We are excited to provide you with more regular communication including HMIS tips, mini-trainings, and information about upcoming events. For instance, you can see below we have information about our upcoming PIT/HIC and HMIS Security Audits as well as an update about the LSA and a handy tip on searching for clients. As always, we are here to support you; if there is anything you'd like to see in our newsletters, please let us know.

Every year we are required to conduct a Shelter Point-in-Time (PIT) Count and Housing Inventory Count (HIC). This data, like the LSA, is required by the federal government from CoCs across the country. In the upcoming weeks, we will be reaching out to all housing based programs to collect the most accurate data we can for our 2023 PIT&HIC report. Keep your eyes out for upcoming emails related to these projects.

Can't find that client in HMIS?

You can save yourself time and avoid creating duplicate accounts by searching the system completely before creating a new client profile. Here are some of the different ways you can search HMIS for a client:


  • Full or Partial Name (surnames are great if they are uncommon)
  • First Three and Last Three of name (ex. Wil Joh for William Johnson)
  • Last four digits of their social security number
  • HMIS Unique Identifier (UID)
  • Date of Birth (12/12/1985, 12.12.1985, 12-12-1985)
  • Year of birth (1985)


Keep in mind that often client's names are misspelled or they use nicknames that can make it hard to track them. To make sure you have the right person, check their date of birth, social security number, and any files that have been uploaded to the system. This is also a great way to remind yourself to take a picture of the client if they don't have one in the system already.

As the HMIS Lead Agency for the Sacramento CoC, we are responsible for conducting an annual security audit at the beginning of the year to ensure we are collectively meeting our privacy and security goals. The security audit specifically relates to your agency's physical security and data record keeping procedures. We will send a checklist soon with information to help you prepare for the audit; there will also be opportunities to attend a workshop to discuss the security audit requirements and answer any questions. Please feel free to email HMIS if you have any concerns.


*Please note that the security audit requirements are only for Sacramento based agencies. All Yolo agencies in our shared HMIS system are managed by Yolo County, Health & Human Services Agency.

The due date for our submission for the annual Longitudinal Systems Analysis (LSA) report has arrived and we are ready! We want to thank all of our partner agencies for responding quickly to our requests for information and data corrections. We look forward to submitting our report to HUD, knowing that our community will be represented when the Annual Homeless Assessment Report is submitted to Congress later this year.
