CWA Year-End Procedures (Week 11)

Dear Parents of Clear Water Academy,
As we move closer to the final weeks of this school year, we want to communicate our plans to bring closure to the 2019-2020 academic year. Outlined below, for our elementary and secondary schools respectively, is the approach that we will implement. In conducting all of these year-end procedures, we will be respecting all applicable health guidelines that will ensure a safe environment for faculty and for students and families that will come to the school at their assigned time. To help in scheduling, an online School Appointment booking system link ( www.cwa.schoolappointments.com ) will be opened on June 8, 2020, so that each family can register for a specific time to come to the school according to the schedule outlined below. 

Some of our families have multiple children and, according to our approach, they will be required to come to the school on more than one occasion. We recognize that this will be inconvenient for some and we kindly ask for your cooperation as the health regulations that we are following mean that we must allow access to the school in a very controlled manner. In addition, with a limit of 15 people per building, we cannot have all faculty in at one time to assist with the process; therefore, we have adopted this approach of specified access times for each family to come to the school.

ELEMENTARY (Junior Kindergarten to Grade 6):

Families will use the School Appointment booking system ( www.cwa.schoolappointments.com ) to sign up for a 10-minute session of time to come to the school to pick up Report Cards on Monday, June 22 or Tuesday, June 23. Homeroom classes will be given a two-hour time frame for which they can sign up. Two families at a time will enter the building per homeroom, and the two homerooms that will be receiving families at the same time will be operating on opposite ends of the building. Families will have 10 minutes in the building before the next families arrive. We ask that you limit the number of family members that come into the building. We would like the students to come in so that their teachers can see them before they leave for the summer.

The two-hour time available for each grade will be as follows:

Monday, June 22nd
9:00am - 11:00am JK/A, KA, Gr1A, Gr2A, Gr3A
11:00am - 1:00pm JK/B, KB, Gr1B, Gr2B, Gr3B
1:00pm - 3:00pm Gr4 Girls, Gr5 Boys

Tuesday, June 23rd
9:00am - 11:00am Gr6 Boys, Gr6 Girls
11:00am - 1:00pm Gr4 Boys, Gr5 Girls A
1:00pm - 3:00pm Gr5 Girls B  

Please bring with you any items that belong to the school. Instructions are below:

  • Hand sanitizer will be available at the entrances; please sanitize your hands thoroughly before entering the building.

  •  Everyone will be expected to follow the recommended physical distancing of 6ft. 

  • Teachers will have packages ready for students on student desks or tables inside their homeroom class (report cards, awards, and personal belongings.) 

  • Students will place their textbooks on their desks. 

  • Chromebooks can be returned to Mrs. Powick’s classroom (room 213B) on the main floor next to the chapel in Bessborough Hall. 

  • Please ensure that you bring back your child’s grey folders and return them to the homeroom teacher.

  • A table will be available in each classroom for students to leave any signed out books from the library. A list of those books will be sent to the families during the week of June 12th from Mrs. Hutchinson. The homeroom teacher will check the books against the list. 

  • Any instruments that were borrowed should also be returned. The homeroom teacher will have a list of instruments that have been borrowed. Students can leave the instruments with the library books in the classroom.

  • Please check the homeroom lost and found for items that were in and around homeroom classes and the main lost and found on the main floor of Bessborough Hall for other items.

SECONDARY (Grades 7 to 12):

Families in grades 7 to 11 will use the School Appointment booking system  www.cwa.schoolappointments.com to sign up for a 15-minute time slot to come to the school to pick up report cards, clean out lockers, return locks, return Chromebooks and return textbooks on:

  • Thursday, June 18 - 7B (Bessborough) and Grade 10 (Athlone)
  • Friday, June 19 - 7G (Bessborough) and Grade 11 (Athlone)
  • Monday, June 22 - 8B (Athlone) and 9G (Athlone)
  • Tuesday, June 23 - 8G (Athlone) and 9B (Athlone)
  • Thursday, June 25 - Grade 12 Graduates (Athlone)

Grade 7 (Bessborough Hall):
Two students (with one parent each if desired) will enter Bessborough through the front door and proceed to Mrs. Powick’s classroom (room 213B) to return their Chromebook (if one was borrowed), they will then proceed upstairs to their locker. There will be a table where students will place their textbooks, they will then clean out their lockers, return their lock (with combinations written on the back) to their homeroom teacher, retrieve items hanging on their hook, and finally obtain their report card from their homeroom teacher.  Students will have 15 minutes in the building before the next group of students arrive. Students are to exit Bessborough through the door by Father Alex’s office (students are not to exit through the front door, this is to maintain social distancing). On the way out of the building, students are to collect their shoes from the shoe rack.

Grades 8 to 11:
Two students per class (with one parent if desired) will enter Athlone through the door by the Athlone Staff parking lot (the door by Mr. Sanesh’s office) and proceed to the front desk to return their Chromebook (if they borrowed one) to Mrs. Johnson, then they will walk to the elevator where Mrs. Hutchinson will be stationed and return their textbooks to her. Finally, the students will proceed to their locker. Their homeroom teacher will be located near the lockers and will ensure social distancing occurs. Once the lockers are emptied and the lock returned to the homeroom teacher (with combinations written on the back), the student will be given their report card. Students will have 15 minutes in the building before the next group of students arrive. Grades 8B, 10, and 11 will exit through the door by Mr. Oryschak’s Classroom. Grades 8G, 9G and 9B will exit through the door by Mr. South’s classroom. 

Grade 12:
One of our planned graduation celebrations will take place on Thursday, June 25, at Clear Water Academy (details forthcoming). On this day, the grade 12’s will also return their textbooks, clean out their lockers, return Chromebooks (if one was borrowed), return their lock (with combination written on the back), and receive their final report card, graduation certificate, etc. The grade 12’s will not sign-up using the online booking system; instead, only two or three students at a time will be allowed into Athlone Hall.  

Extra Information for Secondary:  

  • Hand sanitizer will be available at the entrances; please sanitize your hands thoroughly before entering the building.

  • Everyone will be expected to follow the recommended physical distancing of 6ft. 

  • Around June 16, Mrs. Hutchinson, our school Librarian, will email all Junior High and Senior High students (and their parents) the list of books that they currently have signed out.

  • Many students have borrowed books from classroom libraries (ex. Mrs. Holy, Ms. Baynham). Students are to return these books on the day they return their textbooks.
- Grade 7’s: there will be boxes in the homeroom classes, books are to be placed in the appropriate box.
-  Grades 8 -12: there will be boxes near the elevator in Athlone, books are to be placed in the appropriate box.

  • Athletics: many students have not yet returned their sports jersey/uniform from the 2019/2020 year. These need to be returned.  
- Grade 7’s: there will be a box in the homeroom class labelled “Athletics”, this is where sports uniforms are to be placed.
-  Grades 8 -12: there will be a box near the elevator in Athlone labelled “Athletics”, this is where sports uniforms are to be placed.
