Reminder – Product & Ingredient List Access

Please remember that Product & Ingredient (P&I) lists contain confidential information, and for that reason, GFCO is only allowed to share P&I lists with the person who submitted them, and with any other persons that have been named as authorized on the Excel form. The return of the files is fundamentally based on the email address from which we received the file. We realize this can present problems when the employee who submitted the P&I is no longer working for your company, but there are a few steps you can take to prevent this lack of access, or to regain access if it has been lost. For example:

  • Instead of having your P&I submissions sent in through an individual employee’s email account, use a generic email account. If your P&I submissions come to GFCO from info@company.com or qc@company.com, this is the email we will return them to, and then your company’s management has control of who has access to those email accounts.
  • If a previous employee was in charge of your company’s P&I submissions, but they are no longer with your company, ask your management or IT department to do one of the following:
  • Give a new contact access to the previous employee’s email account – the new contact can then either find previous P&I submissions in their account, or email GFCO from that account to request copies of previous P&I forms.
  • Activate email forwarding from the previous employee’s email account, so that the file(s) will be directed to the correct new contact if GFCO resends.
  • Reach out to GFCO from the previous employee’s email, and let us know to provide a new contact with access to any P&Is that were previously submitted from that email account.

Using any of these methods can prevent you from losing access to P&I submissions in the event of staff turnover.
