2024 Pilot Workshops
ISIT 2024 implemented new pilot workshops on the first day of the event that focused on cross-disciplinary areas, hoping to bring more people to their flagship conference and provide a forum to create and share ideas and opportunities. This year, they hosted five pilot workshops, covering new frontiers such as DNA-based Data Storage, AI/ML, Neuroscience/ Neuroengineering, and Quantum Information. ITSoc hopes to continue implementing these workshops in future ISIT events.
Diverse Geographic Rotation Model
Moving from the conventional ISIT geographic rotation model (in the US every two years), ITSoc now implements a more diverse geographic rotation model, which pivots between three major regions: North America, Europe/Middle East, and Asia Pacific/India. Their annual workshop, ITW, also applies such a model. ITSoc hopes their conferences can reach more people in different areas of the world. They also believe this will help proliferate IT research and promote its impact on the hosting region. To match such a mission, the Conference Committee is made up of four regular members from the three regions, including Parastoo Sadeghi (rep. AP / India), Marco Dalai (rep. Europe / ME), and Urbashi Mitra and Chao Tian (rep. NA). They have become the regional correspondents for their conference organizers. CEE looks forward to supporting and amplifying these efforts in the future. Well done!

ETIAS for European Entry Coming in 2025 | |
ETIAS, or the European Travel Information and Authorization System, is a new electronic system for travelers from visa-exempt countries who wish to enter the Schengen Area. It aims to improve border security by pre-screening travelers before they arrive in Europe. | |
Key Details about ETIAS

Purpose: To enhance border security by screening travelers who currently do not need a visa to enter the Schengen Area.

Who Needs It? Travelers from countries that currently have visa-free access to the Schengen Area will need to apply for ETIAS. This includes citizens of countries like the US, Canada, Australia, and Japan.

How Does It Work? The application process will be fully online. Travelers will need to fill out a form with personal and travel details, and ETIAS will check this information against multiple security databases. In many cases, an ETIAS approval decision takes only minutes. In most other cases, travelers can expect to be notified of their ETIAS status within 96 hours of application. If additional information is required, the approval process may take up to four weeks.

Validity: Once approved, ETIAS will be valid for three years or until the traveler's passport expires, whichever comes first. It will allow multiple entries during that time.
When Does it Start?
ETIAS goes into effect in mid-2025. Travelers from countries that currently enjoy visa-free travel to the European Union will need an ETIAS authorization for travel beginning after the program begins.
Mandatory ETA for the United Kingdom Begins 8 January 2025
Starting 8 January 2025, non-European travelers will need an ETA to enter the United Kingdom (European travelers will require an ETA from 2 April 2025.) This mandate applies to all visitors to the UK, except British and Irish citizens. All travelers planning to visit the United Kingdom must secure an ETA before their trip.

To obtain an ETA, travelers must complete an online application and be approved before their trip. Beginning 27 November 2024, non-Europeans can apply for ETAs. Once an application is submitted, it usually takes three working days to process. The ETA will be digitally linked to the traveler’s passport upon approval. The ETA is valid for two years or until the passport expires, whichever comes first.

Outstanding Organizers Go Above and Beyond to Support 2024 VIS Conference |
The 2024 IEEE Visualization and Visual Analytics (VIS) conference successfully brought together almost 800 researchers and practitioners from around the globe. In 2024, the conference was set to celebrate its 28th year of innovation as one of the leading conferences in visual analytics. The 2024 VIS general chairs, Paul Rosen, Kristi Potter, and Remco Chang, were also faced with an unprecedented challenge: two hurricanes threatening the event, Hurricane Helene and Milton.
The conference, originally scheduled to take place at the Island Grand at TradeWinds Resort in St. Pete Beach, was suddenly left without a venue just two weeks before the event due to significant damage caused by the storm surge from Hurricane Helene. With time running out, the General Chairs, Finance Chairs, Program Chairs, and Computer Society Conference Services staff worked quickly to find an alternative location.
Within two days, the team found a potential new venue, the Hilton Tampa Downtown. General Chair Paul Rosen, Finance Chair Bhavana Doppalapudi, and Computer Society Staff Kathy Park boarded a plane and arrived in Tampa in less than 24 hours. The team conducted an onsite inspection at the Hilton Tampa Downtown to evaluate its suitability for hosting the conference. After evaluating the hotel, it was determined to be the perfect fit for the conference, offering everything needed to accommodate attendees and ensure a successful event.
However, despite the committee’s proactive measures, the arrival of Hurricane Milton posed a new and serious threat to the Tampa area. Faced with the risks of severe weather and in the best interest of attendees’ safety, the team made the difficult decision to pivot the conference to a virtual format.
Despite these hurdles, the VIS organizers demonstrated exceptional resilience and flexibility. Their dedication ensured that the conference not only went on as planned but was able to adapt to an entirely new format with minimal disruption in a short amount of time.
We would also like to thank Kathy Park, who manages the Visualization and Graphics Technical Community (VGTC), for her exceptional dedication and partnership. In the lead-up to VIS, Kathy was the driver who united all necessary parties to navigate crucial cancellation and relocation plans and, ultimately, a pivot to a fully virtual event.
We look forward to holding VIS as a fully in-person conference in Vienna in 2025!

Give the People What They Want: Training in Event Design | |
IEEE Convene is synonymous with innovation, sparking new ideas and providing exposure to professional event expertise.
This summer, at CEE’s annual hosted event, Convene, we provided over 200 people from our global conference community with foundational training in event design. To put it simply, event design is the art and science of constructing an event based on the desires, aspirations, and needs of intended audiences (think Young Professionals, Industry, etc.). To attract new audiences and expand engagement with existing members, we need to design experiences that serve their needs. It seems so simple, and yet how do we put this into practice? This one-day workshop introduced key concepts in event design and provided basic-level training. We workshopped a real-world event that Technical Activities is planning for next fall, “Clean Tech."
To reach new audiences, organizers will need to understand and address diverse stakeholder needs, leverage technology for cutting-edge forms of engagement, and create inclusive environments for all participants. New skills are needed. We will achieve our goals through adaptability, an openness to continuous learning, and a proactive approach to novel methodologies. For ambitious goals, we will hire experts to guide us in the science of event design as needed.
We are happy to share with you a video from Convene 2024 that captures the One IEEE camaraderie and optimism of the day while embracing the concepts of event design. The partnership and enthusiasm across the IEEE conferences community were infectious!

Anthony was hired as an Associate Event Planner within IEEE CEE (Conferences, Events & Experiences) in April 2024. Anthony graduated from Virginia Tech’s Pamplin College of Business in December of 2022 and from the Academy of Culinary Arts and Hospitality Administration in 2018. With experience in hotel management, culinary arts, and marketing, Anthony is eager to bring his holistic hospitality industry background to IEEE.
Anthony also has a passion for market research and brand strategy. He hopes to be able to research conference trends within IEEE to help spread global awareness. In his free time, Anthony enjoys traveling, baking, and writing. He looks forward to working on international events and expanding his knowledge of event design. He is also very excited to have the opportunity to learn from the incredible team of CEE event planners.
