" on the Consent Form are no longer valid. If a patient indicates they wish to choose one of these options, please explain that they are unavailable and guide them toward an option that meets their needs.


Any Consent Form submitted with one of these invalid options selected will not be processed.

Important: System Stability Update

We are seeing a significant increase in system instability and performance issues directly related to the use of the "Show All Data" button when viewing results in a patient’s chart. When used on patients with extensive records (often referred to as a "mega patient"), this function places a massive load on the system and can cause a systemwide outage for all users.


To maintain system stability and a smooth workflow for everyone, we ask that you use one of the following alternatives:

  • "Show Next 60 Days"
  • "Filter by Date Range"

  HEALTHeLINK in the Community




Team HEALTHeLINK at Civitas Networks for Health Annual Conference.






HEALTHeLINK was chosen to assist the United Hospital Fund in organizing a convening for the Western New York (WNY) region. The purpose of this event was to gather input for the 1115 waiver. The WNY convening was successfully held downtown at the Harbor Center Marriott on September 11th.




Members of the HEALTHeLINK team participated in Erie County Department of Health (ECDOH)’s Overdose Awareness Day.





Steve Gates, AVP of Business Development, participated in the Annual Family Health Fair at the Amherst Senior Center. 


GUIDE 2 BETTER CARE Segments

HEALTHeLINK’s Guide 2 Better Care segments air every other Wednesday on WGRZ-TV, during the 4pm and 11pm newscasts. Local health care leaders provide education about HEALTHeLINK as well as highlight the value and benefits of HIE in Western New York.
