The Consolidated Homeless Fund Request for Proposals (RFP) has been released!


Applications for the 2019-2020 program year are due by April 1, 2019. Your data is going to start being reviewed, and will be sent to each Agencies HMIS Administrator for internal review prior to being submitted to the OHCD for scoring. All applicable materials for the CHF RFP as well as important dates are available on the OHCD's website, here . There is no time better than now to start running reports and making sure that your data and the associated data quality are accurately representing your program(s) goals!

You know how all previous emails have been reminding you to run the CoC APR and check your data quality?! We hope you have been. All agency HMIS Administrators will be given the oppertunity to see their individualized data prior the first time it is published. After that, the data will be posted in newsletters and monitored publicly through infographics on our website.

Recently, there have been a lot of inquiry about running reports in HMIS. In hopes that this is the reason why, I've scheduled two virtual trainings based upon skill-level needed (sign up above) to help everyone understand how to run and manage these HMIS reports!

Have you noticed any duplicate clients in HMIS?
As we know, there will be times that the persons that we serve may not always be comfortable providing their personal information to some staff members, either at all or not until they've been able to build rapport with them .

So, a new client comes to you. You don't find them by name, and you don't find them through social security number (SSN). What should you do? Did you try searching for them separately (i.e. searching for SSN alone, knowing their name could have been misspelt, or, searching for name knowing SSN may not have been known or was incorrect). Before creating anyone new in the system, be sure to triple check they do not already exist in the system.

Notice you created a client and then found out that they were already in the system and are a duplicate?
Don't worry! Mistakes happen! Pointing them out to us is important to maintain the integrity of the database. For now, email us to let us know. Just be sure to not delete the mistake . It only takes us a minute to merge the duplicate client, so feel free to just let us know of both client ID's and we will take care of it!

Searching for a client for the first time and you see that there is more than one of your clients already in the system?
If you ever notice clients have matching names, dates of birth, and/or SSN, just let us know ! We want to inform the providers that are using the individual ID's, so it is important to let us know that you've spotted it.

Our 2019 Point-in-Time (PIT) Count was Completed!
We want to thank all of the volunteers who dedicated their time and effort to help organize and/or work a very cold night on January 23 to help Rhode Island get a clear understanding of the unsheltered population. Although the data is still being reviewed and collected for final numbers, none of this hard work would have been made possible if it wasn't for all of you!
