HMIS Project Closeout Policy & Implementation


Applies to

All Homeless Management Information Systems (HMIS) participating organizations that have programs set up in HMIS.

Notice Overview


As part of LAHSA’s Data Quality Improvement efforts, LAHSA’s HMIS administration team will close out projects in accordance with the HMIS Project Lifecycle Policy over the next two months.


Projects will be reviewed for closure if they:

  • Have an Operating End Date on or before June 30, 2026, or
  • Are no longer actively serving or housing clients


Approximately 700+ projects are expected to be closed during this period.



Required Actions for Providers


If your project meets closeout criteria, you will be contacted by HMIS Administration to:

1. Review and resolve all data entry errors, omissions, and data quality issues

2. Confirm the operational status of your project

3. Ensure all client enrollments and exits are complete and accurate


Timeline: Organizations will have 4 weeks to respond and complete required updates 



Reminder: Required Project Close Out Notification from Providers


Per policy, HMIS Participating Organizations must notify LAHSA before the project is expected to close by:

  • Submitting a project closure request through LAHSA's Enterprise Ticketing System: HMIS Support > HMIS Program Setup > Close Program
  • Submit notification at least 60 days prior to the Operating End Date when possible



Why This Matters:


Timely and accurate project closeout is critical to:

  • Maintaining compliance with HUD HMIS Data Standards
  • Ensuring accurate federal and local reporting
  • Preventing duplicate or inactive project records
  • Supporting system-wide planning and funding decisions
