Attention International Employees

Important Reminder to Update Glacier Account Information
Glacier is the tax compliance software that determines appropriate taxation of International employees' University of Wisconsin-Parkside earnings. All international employees must create and maintain a Glacier account. International employees should update their Glacier record if they change their:
  • permanent address
  • immigration status
  • departure date
  • home address
  • email address
  • the number of days they leave the United States within a calendar year
As we near the end of the calendar year, please don’t forget to update any of the above information which may impact your tax preparation for calendar year 2017.

Payroll Reminders

ACA Student Hours
The ACA Student hours limit will be raised for the winter break to 40 hours/week from January 2 through January 20, 2018.
 
University Staff Employees
(Paid Bi-Weekly – Leave Eligible Employees)
Please note that there are two floating holidays for the 2017 year. Floating holiday hours are included in your Legal Holiday leave balance. When utilizing your Floating Holiday in the HRS system please select Legal Holiday as the Absence Name.

Full time employees must have 8 hours of Legal Holiday remaining in their leave balance to be paid for Monday December 25, 2017. If you have overused your Legal Holiday you will need to use Vacation/Personal Holiday in order to be paid for this day. If you have more than 8 hours of Legal Holiday, please use that time as Floating Holiday by the end of the 2017 calendar year.
Any available Floating Holiday, Personal Holiday, and/or Vacation Carryover from 2016 that is not used by December 30, 2017, will be lost. These balances cannot be carried over into the next calendar year. Your 2017 vacation balance may be carried over into the next calendar year, but must be used by December 30, 2018.

Academic Staff and Limited Appointees
(Paid Monthly – Leave Eligible 12 Month Employees only)
Any available Floating Holiday, Personal Holiday, and/or Vacation Carryover that is not used by June 30, 2018, will be lost. These balances cannot be carried over into the next fiscal year. Your current fiscal year vacation balances may be carried over into the next fiscal year, but must be used by June 30, 2018.

If you are unable to utilize your Floating Holiday, Personal Holiday, and /or Vacation Carryover balances by June 30, 2018, you may wish to consider donating these hours at this time.

Update Your Address by January 5, 2018 for W-2
Tax Form Distribution
As the end of 2017 approaches, make sure your current address is up-to-date for W-2 Tax Form distribution and take time to read about important reminders for your 2018 Benefit enrollments.
 
In late January 2018, your 2017 W-2 Form will be sent via U.S. mail to your mailing address as listed in the MyUW portal. If you do not have a mailing address, your W-2 will be mailed to your home address. If neither address is in the MyUW portal, your W-2 will be mailed to your office address.
 If you need help or have questions, please refer to the November 17, 2017 email sent by UW Systems or contact Human Resources at 2204.
Employee Reimbursement Account/Flex Spending

REMINDER:  December 31, 2017, is the last day to incur expenses for Employee Reimbursement Accounts (ERA/Flex Spending). Claims may be submitted for 2017 until March 31, 2018.
Primary Care Provider

REMINDER:  If you are enrolled in the State Group Health Insurance plans administered by Network Health or WEA Trust East you must report your primary care provider information or a provider will be assigned to you.

New Forms

We have three new forms for new and departing staff as follows:
  • Position Authorization Request (PAR)
  • New Hire/Rehire Form (for all staff, excluding students)
  • Departure Form

PLEASE THROW AWAY and/or DELETE all old forms.
